INTRODUCTION TO MS WORD
Microsoft Word enables us to create professional- quality report, documents, resumes, and
letters unlike a plain text editor, Microsoft Word has highlights including grammar check,
spell check, image support, text and font formatting, advanced page layout, HTML support
and more
Definition
Microsoft office Word. It is a graphical word processing program that users can type with. It
is made by the computer company Microsoft. Its purpose is to allow users to type and save
documents. Similar to other word processors, it has helpful tools to make documents.
- Is the program that allow you to produce profession documents quickly and
efficiently
- Is the most suitable software utilized for building text and file

Microsoft office- is a suite of desktop productivity application that is designed


specifically by Microsoft for business use. Microsoft office contains six core
programs that is Word, Excel, Power point, Access, Publisher and OneNote. The
following are the application of Microsoft office;
i. Microsoft word.
ii. Microsoft Excel.
iii. Microsoft Power point.
iv. Microsoft OneNote.
v. Microsoft Outlook.
vi. Microsoft Publisher.
vii. Microsoft access.
- It is one of the office productivity applications involved in the Microsoft
office suite. Formerly developed by Charles Simonyi and Richard Brodie,
software engineers. It was first released in 1983

START MICROSOFT WORD


 Click Start
 Choose programs
 Click Microsoft word
 When you start Microsoft word, a blank document appears

PARTS OF THE WORD WINDOW (WORD SCREEN)

TITLE BAR – The horizontal bar located at the top of a window and containing the title of the
window or program
MENU BAR - The horizontal bar which containing the names of all application menus
listed below
i. Home – from the home menu, the user can copy/cut the existing text &paste it to
some other place in the same document or the other documents and other processes
that can be operated from the “Home” menu are changing font, colour, size, case,
alignment, spacing, etc
Bullets numbers and paragraphs can also be introduced from the same menu. Users
can look for a particular word in the document by clicking on “Find “from the Home
menu or simply pressing “Ctrl +F” there is an option of replacing that word too.
ii. Insert – From the “insert” menu, files apart from the text can be embedded in the
document. E.g. screenshot, image, tables, Chart, equation, special symbols, shapes,
header, footer and page numbers
iii. Design – From the Design menu, user can obtain pre -decided templates of font &
font sizes for heading, subheading & other of the document.
iv. Page layout – option provides the user with a chance to change the spacing before
the paragraph, idents, and general margin spacing of the page.
v. References - From the references option, the user can include o footnote, table of
content, caption, Bibliography & Citation of the texts in different formats like MLA,
APA but that, the user requires to insert a list of book the user has referred to.
vi. Review - The review option helps user check spelling & grammar errors in the
document & protect the document from being edited by non-trusted user

STANDARD TOOLBAR -Toolbars contain buttons, drop-down menus and


other controls that help you to quickly alter the appearance and
arrangement of documents by executing a variety of word [Link] are
very helpful and convenient in quickly executing commands without having to go
through menus. The standard toolbar contains icons for basic functions like opening
files, saving files, printing files, cut, copy, paste etc.

FORMATTING TOOLBAR - This contains icons for changing the look of your text
(called “formatting” in computer jargon); for example, there are icons for
changing fonts, styles, font sizes, text alignment etc.
RULER -The Ruler lets you make changes to margins and indents, and helps you
create document as per dimensions required

SCROLL TOOLS - These helps you travel within your document. You can go
anywhere, up and down, right and left in your document mainly by two ways:
Using the horizontal and vertical scroll bars with the help of the mouse; Or
using the keyboard to press Pg Up, Pg Down, Home, End and arrow keys.
STATUS BAR - Also called the Status Area, this is the normally the last line on
your screen. This gives the following information about your work—
· Current Page
· Section Number
· Current/Total pages in the document
· Current Cursor Position (where the cursor is presently located)
· Current Line Number
· Current Column Number
· Record Macro-whether macro recording is On or not
· Track Revision-whether revisions have been made or not
· Extend Selection
· Over type mode-whether you are in Insert mode or overwrite mode

CURSOR - Also called the Insertion Pointer, this denotes the place where
text, graphics or any other item would be placed when you type,
overwrite or insert them. This looks like a tall, skinny toothpick and keeps
blinking so that you can locate it easily.

MOUSE POINTER - When your mouse pointer looks like an I-beam you should
be able to move it freely on the screen. This is used for either placing the cursor
at the desired place (take the mouse pointer there and click) or choosing any
command either from the menu or from toolbars. The mouse pointer changes
shape when in the process of doing certain tasks and the cursor disappears

MICROSOFT WORD TERMINOLOGIES


i. Word Wrap – A feature of the word that moves or advances text to the
next line when typing exceeds the right margin without pressing the
enter key
ii. Drag and Drop – A smart approach to copy or transfer text a short
distance
iii. Word Art – Text designed as a graphic image
iv. Footer – A feature that allows the text/graphics that are marked on
every page or segment, regularly at the bottom yet can be anywhere on
a page
v. Header – A feature that arrows text/graphic that are imprinted on every
page/section, usually at the top yet can be anywhere on page
vi. Paragraph Styles - A feature that allows text styles for complete
paragraphs including their font, alignments, tabs, etc
vii. Endnotes – Notes or references that resemble at the end of the
document
viii. Footnotes – Comments or references that appear at the bottom of each
page
ix. Indent - A feature that allow setting a temporary left or right margin for
paragraph lines
x. The Margin – The gap between the edge of the text in the record and
Top, Base, or side edges of the page
xi. Page Break – The spot in document where one-page ends end the other
starts
xii. Bullet & Numbering - A feature that enables the user to generate
bulleted or numbered paragraphs
xiii. Landscape – A terminology used to specify page orientation, where the
page is wider than it is tall
xiv. Page Orientation – How pages are laid out in a written document.
xv. Portrait – A page orientation where the page is longer than it is wide
xvi. Formatting Toolbar – A feature that enables changing character and
paragraph formatting, such as alignment and types styles
xvii. Font Style – Certain regular changes in the appearance of font
xviii. Chart – Graph that employ columns, lines and pie shapes to denote
numbers and data.

THE USES OF MICROSOFT WORD


a. Ms Word allow users to do write-ups build documents, resume, record
instruction documents, or a letter to another person and serves as one of
the most regularly used programs under the office suite.
b. In the education field Ms Word is regarded as one of the simplest tools
which can be utilized by both teachers and students; for formulating
notes more easily through Ms Word by making them more attractive by
making them more interactive by adding shapes, images, colours and
other effects
c. It is also beneficial to make assignments on Ms Word and submit them
online
d. In the workplaces, Ms Word is employed for submitting letters, planning
reports, making bills, sample documents, letterhead etc
e. Ms Word serves as one of the best tools for creating and editing resumes
and making changes to them.
f. As separate choices are available for table of content, Ms Word acts as
the best tool that can be utilized by authors for writing books and
adjusting it as per the requirement.
