About Us:

Ecole Therese is a two-pronged educational institution comprised of a bilingual international school,


fully licensed by the National Schools Inspectorate Authority (NaSIA), offering the French National
Education (ENF) and the Cambridge Programme on one hand; and a Strategic Business Unit known as
Ecole Therese PLUS on the other hand, which caters for the language and communication needs of
organizations, professional individuals and groups (through the design and delivery of primarily,
French Proficiency Programmes, and sometimes English proficiency programmes as well).

With support from the Ghana Skills Development Fund, Ecole Therese has established a state-of-the-
art Tech and Innovation Hub designed to revolutionize STEM - Science, Technology, Engineering and
Mathematics lessons delivery, language education and skills development. An environmentally
friendly hub, constructed from shipping containers and fully equipped with cutting-edge technology,
our hub will serve as a STEM laboratory and a multimedia language learning centre offering bilingual
coding, robotics, and STEM lessons to pupils & students of Ecole Therese and as well, of other schools,
(from the first floor).

The hub will also offer innovative language proficiency programs to adults (individuals and groups). It
will cater to students, professiona:s, and organizations, offering international standard programmes
with a focus on innovation, second language acquisition, practical learning experiences and
sustainability, (from the second floor).

Role overview:

We are seeking a detail-oriented and highly organized Project Coordinator to oversee the
establishment and operationalization of our Tech and Innovation Hub. In this role, you will work
closely with the Head of Ecole Therese PLUS, to finalize the construction phase, manage ongoing
paperwork related to financials, procurement, and equipment acquisition. You will also work with the
Head of Operations and help define the strategies and procedures that will drive the Hub's success.

The Project Coordinator will play a pivotal role in defining the operating framework, creating and
managing SOPs (Standard Operating Procedures), and ensuring that all aspects of the Hub are
implemented according to international standards.

This role is ideal for someone with a strong background in project management, operational strategy,
and education technology, with a passion for creating impact-driven environments.
Key Responsibilities:

1. Finalizing Construction and Setup:

• Complete Documentation: Under the supervision of the Head of Finance and Ecole Therese
PLUS, finalize all outstanding paperwork related to the financial management of the Hub's
construction and procurement processes.

• Equipment Procurement: Under the supervision of the Head of Finance and Ecole Therese
PLUS, support the procurement and Installation of the outstanding technology, required to
ensure the successful kick-start and operatlonalization of the Hub

• Supplier & Vendor Liaison: Act as the point of contact for all external vendors and suppliers
Involved In the setup of the Hub, ensuring that tlmellnes, quality standards, and budgets are
adhered to. Ensure there Is detailed records of vendors, work done, contact details and
follow-up plans.

• Compliance & Standards: Ensure that the setup meets both local regulatory standards and
international best practices for educational facilities.

2. Strategy & Operational Planning:

• Strategic Alignment: Work with the Head of Operations and leadership team to define a
comprehensive operational strategy that aligns with the Tech and Innovation Hub's goals.

• Operational Plan Development: Translate the strategic objectives into an actionable


operational plan, with clear deliverables, milestones, ancl timelines.

• Goal Setting & KPls: Collaborate in setting both short-term and long-term business targets,
including financial, operational, and impact-related go.~ls for the Hub.

• Innovation Integration: Incorporate innovative approaches and cutting-edge educational


technologies into the operational plan, ensuring the Hub delivers on its promise of being a
centre of excellence for Ghana and for t~e sub-region

3. Standard Operating Procedures (SOPs) and Process Development:

• Create SOPs: Develop detailed SOPs for all functional areas of the Tech and Innovation Hub,
including STEM and language labs, technology usage, coding/robotics classes, language
proficiency programs, and administrative operations.

• Quality Assurance: Define quality standards and ensure that all activities within the Hub meet
those standards. Regularly review and update SOPs as needed.

