JOB DESCRIPTION
PERSON IN CHARGE OF ISSUES

PRESIDENT
• Chair MyPSA meetings • Chair MyPSA Committees • Supervise MyPSA’s Excos performance & projects • Liaise with all local clubs presidents & CPs, and advisor • Update all MyPSA university’s advisor monthly • Chair central committee for every MyPSA’s projects (e.g. NoGaps, npsc, etc) • Constitutions • To become the constitution protector and ensures the association is run according to constitution • Approve proposals for MyPSA projects • Approve funding/sponsorhip for MyPSA & local clubs projects

• Approve any outgoing letters from MyPSA
• Approve MyPSA Annual Report to be published • Responsible for every MyPSA’s decision • Make sure projects have feedback (post mortem) • Help national council solve problem face by pharmacy students • IPSF responsibility – represent MyPSA in IPSF Congress • Monitor KPI of every year • Official MyPSA Representative to any events where MyPSA is invited • Alert with any prompt issues for pharmacy or students community

VICE PRESIDENT
• As President right hand in any issues – number 2 in organisation • To backup or represent President in case needed or absence of President • To assists President in MyPSA organization – monitoring portfolios to achieve goals:

VICE PRESIDENT (PUBLIC RELATIONS)
• Backup or represent President in absence of President & Vice President • Spoke person for MyPSA in case of President absence • To assists President in MyPSA organization – monitoring portfolios to achieve goals:
• Multimedia Officer • Student Exchange Officer • Education Officer

• IPSF related issues:

• As the contact person for MyPSA – contact other organisations

• Establish connection with other org – assisting SEO IN SEP • To report/inform the President on any updates of the portfolio under supervision & any other work updates • To assists President in any other prompt issues/task for MyPSA

• Middle person between MyPSA and IPSF – Channel information from MyPSA to IPSF, and vice versa • Brief the new main board regarding MyPSA and IPSF • Centralized IPSF program participation • Manage MyPSA membership in IPSF

SECRETARY-GENERAL
• To constantly update MyPSA Database of Excos & Mainboard Members • To be incharge of each MyPSA General meeting and prepare the meeting’s agendas • Collect delegate’s name from mainboard members • Write, type and distribute minutes of meetings • To prepare letters or documentation of MyPSA • Constitutions
• To become the constitution protector and ensures the association is run according to society • To be able to amend any part of constitution as directed by President, General Meetings or Annual Grand Meeting

• To be incharge of MyPSA Annual Awards – Best Student & Best Society Award
• Collect reports of annual reports of university members and CV of nominated students

• Paperwork programme • Prepare, collect & produce an annual report of MyPSA to be distributed to members, advisors & MPS • Produce annual schedule of MyPSA including meetings, projects and datelines • To report/inform the President on any work updates • To assists President in any other prompt issues/task for MyPSA

SECRETARY II
• Membership collection data • Promote MyPSA membership to all university members • To be prepared for any MyPSA Exhibition & Promotion materials • Collect the database of students who have paid the fees (together with the payment) • To be proper channel for MyPSA to be in touch with all members through proper media e.g. email • Pay the collected fees to MyPSA Treasurer and send the Summary of the Membership Fees to the Treasurer • Handle the processing of the MyPSA membership card • Liaise with mainboard on the updates of students’ database and on the distribution of membership card to students • To report/inform the Vice President on any updates of the membership • To assists President in any other prompt issues/task for MyPSA

TREASURER
• To work with President in opening a joint bank account of MyPSA • Make a rough budget for MyPSA every year at the early financial term (September each year) • To prepare an account statement and update quarterly to be presented to Financial Committee • Manage MyPSA-MPS account (all the assets and liabilities) • To keep record of any movement of MyPSA assets e.g. printers, cameras, etc • To be secretary of the Financial Committee of MyPSA • To find any partners able to support MyPSA financially e.g. pharmaceutical industries, personal contribution, government bodies, other NGO, etc • To process all approved claims by the Financial Committee • Pay IPSF Membership Fees to IPSF Treasurer every year, together with SEP Fees • To report/inform the President on any work updates • To assists President in any other prompt issues/task for MyPSA

EDUCATION OFFICER
• To conduct projects related to Public Health & Education for the public community • To handle all Public Health projects related issues within the association • To report/inform Vice President (Public Relations) on any updates of the portfolio • To assists President/Vice President (Public Relations) in any prompt issues/task for MyPSA

