Software modules and functions

1. csset Tracking
Hardcat software provides "cradle to grave" fixed asset management and is able to track every
aspect of the asset's life from initial budget proposal through to final disposal. It consists of a
Core csset Management Module and elective modules catering for Purchasing, Barcoding,
Depreciation, Help Desk, Maintenance and Stock Control. cs a further option, our External
Interface Module also allows external applications (eg, web browser, ERP systems) to directly
enact various transactions in Hardcat, allowing seamless integration of our best-of-breed asset
management into your overall IT solution.

The Core Module, like all Hardcat software, combines highly detailed recording and reporting
with an intuitive, user-friendly interface. The level of detail you wish to record is up to you,
but may include:

î asset details (i.e. type, serial number, description)


î purchase price & current valuation
î warranty/maintenance dates & costs
î components and attatchments
î movement to different locations, cost centres or people
î associated asset management costs
î lease & rental information
î cost centre & ownership
î supplier and maintenance provider
î user defined information by asset type
î change history & audit trail

Hardcat's Core Module is supplied with a Report Generator. System features include:

î pre-formatted reports
î custom report writer tool
î multiple selection & report sorting
î report generation to various outputs including printer, screen, file, and email

Reporting can include practically any fields and from virtually any area in the system, e.g.
cssets, Suppliers, Locations, Personnel, Help Desk, Cost Centres, Purchasing and
Depreciation. c comprehensive query facility is also provided to allow the user to target a
particular group of assets for reporting purposes.

Information held against each csset can be accessed and sorted by virtually any field in the
Hardcat database, for example:

î barcode number;
î asset number;
î serial number;
î asset description;
î asset type/sub-type standard name;
î location code;
î cost centre code;
î supplier, owner, plus user defined fields (see illustration)

Hardcat's Core Module Graphics Generator provides system users with instant pictorial
representations of all asset information from equipment performance graphs, to pie, line and
area charts, etc. Graphics can be used to display photo images for referencing and insurance
purposes of asset types, buildings, floor plans or even personnel. System features include:

2. Barcoding & RFID tracking

By automating time intensive audit and data collection processes, the Hardcat csset cuditing
Module offers a fast, accurate and discreet method of identifying fixed and portable assets -
from desks, chairs and large mainframe computers, to fax machines, photocopiers, modems,
PCs, portables and mobile phones. csset information is recorded via a hand-held barcode
reader which has a pre-programmed interrogation system enabling the system user to collate
data efficiently, accurately and in an organised and efficient format.

The csset cuditing Module provides the user with:

î detailed asset information recording by make and model, serial number, user, cost
centre, location & more
î data analysis & automatic asset creation
î full reports on assets audited by location, cost centre and people, including exception
reports for stolen, missing or moved items
î automatic transfer, sorting & relocation of audited assets
î last audit report facility
î on-line goods in/out recording (including expected return date)
î barcode printing in a choice of formats.

Hardcat offers handheld PocketPC-based barcode scanners running the highly popular
Windows CE and Windows Mobile operating systems. This has allowed us to develop the
incredibly user-friendly, graphical !! program enabling data capture and asset
auditing staff to collect barcode and asset details quickly, efficiently and with complete ease.

We have developed different applications that allow the scanner user to collect new asset data,
or audit and verify existing data. No special skill or training is required to use these units for
asset auditing - just point the scanner to the barcode and click!

Standard asset descriptions, locations, and other organisational data can be downloaded to the
Palm for selection as "picklists" when capturing or auditing data - ensuring consistency of
data gathered and eliminating potential sources of error.

  
Reports specific to asset auditing may be run from the Barcode Module. Standard reports
include:

î Data Capture report (showing full details of asset allocation) for new asset items
captured with the bar-code reader
î csset cudit report, comparing asset details on the Hardcat database to the results of
the barcode audit and highlighting exceptions such as moved or missing items
î Last cudit Dates report, listing all assets in terms of when they were last audited and
last known location
î Barcode printing facility (used to automate data capture process)

By registering and maintaining up-to-date records on all hardware and software problems,
users can immediately identify assets under warranty, maintenance support details and the
performance history of each asset.

to sending a technician out on site. c key system benefit is the automatic calculation of down-
time for performance statistics on assets, asset types and suppliers.

Change Management requests can be accurately tracked with a complete audit trail.

The Help Desk module includes the facility for high quality output of both text reports and
graphical charts to improve management control over problem resolution.

Graphical representation of problems can be presented in 2D or 3D pie charts or bar charts,


which can be viewed, printed, or cut and pasted into other Windows applications such as
spreadsheets or word processing documents. The charts display problems broken down by:
