Keys to outer doors and to the rooms. (Who has? Who will pick up? Who will open and close up? Who will return key?) Light switch (find and check in daylight hours) Equipment required? Obtain ahead, plug in and test Signage Chairs Tables Reserve a place for the recorder, guests, VIPs, decision makers and presenters Refreshments ready Paper and pens on table Handouts and copies of agendas are placed at each seat prior to the meeting
