Preservation & Archiving can be hard to define…
Very broad in both concept and execution

 Preservation = maintaining or restoring access to artifacts, documents and

records through the study, diagnosis, treatment and prevention of decay and
damage

 Archiving = Storing records that have been selected for permanent or long-
term preservation (on grounds of their enduring cultural, historical, or
evidentiary value), with the intent of future use

Archiving vs. Data Protection
Understanding The Difference
Data Protection Archive
Business continuance and disaster recovery Long-term repository for fixed content. Holds
solutions to protect against data corruption, the primary copy (and may hold secondary copies,
data loss or site outage too), but is separate from production storage.

Strategy for protection of active data Strategy for retaining inactive data
Is a copy of original data Is the original data [may include copie(s) of data]
Short term strategy Long term strategy
Periodically refreshed Permanent record
Tied to application Independent of application
Protect business operations Governance & compliance requirements

Issues with Paper and Microfilm…
• Every touch leaves a trace
• Early formats are quickly degrading
• Single source = single access = single loss/theft
• Microfilm, ones the archival tool of choice, is
increasingly difficult to maintain
• Organizational issues:
– 9/11 – Katrina => loss of valuable records and items
– A fire at the National Archives in St Louis destroyed 1000’s of
military records from WW1 and WW2
– Even the US National Archives do not have one single
inventory…

Data Protection
Digital data is even more at risk of loss…

File Damage
• Printed Photo has water
marks and creases but is
identifiable
• Flip one bit in a file and it
becomes unreadable

Data Protection
• Multiple copies
• Data Integrity Validation

The nature of storage and data management has to change

We need to create electronic archives
for long-term preservation…

Archive Infrastructure Archive Content

• Provides guaranteed data integrity

• Leverages rich access capabilities
• Scales easily and economically
• Can be sharable and re-usable
• Allows complete replacement of hardware
• Requires guaranteed data integrity
and software as needed
• Is not only content, but also structure,
• Is sustainable and cost effective
relationship, and other contextual data
• Can leverage existing hardware and • Is long-term
software

Basics of Archiving Infrastructures
• Archive Software
–Content Management Software
• manages what the data does and means
–Data Management Software
• manages where the data resides in the hierarchy of Storage
• protects the data with advanced features (integrity checks, WORM, encryption,
etc)
–Database for metadata and archiving of structured data
• Archive Hardware
–Tiered Storage (Flash, Disk & Tape)

Market Drivers for archiving
• They want to – to keep access, f.i. to long-tail data
– Most people want the most recent or high-profile data, but not always. Specific groups want specific data
sets, some of which is old.

• They have to – meeting legal and corporate regulations

– Write Once Read Many (WORM) records for static records like healthcare reports or financial statements
– Maintaining audit and access trails for future compliance reporting
– Guaranteeing destruction of specific records at the end of their retention life

• It’s their mission – think of Libraries & National Archives, etc

– Data that is part of our Heritage
– Unique, Costly and un-reproducible data

Risks to preserving digital Data
• Media decay (bit rot) • Lack of context
• Obsolescence – Data but no codebook
• File Format • Ambiguous IP State
• Software – Copyright
– Licensing
• Hardware
• Media • Natural disasters
• Technology Failure • Information attack
• Software • Economic failure
• Hardware • Organizational failure
• Media • Human error

High-Level preservation planning
Not an Easy Job for Customers

Availability Security
− Searchable and Retrievable over time – Secure against leakage, tampering
Integrity – Clear access privileges
− No data loss or corruption Sustainability
− Transformations are documented – Technically feasible and maintainable
Authenticity – Economically viable and maintainable
− Save original and transformations – Able to adapt through technology, economic and
organization changes
− Document chain of custody
Reusability and Collaboration Trustworthiness
− Data available for others – Perception of competence, security, long-term
commitment
− Data available for new technologies
– All data owners and users must have trust
− Data available over long periods of time

Oracle’s approach towards (digital) Archiving
• Offer solutions based on Open Standards / Open Formats
– Mix and match software and systems that meet the needs of the archive

What is an Open Archive Format?

A specification for writing a file and its descriptive

index to the same storage medium:

Oracle’s approach towards (digital) Archiving

• Offer solutions based on Open Standards / Open Formats

– Mix and match software and systems that meet the needs of the archive

• Provide an integrated archiving infrastructure with

hardware and software that work together to ...
– Preserve data forever (or as long as necessary)
– While making it always accessible / retrievable
– Minimizing TCO
– And minimize difficulty and management

Repository versus Database
Choices for storing archive data
• Database dump ≠ Database Archive
• Solutions for database archiving are not part of standard relational database systems
– Forrester: only 15% of business data is actively required; 85% could be moved to an archived
state
• Terabyte-size transactional databases are:
– Harder to manage
– More costly for hardware
– Drive up requirements for DBA’s
• Typical data life-cycle can be categorized in:
– Active state (data is generated and modified as part of the production system)
– Archiving state (data no longer altered, but required for fulfilling business processes
– Long-term archiving state (only selected parts of a dataset are selected for retention)

CERN Tape reliability figures

• CERN has performed a complete verification

(which ended in March 2013) of their data on
tape with a full scan of the backlog
– 104 PB of verified data on 51,519 tapes
– 2 years 7 months and 4 days to complete
– 5 GB lost over 69 tapes
• Conclusion
– Less than 0.00006% data loss…
– Single copy on tape versus 2 copies on disk
– Tape is at least x10 more reliable than disk

NERSC Tape reliability figures
• NERSC1 tape reliability study2
– 12+ year tape archive migrated to new technology
– 24,000 cartridges migrated
– 99.999% of the data was readable
– 99.945% of tapes were 100% readable (13
cartridges were not fully readable, but mostly
readable)
– 14 files had issues representing 100GB
