Constitution of the collegiate club of Society of Automotive Engineers India (SAEINDIA) at Madhav Institute Of Technology And Science Gwalior, M.P. _____________________________________________
This Collegiate club has been charted by the SAEINDIA and is subject to the constitution, Bylaws, Rules & Regulations of Parent Society. 1) PURPOSE The purpose of this organization is to provide its members opportunities to gain broader insight into the engineering profession by sponsoring meeting that will bring practicing engineers to the campus, arranging field trips to research and engineering establishments, sponsoring student projects of engineering interest and participating in local SAEINDIA Section activities. 2) NAME The name of this organization will be SAEINDIA MITS Gwalior Collegiate Club of SAEINDIA. 3) MEMBERSHIP Students attending MITS Gwalior who are SAEINDIA student members or SAEINDIA members are qualified to become members of this organization. 4) OFFICERS The elective officers of organization will be : a) Chairperson b) Vice Chairperson c) Secretary d) Treasurer The above officers will be elected by majority votes at regular meeting of collegiate club. Elected officers will take office immediately following the close of the College year and will serve for one year.

5) STANDING COMMITTEES The chair, with the concurrence of the Club officers, will appoint Chairs to all committees necessary to carry on the activities of the club, including but not limited to: i) Membership Committee ii) Program Committee iii) Reception Committee iv) Publicity Committee The chair of each committee will appoint members of the Club to serve with them. They will report these appointments at the first meeting of the Executive Committee. 6) ELECTIONS  The election shall take place at the end of the session in month of March/April. Chairperson & Vice-Chairperson  Student members of 3rd and 4th year shall be eligible to submit nominations for election of Chairperson and Vice-Chairperson.  Number of final nominees shall be (3+2=5), 3 from 4th year and 2 from 3rd year.  Voting rights shall only be given to SAEINDIA MITS GWL Collegiate club members.  Nominee with highest votes shall be elected as Chairperson and nominee with 2nd highest votes shall be elected as Vice-Chairperson.  No separate election for Vice-Chairperson shall be held. Secretary  Student members of 3rd and 4th year shall be eligible to submit nominations for election of secretary.  Number of final nominees shall be 5. Treasurer  Student members of 3rd and 4th year shall be eligible to submit nominations for election of Treasurer.  Number of final nominees shall be 5. Quorum  Quorum members shall be selected from 1/3 of student members in good standing from 3rd and 4th year.

 Chairperson, Vice-chairperson, Secretary, Treasurer and Faculty Advisors shall always be the members of Quorum.

Standing committees  Student Reception Chair, Student Program Chair, Student Publicity chair, Student Membership Chair and all Standing committee members shall be elected by Quorum members.  Student Reception Chair, Student Membership Chair, Student Publicity chair shall be from 2nd year.  Student Program Chair shall be from 3rd year.  Student Membership Committee shall consist of ⅟2 of total 2nd year members ⅙ of total 3rd year members  Student Reception Committee shall consist of ⅙ of total 2nd year members ⅙ of total 3rd year members  Student Publicity Committee shall consist of ⅙ of total 2nd year members ⅙ of total 3rd year members  Student Program Committee shall consist of ⅙ of total 2nd year members ⅟2 of total 3rd year members

7) FACULTY ADVISORS The Collegiate Club, at all times, have an official Faculty Advisor and an Assistant Faculty Advisor. It will be the Faculty Advisors’ responsibility to consult with collegiate Club officers on matters pertaining to SAEINDIA and college policies, to serve a liaison between the Collegiate Club, the Society and the local SAEINDIA section, and to advise the officers on Collegiate club matters. 8) OFFICERS RESPONSIBILITY The chairperson shall call and preside over Collegiate Club business meetings and meetings of its executive committee. The Vice Chair shall assume the responsibilities of the chair should the chair be unable to perform the duties. The Secretary shall maintain the Collegiate Club membership records and prepare minutes of business meetings and executive committee meetings. The Treasurer shall Keep a record of the Collegiate Club income and disbursements and keep the executive committee advised of the Club’s financial status.

9) QUORUM A quorum shall insist of one-third of the members in good standing. 10) AMENDMENT This constitution may be amended by two-third vote members at a regularly scheduled business meeting of the Club, provided that a proposed amendment shall be read and discussed at previous regularly scheduled business meetings of the club. An amendment may be proposed by action of executive committee or by petition signed by ten or more members in good standing, which may include Collegiate Club’s Chairperson, Vice-Chairperson, Secretary, Faculty Advisor, Additional Faculty Advisor, SAEINDIA section chair and its Secretary.
