Agenda- Email client configuration and troubleshooting

Electronic Mail (E-Mail)
• Electronic mail (abbreviated "e-mail" or, more commonly, "email") is a store and forward method of composing, sending, storing, and receiving messages over electronic communication systems. • Types of Email: a. Internet Emails Based on SMTP. b. Intranet Mails allowing users allowing users to communicate with one another, ex. Nipuna Exchange server.

Electronic Mail (E-Mail)
• Email Client is a piece of software which is used to receive and send Emails. • Email accounts of different Email service providers can be configured into a single email account of an email client preventing the customers from logging into different email websites to check their emails

Commonly Used Email Clients.
• Outlook Express. • Microsoft Outlook. • Netscape Mail.

Email Clients
Creation of account and checking their properties

I. Outlook Express
• Outlook Express is an e-mail and news client bundled with certain versions of Microsoft Windows starting with Windows 95.

Creation of Email Account
Outlook Express

1. Click on Tools, followed by clicking on Accounts

2. Click on the Mail tab, then click on Add button, then click on Mail button.

3. Enter Your Name in the Box, click on Next.

4. Enter Your Verizon Email address in the box, click on Next.

5. Enter the details as shown in the figure, click on Next.

6.Type the Cu’s userid/username & pw in the respective boxes as shown.

Note:- Never check the “Logon using Secure Password Authentication” Box click on Next.

7. Click on Finish.

Checking Email Account Properties
Outlook Express

8. Select your mail account and then click on Properties.

9. Check the email address in the box and “Include this account when receiving mail or synchronising.”

10(a). Click on Servers tab, then check the incoming and outgoing servers.

10(b). Check the username

10(c). Delete the pw from there, uncheck and check remember pw, then retype the cu’s pw there.

10(d). Please check “My server requires Authentication.”, then click on Settings.

10(e). Check the “Use same settings as my incoming server.”, click OK

11. When you come back to account properties window, click on Advanced Tab.

12.On this window, check for the highlighted things and change them acc. to the situation

Troubleshooting Steps
• Always the outgoing server port no should be 25 and incoming should be 110. • When clicked on send/receive, if the cu is getting server timed out, then drag the server time out slider to 5 minutes instead of 1 minute(default). • If the cu wants the mails to be stored on the server as well, then check the “ Leave a copy of the messages on the server “ box. • Note:- When you check that box, tell the cu that he will have to periodically delete the old emails from the server as not doing this could prevent him from receiving mails.

13. Click on Apply, and then click OK

14. You will come back to this screen, click on Close.

13. Click on Send/Receive, and the cu will be able to receive mails.

II. Microsoft Outlook
• Microsoft Outlook or Outlook (full name Microsoft Office Outlook) is a personal information manager from Microsoft, and is part of the Microsoft Office suite. • Although often used mainly as an e-mail application, it also provides a calendar, task and contact management, note taking, and a journal.

Creation of Email Account
MS Outlook

1. Click on Tools, followed by clicking on Email Accounts

2. Select Add a new email account, and click on Next.

3. Select POP3 and then click on Next.

4. Enter the cu’s name and their email address in the respective boxes.

5. The username will then be automatically filled out. Enter the password in the password box.

6. Make sure that Logon using Secure Password Authentication(SPA) is not checked.

7. Enter the incoming and outgoing servers as shown in the list.

8. Click on More settings.

9. In this window, click on Outgoing server and Check the “My outgoing server requires authentication”.

10. Check the “Use same settings as my incoming mail server“ radio button, then click on Advanced Tab

11.On this window, check for the highlighted things and change them acc. to the situation

Troubleshooting Steps

12. Click on Ok.

Checking Email Account Properties
MS Outlook

1. Click on Tools, Email Accounts

2. Select View or change existing email accounts button and click on Next.

3. On this window, select the account and then click on Change.

4. You will come back to this window. Please check the details highlighted as explained in the previous slides.

5. Once you have checked everything required, click on Next.

6. Once back on the account, click on Finish.

To Configure Another account,Follow the same process form step1

7. Once in the main window, click on Send/receive. Now the cu should be able to receive mails.

III. Netscape Mail
• Netscape Mail is an Email client provided along with the Netscape Browser suite. • Its functionality is similar to MS Outlook.

1. Click on Edit and then click on Mail & Newsgroups Account settings.

2. Click on Add account on this window.

3. Select Email account and then click on Next.

4.Enter the cu’s Name and his Email address in the respective boxes.

5. Select POP and then enter the verizon incoming and outgoing servers in the respective boxes, click on next.

6. Enter the User name of the cu.

7. Enter a name for the account.

8. Click on finish.

9.Click on Outgoing server (SMTP), check “Use username and pw” box, then enter the cu’s username in the username box, then click on OK.

Checking Email Account Properties.
Netscape Mail

1. Click on Edit, then click on Mail & Newsgroups Account Settings.

2. Click on the account name on the left pane once and then click on Server settings.

3. Check the Incoming server and username. Click on Outgoing Server (SMTP).

4.Verify Outgoing mail server, verify that “Use name and password” box is checked, Click on OK.

Creation and Management of Identities.
Outlook Express

1. Creation of Identity

1. Outlook Express:- Click on File, Identities, then click on Add New Identity.

2. Type the name in the name box

3. If the cu wants to setup a pw, then check “Require a password” box

4. You will get a popup for the pws, enter the pws and then click on OK.

NOTE
• If the cu is selecting a password, he has to remember it till he deletes the identity. • If he forgets the password, we cannot help him with anything else but we have to send him to vendor to get it manually removed. • He will also lose all the emails since he does not remember the pw.

5. You will come back to the screen, click on ok again.

6. You will get this popup, click on yes.

7. It will ask you to create a new account for the new identity, proceed with creating a new account.

2. Switching Identity
Outlook Express

1. Click on file, then click on Switch Identity.

2. Select the identity, click on OK.

3. The new identity is now viewed

Deleting an Identity
Outlook Express

1. Click on File, Identities, and then select Manage Identities.

2. Select the identity to delete and click Remove.

Advanced Troubleshooting Tips
• Most of the Outlook Express/Microsoft Outlook Error codes like 0x800cccOD, 0x800cccOE etc. are resolved by checking the email account properties. • The extreme step would be to restart the computer. • For advanced troubleshooting tips if the errors are still not resolved, refer to Verizon Support Central-> PC DSL->Email->Microsoft Error Codes.
