Gloucestershire College Film and Media

Equipment Bookings Terms and Conditions


This academic year of 2020/21 has a new system in place for equipment
and TV studio bookings due to the coronavirus. If these guidelines are not
followed Gloucestershire College has the right to hold the student(s)
responsible for any damages or misconduct. Please read the following
information carefully:

Coronavirus Guidelines:
• Student(s) must wear a mask when booking out equipment and/ or
using the TV Studio at all times.
• Student(s) must sanitise their hand upon entering the tv studio and
picking up a booking.
• Equipment must be returned on time and clean (Not covered in mud).
Student(s) not following these guidelines will result in a strike to your
name and a ban of equipment and tv studio booking.
Equipment Booking Times:

Booking out and returning equipment

Please consult the technician on the specific days of availability or refer to


the technician’s timetable online or outside the TV Studio (C304). If any
equipment is returned late a strike will incur and may cause the ban of
booking out further equipment for the student(s).

In special circumstances, any equipment can be requested to be booked


out or returned at a different time but you must have confirmation from the
technician 24 hours beforehand. Please email both taiya.price-
greaves@gloscol.ac.uk and mark.dimmock@gloscol.ac.uk.

Booking Guidelines:
By not following the booking guidelines student(s) will not be allowed to
book out equipment:

1. Booking emails must state the following:

1. Name of the student.

2. Student number.

3. Class Course and year.

4. Date and time equipment is being booked out.

5. Date and time equipment is being returned.

6. A clear list of equipment needed, in the correct categories


provided.

7. An appointed member of staff’s confirmation email.

2. Equipment must be booked out or returned between 09:15 - 1:45.

3. If due to unforeseen circumstances you are unable to return the


equipment you must email both taiya.price-
greaves@gloscol.ac.uk and mark.dimmock@gloscol.ac.uk

4. If any equipment is returned late a strike will incur on your name, too
many strikes and no equipment will be booked out for a selected
amount of time.

5. If equipment needs to be extended you must have it authorised by


an appointed staff member through email confirming the extension
request. This must then be notified to the technician before the end
date of the equipment booking otherwise, a strike will incur.
6. If there are any damages to the equipment Gloucestershire College
hold the student(s) responsible and reserves the right to charge for
replacement or repair.

7. Loss of the equipment is to be replaced by the student(s)


responsible.

8. Equipment can not be passed to other students, even if they have


booked it out for that appointed time. The equipment must be
checked by the technician before allowing it to go back out to
another student. Until the equipment is returned to the technician the
student who booked out the equipment is fully responsible for it.

9. When returning equipment it must be packed away correctly and in


the state, it was given. Failure to comply with result in a strike on the
student(s) name and may cause you to be unable to book out kit.

10. All booked out equipment must be brought back at the same time by
the student(s) who booked it out, to either Taiya or Mark and not left
with a member of staff, brought back by a member of staff or brought
back another student(s).

Equipment restrictions:

Each year group has restrictions of equipment that they are allowed to
use, as you progress through the years more equipment will become
available to the students’ year group.

Some equipment is for higher-level students only. Training is required for


the use of some of the equipment due to health and safety risks and the
complexity of the item(s).

Please refer to your appointed lecturer or ask the technician to know what
equipment is available to you.
Booking the TV studio:

Student(s) wanting to use the TV studio must email both taiya.price-


greaves@gloscol.ac.uk and mark.dimmock@gloscol.ac.uk with the
date and time they wish to book out the studio. If the studio is free,
student(s) will then receive confirmation of the booking or the nearest
available day for booking. The booking will then appear on the door of
C304. Please note a book may be overturned if an assignment requires
for another student(s) to use the studio over a personal booking.

Level 2 and 3 students must have a staff member with them in the studio
at all times.

The technician is available for any help needed with equipment but you
must give notice.

Once finished with using the TV studio you must return it to a clean and
tidy state.

Store Room:

No student(s) under any circumstances will at any point be allowed to


enter the storeroom.

Unauthorised entry into the storeroom will result in a strike to your name
and a ban of equipment bookings.

The storeroom is a professional environment which students must respect


and follow the health and safety guidelines.

Health and Safety:

Students must be aware that the TV studio and equipment can be


dangerous and must be aware of the risks.
Please refer to the health and safety risk assessment for the TV studio
which can be found in C304a and the TV studio.

Mac Booking:

There are iMacs, MacBook Pros and Mac Pros for Higher Education
student(s) to use at home or in college for editing. You must sign the
Gloucestershire College Mac Booking Agreement for you to book out one
of these computers.