PROJECT OFFICER
• To keep record of all paperworks of all MyPSA projects (as archive) • To conduct national projects (other than public health projects) for the benefit of pharmacy student or public community • To assists & inform President in monitoring any MyPSA Projects • To work together with the Vice President in management of a national projects • To report/inform the Vice President on any updates of the portfolio • To assists President/Vice President in any other prompt issues/task for MyPSA

PUBLICATION OFFICER
• Liaise with appropriate publication officers from all university members • Production Of Annual Newsletter of MyPSA – include both elements of Public Health & Pharmacy Issues • Management of MyPSA Publication Team - Designing posters, banners, etc • Production of official MyPSA Certificates for any MyPSA projects/awards • To assists any other Officer to produce any publications • To report/inform the Vice President on any updates of the portfolio • To assists President/Vice President in any other prompt issues/task for MyPSA
• To ensure any new information is delivered to the PO

MULTIMEDIA OFFICER
• Website management
• Ensure that any new event/new/ information is published • Updating the website with new content • Ensuring new content on the website/ event coverage/ information is posted

• Social Networking Management

• Be alert with national events or worldwide events to be informed to our members • Administrator of MyPSA Facebook Group – adopt proper guidelines for members & manage the content of group so it is not abused by anyone • To produce multimedia materials regarding MyPSA & yearly achievements to be presented to members & advisors • To assists other Officers to produce any multimedia materials (videos, presentation) • To report/inform Vice President (Public Relations) on any updates of the portfolio • To assists President/Vice President (Public Relations) in any prompt issues/task for MyPSA

STUDENT EXCHANGE OFFICER
• To update the country information section of the Student Exchange Database before 1st October every year. If the information given in this section needs to be changed along the year, the Chairperson of Student Exchange needs to be notified in advance. • To ensure that the Student Exchange Fees are paid to IPSF. • To check that the AFs from outgoing ES are correctly filled in before approval. • To facilitate the AFs from incoming ES to the hosts. • It is recommended to send thank-you letters and certificates to hosts. • To maintain smooth communications with the Chairperson of Student Exchange, other SEOs and ES. To give the appropriate handover to their SEO successors by: • keeping a record of all host sites during their term • guiding and advising the next SEO after them • informing the Chairperson of Student Exchange about the new SEO • To send all information requested by the Chairperson of Student Exchange as soon As possible.

STUDENT EXCHANGE OFFICER
• To mark incoming ES successful or unsuccessful at the Student Exchange Database as soon as the exchange period is over. • To submit the name of possible exchange students (incoming & outgoing) to the Selection Committee for approval before process of accepting the students • To prepare a proper paperwork of MyPSA SEP Program annually together with plans, proposed budget & guidelines • To become official MyPSA representative to IPSF SEP Committee • To become Secretary of MyPSA Selection Committee • To report/inform Vice President (Public Relations) on any updates of the portfolio • To assists President/Vice President (Public Relations) in any prompt issues/task for MyPSA

ENTREPRENEURSHIP OFFICER
• Generate income for MyPSA through relevant programmes. (e.g. : sales, services, take charge in selling academic books). • Set specific target of INCOME from any profit making programmes and activities for the current tenure. • Produce PRODUCTS and merchandises (e.g.: car sticker, bookmark, t-shirt, button batch etc). • LIAISE with other bureaus in organizing programmes • May COLLABORATE with other societies with consent by President & related Mainboard members, prior to approval. • Brainstorm and execute programs on how making money • To report/inform the Vice President on any updates of the portfolio • To assists President/Vice President in any other prompt issues/task for MyPSA

AD-HOC OFFICER
• To be under direct supervision of President • To produce a guidelines for a graduating pharmacy student to register with LFM, SPA until working • To assists President on issues related to PRP placement upon President’s request • To response and advise President on any prompt issues regarding pharmacy education & pharmacy profession • To response and advise President on any ad-hoc events and issues involving pharmacy or of national or international interest • To establish, lead, train and manage MyPSA Volunteer Team to response to any national needs • To liaise with related Volunteer Bodies and NGO to be part of any Volunteer response team e.g. Mercy Malaysia • To report/inform the President on any updates of the portfolio • To assists President in any other prompt issues/task for MyPSA
