Microsoft Access Exercise Part 2 Mark A. Garcia IT/206 December 18, 2011 Patricia Byerly

Microsoft Access Exercise Part 2 Situation 1 To begin in this situation, I would discuss with Jack the primary use of Microsoft Access and what it can do for him. I would tell him that Access is a relational database management software program that aids its user analyze and store data. It simplifies the most complicated of data into a well comprehensive form of data for all kinds of people can operate with it and is here for people can create their own simple database solutions. Then I would proceed to discussing the use of Microsoft Access and the table, query, primary key, and report importance. Tables are what is use to arrange the data in the database. The advantage you have with Microsoft Access is that you can have one table with multiple data on it, as oppose to have about 4 or 5 separate tables which can furthermore result into confusion. With that been said queries are really important because of the fact they provide the capability to combine data from multiple tables and place specific conditions on the data retrieved. The Primary Key, identifies each record in the table in a unique way, and the reports are self-explanatory. This information is placed in the database from the data tables and are queried into a simple format. After discussing the key functions of Microsoft Access, I would then discuss the basic steps of analyzing data using the software. I would ensure him that the steps of gathering data, creating a database, edit and validate data, connect data files, and completing a Relationship Table would greatly aid him in the world of database management. If he were to have some sort of issue while using Microsoft Access, refer to these steps, and he can easily diagnose the problem Any confusion, I would recommend to Jack articles and blogs concerning Microsoft Access. There are many articles where people attempt to aid the newcomers to the software by giving tips and tricks. Since Jack fits the profile would use those sources to help him in understanding my instructions involving Microsoft Access.

Situation 2 With this situation, the approach I would begin with would to ensure Frank that the job will get done. Therefore, the challenge would then be getting the job done and to find why the amount past due is not showing up in the customers report. As a strategy, I would use the five basic steps of using Microsoft Access narrowing down where the issue exists. To avoid further confusion of the problem, I would proceed to aligning the customers report and database to a model report and database of Microsoft Access. The understand of the customers database will also be needed and so I would ask him to describe what result he needed the use of Microsoft Access to be in agreement as the customer. After understanding the customers purpose, I can now align the databases with one and another for I can attempt to see what error is the cause of this problem while referencing to the five basic steps still. After achieving the customers primary goal, I would then begin in strengthening the customers ability to use Microsoft Access to avoid getting into the same situation originated from. I would advise him to get more experience using Microsoft Access any way he can, for example by studying the five basic steps of Microsoft Access. So the step-by-step would basically be a rip from the steps, a structured guideline for using Microsoft Access: gather data, creating a database, edit and validate data, connect data files and then completing the report. Any further confusion, I would then simply instruct him to re-create the database. Then I would refer him to Microsoft Access articles similar to that of Samuel and Woods of 2007. That would the simply task, and so that would aid him for the current and future databases.

Situation 3 In Stephanies case, I would take approach to find a solution to her problem. I would try to give her a direct answer and help her fix the problem in quick and simple matter. Microsoft Access has a feature that involves Query. Many other users dislike this feature or has run into problems with it. The feature is that when developing Reports that are linked to Queries placing or moving items in the design view of the Report Access runs the linked query in the background on any placement or movement of an item in that Report. If the Report is linked to a Query that takes a long time to return records this forces you to wait until the query has run before you can add/edit or move the next item in the Report. This feature cannot be turned off. This is a common error that Stephanie and many other Microsoft Access users have fallen into. To aid her, as of now and the future, I would also refer to the basics of Microsoft Access for she could best troubleshoot problems on her own similar to the use of Microsoft Access as self-serve. She could try working around the inevitable feature so gain better results. I would recommend making two different tables are jet files, one with the original ID number and the other with the serial number. If she creates a clone of her old jet files she can satisfy herself with having the serial number instead.
