3rd Annual CIPA Book Expo

March 18 – 19, 2011

Participation Information

The 3rd Annual CIPA Book Expo will be held March 18 and March 19,
2011 at the Red Lion Hotel, 4040 Quebec Street, Denver, Colorado.

In addition to CIPA College and the CIPA EVVY Awards dinner, this
year’s Book Expo will feature a book fair, trade exhibits and roundtable
discussion groups. The book fair, exhibits and roundtables will be held
from 10:00 a.m.–7:00 p.m. on Friday, March 18 and 9:00 a.m.–Noon
on Saturday, March 19.

The event will be open to CIPA members as well as the general public.
Admission is FREE!

There are a limited number of tables available in the exhibit room and
in the main registration area for trade vendors, service providers and
individual book sellers. The exhibit tables are 6 foot skirted tables and
are available for both days at the following rates:

Half tables are available for CIPA Associate Service Providers and

The Red Lion Hotel is offering special room rates for this event and
discounted participation rates, breakfast and lunch tickets and CIPA
EVVY Awards dinner tickets are also available.
Participation Discounts

1. Hotel rooms: Book a room at the Red Lion ($78 + taxes) for
at least one night and receive:
$20 cash refund/or

EXHIBITOR, for consideration received, agrees to all conditions and further agrees that: neither
CIPA, the Red Lion Hotel, nor any of their respective employees, agents, contractors or
representatives will be held liable for injury to any person or for any loss or damage to property
owned and/or controlled by the exhibitor, and shall be indemnified and held harmless by
Exhibitor for any claims for damages or injuries which may be incident to, arise from, or be in
any way connected with the exhibitor’s display. Should any legal action be necessary to enforce
the terms of this contract, the prevailing party shall be entitled to reasonable attorney’s fees in
addition to any other relief to which it may be entitled. Exhibitors wishing to insure their
exhibit merchandise and display material against loss of any kind must do so at their own
expense and should contract their own insurance brokers. Exhibitors will be responsible for any
damage to their table areas, nails, tacks or screws must not be driven into walls, floors, or
woodwork. Reservations will be taken on a first-come, first-served basis
Exhibitor Guidelines:
1. Exhibitors must confine all display materials and activities to their contracted space.
2. CIPA reserves the right to remove any material or activity deemed inappropriate or offensive.
3. No subletting of space.
4. Food and/or beverages may be dispensed without charge from the exhibitor’s space with prior
written approval from CIPA and
The distribution area must be kept clean and attractive.
No alcoholic beverages may be served
No cooking .

Set up:
Thursday March 17, 2011 6:00 p.m. – 9:00 p.m.
Friday March 18, 2011 7:00 a.m. – 10:00 a.m.
All exhibits must be set up and show-ready by 10:00 a.m., Friday, March 18, 2011. Any
exhibit space not occupied by 9:00 a.m. may be reassigned with no refund due to the
original exhibitor.
Show hours:
Friday, March 18 from 10:00 a.m. – 7:00 p.m.
Saturday, March 19 from 9:00 a.m. – Noon
Tear Down:
Exhibits may be dismantled after 12:00 p.m. on Saturday March 19, 2011

Tables may be split between two Exhibitors. Each Exhibitor must complete, sign, and
submit an application/contract.

All cancellations must be submitted in writing. A refund less $50 will be issued if the
cancellation is received prior to 5:00 p.m. on March 5, 2011. No refunds will be issued after
that date.

Discounts

$20 credit or refund upon proof of Red Lion Hotel room reservation issued at the CIPA Book
Expo. Meal Tickets, Award Dinner Tickets or CIPA credit issued by CIPA with donation to
CIPA Education & Literacy Foundation ($25 minimum contribution) a 501(c)(3) non-profit, tax
exempt, charitable organization.
