IMPLEMENTING & INTEGRATING SAP BI INTO GLOBAL AVNET SAP BI ENVIRONMENT Existing Environment

The task of obtaining actionable business data was manual, time consuming, cumbersome and error prone at Avnet EM Japan. Data captured at the different stages of the sales life cycle was stored across disparate operational system modules. Integrating information across the different modules was challenging. The data was manually extracted from each of these systems, manually normalized into a common format (for better understanding) and then manually assimilated. This process ended up with users having to spend more time in getting the information and very less time analyzing it.

Avnet Inc. is a Phoenix based Fortune 500 company with more than 300
locations serving customers in 73 countries worldwide. Avnet markets, distributes and adds value to the products of the world's leading electronic component suppliers, enterprise computer manufacturers and embedded subsystem providers. Additionally, Avnet brings a breadth and depth of service capabilities, such as supply-chain optimization, logistics solutions, product assembly, device programming, computer system integration and engineering design assistance. It operates in two segments, Electronics Marketing and Technology Solutions. This project is for EM (Electronics Marketing) division of Avnet Japan. SOLUTION OVERVIEW: The purpose of this project was to define, build and deliver an effective data mart reporting solution for Avnet EM Japan using SAP BI / BW. The project has been broken down into several phased deliverables. The first deliverable focused on data content sourced from the SD module of SAP/R3. Subsequent deliverables include data from the MM and FI modules of SAP/R3, and also the pipeline linkage between the SD and MM modules. Within each deliverable, incremental releases occur over time. Major releases are rolled out in 60-120 day increments.

Expectations
Business Users in the Avnet EM Japan business organization wanted to leverage the existing information collected and stored in various SAP/R3 ERP application modules to develop and validate strategies to better understand customer, product and sales channel performance. Combining data from the different modules in the sales cycle would help users fully understand customer interactions, their contributions to the business, market performance of their products and the overall profitability of the business. Equipped with a complete view of the business, they would be able to effectively develop strategies to meet their goals as well as make judicious planning decisions.

Existing Environment
They had IBM mainframe & other tailor made applications on the operations side and SAS on the reporting side. Data redundancy and data consolidation were the two main issues. They wanted to phase out IBM mainframe and SAS by building an Enterprise Data warehouse based on SAP BI.

Headquartered in Heidelberg, Germany, the Company focuses on the entire process and value chain for popular format classes in the sheet-fed offset and flexographic printing sectors. Apart from printing presses, the product portfolio includes plate imaging devices and finishing equipment, as well as software components designed to integrate all print manufacturing processes.
SOLUTION OVERVIEW: Within the IBM Outphase, operational processes were redesigned. The impact of changing from the old reporting processes to the new was kept minimal. SAP R/3 on the application level and SAP BW on the reporting level replaced the previous architecture with IBM on the application level and SAS on the reporting level. Considering the 7 different functional areas (e.g. R&D, manufacturing, assembly, sales, finance, purchase, HR) + one cross-functional aspect, approx. 20-25 subprojects were implemented. Approx. 300 reports were moved from SAS to SAP BI

Challenge
There was no harmonization between operational processes on the application side (IBM) and the reporting side (SAS), with multiple sources (SAP, IBM, Tandem, other) storing similar information. Also, as a part of the overall Application Roadmap Realization program, the IBM Mainframe had to be de-commissioned to reduce maintenance overheads.

UI decided to go with SAP BW for all their analytical reporting and customer service needs. SourceCode was the only external partner brought in to help them with their implementation.

Customer Profile
The United Illuminating Company (UI) is an electric transmission and distribution utility based in New Haven, Connecticut. The service territory of UI consists of 17 municipalities located in a coastal region that stretches from Fairfield to North Branford and north to Hamden. The 320,000 residential customers within this area comprise approximately 35% of Connecticuts total population. Prior to 1998, UI was a classic electric utility that also owned and managed much of its required electrical generation. Since that time, and in accordance with state legislation, the company has divested itself of generation and has focused on addressing the distribution requirements of our customers. With more than 100 years of service, the company is an independently owned and operated utility, traded on the New York Stock Exchange. SOLUTION OVERVIEW: The purpose of this project was to define, build and deliver an effective data mart reporting solution for The United Illuminating Company using SAP BI / BW. A report was created to provide lower level cost estimates for released and marked materials to all countries. This was also known as exploded BOM costs for materials. This report was a Global Top 5 report. Information from the report was going to be used by the cost analysts to compare costs across plants and countries. Data was pulled from the R/3 tables. Generic datasource was created for this. The datasource was delta enabled. Also created ODS and cube on the Solution: BW side. There was a need for a Summary report to provide the additive cost SAP BW 3.0 information for all items including commentary on why additive cost SAP BI 7.0 was added. Hence created a summary report that provided information on reasoning why SKUs have additive cost, i.e. cost savings, changes SAP R/3 4.6C to routings, changes to BOMs etc. This report also allowed users to generate total values by additive cost type for budget purposes and MM and SD also management information. Data for production order setup was not available. Hence activated 2LIS_04_P_ARBPL and extracted records from it. UI is required to report use tax on items purchased and consumed for its own use. A report was needed that contained purchase data and tax amounts. Reports would be used in the monthly tax compliance process and results are subject to audit by tax authorities. Developed generic datasources based on view and BW implementation of ODS and Cube and, also a BEx Excel report.

Implementing this SAP BI / BW reporting solution is having a direct impact on The United Illuminating Company ability to achieve profitable growth. As of today, we have already extracted SAP R/3 data from modules FICO and MM into SAP BW. As we work on bringing in data from other SAP modules (PP, SD, COPA), we continue doing analysis and data modeling based on user requirements, activating and enhancing business content, developing generic delta extractors, performance tuning, and creating reports with BEx Excel and BEx Web.
