Stage one: The report (or other deliverable) is written up as a draft:

The writer will: Reviewer
• Ensure the file naming format: e.g., Site number, Job Number, Site Address, Report
code: is used throughout document, including file emails, etc.
• Ensure the job folder contains the following completed documents:
o E.g., Short Form Agreement, Site plan, architectural plans, bore logs and
testing data, site photos and all other relevant documentation to all be available in
job folder prior to submitting for review.
• Create a ‘Draft’ folder in job folder.
• Check the draft document for completeness and consistency, and as above.
• Email the draft document to the reviewer.
Stage two: Preliminary checks
The reviewer will: Writer,
• Review document using ‘track changes’, liaise with the CPEng, writer and others as reviewer,
necessary to perform a preliminary check of the document. CPEng,
• Save a copy of the reviewed document and email the Preliminary Check file back to the others as
writer. required
Stage three: Document updating
The writer will:
• Save a copy of the Preliminary Check in accordance with the file naming format as ‘draft Writer
amended’.
• Close out all Preliminary Check comments and makes any amendments required.
• Update the Executive summary or Design Features Report to include all changes made at
Preliminary Check stage.
• Save both the original draft document and Preliminary Check document the into draft folder.
• Updated document emailed to reviewer.
Stage four: Final check
Reviewer
The reviewer will:
• Save a copy of the updated draft in accordance with the file naming format.
• Review the document.
• Email the document back to the writer.
Stage five: Document finalisation
Writer
The writer will: and
• Close out all final comments/amendments from the final check, checks all page breaks and CPEng
headings, undertakes final update.
• Compiles complete document as a PDF file and emails to CPEng for sign-off.
The CPEng will:
• Review, approve and sign-off the PDF.
• Save the file as final in accordance with the file naming format.
• Email the document back to both the writer and reviewer with file name plus ‘final’ in
subject line.
• Copy the final document to the job folder and ensure all previous document versions are
moved into Draft the folder.
• Issue the final document and invoice to the client.
