VISA APPLICATION PROCESS FOR ITA-JAKARTA DELEGATION PROGRAM

Step 1:
Prepare your application and supporting documents (see the attachment below)

Step 2:
Book an appointment to visit Visa Application Centre (VFS). It is Mandatory, free of charge and is
subject to availability. You can book an appointment independently by visiting this link:

Step 3:
Visit Visa Application Centre as per appointment scheduled and submit your completed Visa Application
Forms along with required supporting documents.

NECESSARY DOCUMENTS FOR BUSINESS VISA

1. Application form appropriately completed and signed by the applicant.


2. Two recent color photos (size 35mm x 45mm with white or very light background and in
accordance with the I.C.A.O. standards – see the requirement below).
3. Valid passport (valid for at least 3 months beyond the expiry of the visa). This passport should
not bear any correction regarding the personal identification data. If your passport contains a
correction regarding this personal data, you are required to change your passport with a new
passport that contains correct data. NO additional correction on page 4 or 5 is allowed.
4. Copy of passport’s bio-data page (the first 4 pages of the passport). For non-Indonesians, please
provide a copy of residence permit in Indonesia (KITAS/KIMS/KITAP).

5. Travel insurance for the whole period of stay (please see NOTE below for insurance
requirement).
6. Original employment/sponsor letter (in English) stating the applicant’s position of work,
duration of employment, and the information regarding the purposes of trip (meeting,
inspection, training, etc) and the Italian counterpart involved. The company must also state who
will cover all the expenses for the trip and that the company will guarantee that the employee(s)
will return to Indonesia upon completion of the trip. Please attach one copy of the company
registration (i.e. SIUP or TDP).
7. Copy of recent company’s bank statement over the last three months legalized by the Bank.
8. Invitation letter from the Italian counterpart (in Italian language) stating the purpose and the
duration of the visit with the copy of the first 4 (four) pages of the registration to the relevant
Italian Chamber of Commerce (Visura Camerale). The Italian company shall also forward the
invitation letter and the Visura Camerale by email to the Embassy at visa.jakarta@esteri.it and
to the Italy-Visa Application Center at info.italyid@vfshelpline.com.
9. Original or copy print-out of confirmed flight-booking or air ticket from travel agent/airline. It
should prove that the stay in the Schengen area does not exceed 90 days.
10. Proof of hotel reservation/accommodation (voucher/booking) if the Italian counterpart does not
declare this specifically.
11. Copy of the Family Card and Marriage Certificate/Birth Certificate (when traveling with family).

NOTE:
 The Italy Visa Application Centre will be submitted on the next working day to the Embassy of
Italy for a decision. The visa processing time normally takes 5 - 8 working days provided that a
complete file is submitted. But, it may take longer in certain. All visa decisions are solely at the
discretion of the Embassy of Italy in Jakarta.
 The business visa fee (short stay) will be IDR 850.000. A service charge, IDR 300.000, is also
charged per applicant by VFS besides the Visa Fee; is payable in cash in Indonesian Rupiah only.

 Travel Insurance
All applicants must submit copy of proper travel medical insurance at submission time.
The insurance policy must contain the following information:
 Name of person covered and period of validity
 Coverage of medical expenses up to equivalent of Euro 30000
 Coverage of the entire Schengen area - not just Italy
 Coverage of the Entire Period of stay in Schengen (as indicated on flight ticket)
Note also that the insurance coverage may be checked at the border of entry to Schengen.

These new regulations imply new demands on the application, meaning that all supporting documents
must be handed in along with the Schengen application form.
If supporting documents are not presented at the same time as the application, your application upon
examination may be refused and the visa fee lost.
