MEMORANDUM

TITLE: Accurate Attendance Accounting in Secondary Schools Secondary School

Principals
NUMBER: MEM-4817.0

ISSUER: Dave Holmquist, Chief Operating Officer

Judy Elliott, Chief Academic Officer

DATE: July 15, 2009

PURPOSE As we start the 2009-2010 school year, it is important that schools establish and
maintain good practices for attendance accounting. Secondary schools have been
utilizing LAUSDMAX for online student attendance for several years, yet a
significant number of teachers/educators continually fail to submit electronic
attendance or submit inaccurate information. Such poor attendance accounting
practices cause inaccurate submission of ADA data to the California Department
of Education (CDE), increasing the likelihood of an audit. An audit may lead to
penalties imposed on the District as well as a significant loss of revenue.

CHANGES:

PROCEDURES: School site administrators are accountable for producing and maintaining timely
and accurate student data. The principal is responsible for monitoring staff to
ensure that accurate attendance is submitted. Instructions for school
administrators on how to monitor student attendance submission and clearing of
absences is provided in Sections 2.1, 2.2 and 2.2.1 of the ISIS Phase 1 Attendance
Procedures Handbook (v2.0). School administrators and local district
superintendents are to visit ISIS Stats-at-a-Glance to monitor attendance patterns
at their schools, particularly by reviewing the statistics for Attendance Not
Submitted. Information on how to use this tool is provided in the ISIS Stats-at-a-
Glance Flyer and the ISIS Stats-at-a-Glance Reference Guide. The attached
sheet summarizes the location of these resources on the ISIS website
(http://isis.lausd.net).

Please use the resources cited to assist you in monitoring and improving
attendance submission practices at your school. Your commitment to accurate
attendance accounting is crucial to your school’s attendance plan.
