• The training highlights high level changes between Unilever PeopleSoft 8.3 and
PeopleSoft 9.0 only
• This is NOT a training on end to end processes in PeopleSoft 9.0
• For end to end process training please refer to the appropriate training materials
available on OSI (Accenture). For Unilever, end to end PeopleSoft process training is
currently being developed. Once finalised, the LMS course code will be communicated.

• Many custom error and warning messages, fields and pages have been retired or moved to
other pages in PeopleSoft 9.0. Therefore, there is a need for system users to be extremely
careful when following Quick Reference Sheets (QRSs)/process documentation and entering
information in PeopleSoft 9.0
• These system modifications have meant that global/local work instructions and QRS
documentation have been updated to ensure system users continue to enter information
accurately in PeopleSoft
• Some examples have been provided on the following slides of where fields, error messages

1. What is the Person Model ?

What is the Person Model ?
• The Person Model has been introduced by PeopleSoft in Version 9.0 and provides
a framework for storing and tracking all types of individuals (known as „person
types‟) within one central place
• PeopleSoft delivers 3 person types (Employee, Contingent Worker and Person of
Interest) but Unilever will only be using the Employee person type and in
exceptional circumstances, the Contingent Worker person type

Benefit of the Person Model
• Personal data is entered once with one ID that is retained for the duration of a
person‟s tenure with the organisation, regardless of changes to that person‟s
working status
• For example, if a person joins Unilever as a contractor and was later to become an
actual employee they would be able to utilise the same Employee ID and
associated attributes (such as name, address and bank details). This was not the
Case with PeopleSoft 8.3, where a separate employee record was required. The
employee would therefore have two employee records

• You should always select the „Employee‟ person type unless in exceptional cases where the
„Contingent worker‟ person type should be selected. The Contingent worker person type
should ONLY be selected when you are adding a Manager/HRBP in the system who is
classified as a contractor. This is because they need access to PLOL and/or PMOL and as
such they need to be represented in the system. POI should never be selected under any
circumstances.

and the organizational relationship of EMP (Employee). This is shown on the next slide.

assigned an ID by the system

• In PeopleSoft 9.0, if you reach the job data page and for some reason stop the process, log off,
transfer to another page, return to the home page etc the system has still captured the person
and the person‟s employee ID
• If you then later try to add the person (remembering that you have never finished the process
so begin to start the process again), you will receive an error that you have already added that
person in the system
• This issue will be most often discovered when the hire is attempted again. If you know that
you left the hire process after transferring to the job data page, you should take note of the
Employee ID and follow the same steps. If you are not aware of the issue and attempt to
perform the hire and add the relationship again, you will receive the following error:

PeopleSoft 9.0 Reporting Process





• With the deployment of Peoplelink Online (PLOL) in Q4 2010, the main reports required
by Line Managers will be available via the Reporting menu in PLOL. Line Managers (with a
Unilever email address) will be able to view pre-defined reports in the Reporting menu without
needing to request a report
• There will be an exception process for those Line Managers who do not have a Unilever email
address- they will still be permitted to request the report via the form
• Line Managers will always be directed to PLOL when they require a report. Where a Line
Manager needs access to data not available in the PLOL reports they should contact their HRBP
with details of their requirements. The HRBP can submit a request for an ad-hoc report if
required

• A new ad-hoc report request form has been introduced in PeopleSoft 9.0 which is
more dynamic than the previous form
• The key differences are as follows:
 Format- The form will be in an MS-Excel format instead of MS-Word. This will
allow for a more intuitive form
 Content- To assist the reporting agents to process the requests, the form will
have a fixed selection of fields with local language translations. This will
ensure the HRBP selects the correct field and will ensure reporting agents
provide the correct fields in the report. This is very useful where the agent
producing the report does not speak the local language
• The form will continue to be available to HRBPs via the UL portal

4. Best Practices when requesting
an Ad Hoc Report


Best Practices when requesting an Ad Hoc report:
• A Line Manager who requires an ad hoc report needs to check whether the data they
are requesting is found in a current scheduled report (i.e. one that is on the
reporting calendar and distributed to a set recipient list on a fixed date).
• The HRBP needs to ensure that the requirement is clear in the form and that all
fields are populated (nearly all fields are mandatory). This will ensure forms are
processed efficiently and will prevent forms being returned to the requestor or
emails requiring additional clarification from the requestor

Schedule Query in PeopleSoft 9.0
• Schedule Query is a new functionality in PeopleSoft 9.0, offering the ability to schedule certain
queries to run periodically as often as required. For example, queries can be scheduled to run on
the last day of every month
• Scheduling a query can be accessed directly via the Schedule Query, the Query Manager and
Query Viewer pages
• The Schedule Query menu can be found by navigating to Reporting Tools> Query> Schedule
Query

Schedule Query in PeopleSoft 9.0 – Steps 1 & 2

• Scenario: In the following example, you are required to create a new schedule for the query
„EMPLOYEE_SALARY_PS_NVISION‟. This Query will list all employee‟s monthly salaries. You are
required to schedule the Query to run once on 31/12/2010 at 12pm Central Time. The query
results will be displayed as a PDF file
• Step 1: Sign into PeopleSoft 9.0, navigate to Reporting Tools > Query > Schedule Query
• Step 2: Enter the Run Control ID (if you have already created a run control). If you have not
scheduled the query before, click on the „Add a New Value‟ tab or „Add a New Value‟ hyperlink. In
this example, this will be the first time you are scheduling the query to run

• Step 3: Enter a value in the Run Control ID free text field. In this example, you name the Run
Control ID „EMPLOYEE_SALARY_PS_NVISION‟ as this is the name of the query you want to
schedule
• Step 4: Click the Add button

• Step 5: Enter the query name or the first word(s)/letter(s) in the Query Name field (in this
example „EMPLOYEE‟) and click on the search button. Alternatively, if unknown, leave the
Query Name field blank and click on the search button to display all queries in the system

• Step 6: Select the query you wish to schedule from the search results. In this example,
EMPLOYEE_SALARY_PS_NVISION is the query you wish to schedule

• Step 7: The description value will default from the query name in the Description free-text field
(this can be amended if necessary)
• Step 8: Click on the Run button

• Step 9: Complete/verify the following fields: Server Name, Recurrence, Time Zone, Run Date,
Run Time, Type and Format. Please refer to local Query schedule documentation to complete
the process Scheduler Request
• Step 10: Click on the Distribution link. Please note, the distribution link will only display if you
select the „Web‟, „Window‟ or „Email‟ output type

• Step 11: Your user ID will default (modify if necessary). Select the folder to which the query
results will be posted. In this example, select general
• In this example, you also wish to receive the query via email so click on the required email
format for the query. In this example, you select „Email Web Report‟

• Step 12: Complete the Email Subject, Message Text and Email Address List
• Step 13: Click on the OK button

• Step 14: You are directed back to the Process Scheduler Request page. Click on the OK button
• Step 15: You are directed to the Schedule Query page. Click on the Save button to complete
the schedule query process

• Step 16: To see whether the query has been run or has been scheduled, navigate to the
Schedule Query menu and search for the query (using the Run Control ID)





• Step 17: Click the „Process Monitor‟ link to view the status of your request or click the „Report
Manager‟ link to view the output of your request. In this example, since the query has been
scheduled to run on 31/12/2010 click on the Process Monitor link

• Step 18: The Process List tab displays the scheduled query. The Server list tab indicates the
server the Query will be scheduled on