• Operational Wo.rkflow Optimization: Map out and ·optimize operational workflows to ensure
seamless integration between the STEM and language programs, as well as the back-office
functions (a~ministration, finance, etc.).

4. Financial & Budget Management:

• Budget Management: Assist the Head of Operations in the preparation and management of
the Hub's budget, tracking expenses, and ensuring the project remains within budget.

• Financial Oversi-·Support the Head of Finance with the required information to assist with
the financial management of ongoing procurement,

• Cost Control: Identify and recommend cost-saving opportunities to the Head of Operations
and Head of Finance, without compromising the quality of the educational experience or
operational efficiency.

s. Team Collaboration and Stakeholder Engagement:


• Team Coordination: Work with the Head of Op.erations to create a cohesive team structure
assisting in delivering the needed orientation and training to the rest of staff and users of th~
hub

• Stakeholder Management: Communicate regularly with internal and external stakeholders


{school leadership, vendors, educators, etc.) to ensure alignment on key objectives and
project timelines.

• Cross-Department Collaboration: Work closely with departments such as marketing, finance,


and educational programming to ensure successful launch and ongoing operations.

6. Marketing & Community Outreach Support: (General)

• Brand Development: Support the Business Development function in the development of


marketing materials and branding strategies that align with the Hub's mission and goals.

• Community Engagement: Assist in developing partnerships with external organizations,


schools, and universities to promote the Hub's programs, expanding its reach and impact.

• Event Planning: Coordinate promotional events, open houses, and other initiatives to increase
awareness and engagement with the Hub's offerings.

7. Continuous Improvement & Reporting:

• Impact Measurement: Develop systems to track the success and impact of the Hub's
programs, gathering feedback from stu_dents, professionals, and other stakeholders.

• Performance Reporting: Assist the Head of Operations in preparing monthly, quarterly, and
annual reports on the Hub's performance, financials, and progress against key objectives.

• Process Improvement: Continuously evaluate and refine operational processes, identifying


areas for improvement to increase efficiency, effectiveness, and student satisfaction.

s. Coordination, Business Alignment, and Program Development:


The Project Coordinator will serve as a central point of contact for aligning the Tech and Innovation
Hub with the broader goals of the international school and its community, ensuring that both the
internal and external stakeholders benefit from the Hub's offerings.

1. Ensuring Coherence Across Units:

Stakeholder Engagement: The Project Coordinator will work closely with key stakeholders within the
institution- particularly the academic leadership, curriculum developers, and teaching staff-to ensure
the seamless integration of the Hub's services with the school's broader educational goals.

Cross-Unit Coordination: Collaborate with departments such as STEM education, language programs,
and extra-curricular activities to ensure that Hub activities are aligned with the school's academic
calendar and community engagement efforts. This includes ensuring that the STEM lab's use for
school-based experiments and robotics aligns with school curricula, as well as coordinating the
schedule for external student groups or school visitors.

Feedback Loop: Implement a feedback system with the school's teachers and students to ensure the
Hub's offerings are meeting the institution's evolving needs, whether for scientific experiments,
coding, robotics, or language programs. This feedback will inform ongoing improvemen ts and
adjustments to the programs.

2. Program Co-Design and Development:

Innovative Program Design: Leverage the bilingual nature of the Hub to co-create innovative STEM
programs and coding/robotics courses that are offered in both French and English, catering to diverse
student groups. Given that no other school offers STEM and tech education in two languages, this
presents a unique opportunity for the Hub to become a leading force in bilingual STEM education. The
coordinator will take the lead in designing bilingual programs, collaborating with educators and
industry experts to ensure the offerings are not only engaging but also industry-relevant.

Tailored Programming for Different Audiences: Design and offer tailored programs for various target
audiences, including:

School Pupils: Develop engaging and hands-on STEM experiences for the school's students in both
English and French, incorporating real-world applications of coding, robotics, and scientific inquiry.

External School Groups: Build partnerships with other schools, ensuring that the STEM lab can be
utilized by external student groups to foster wider community engagement and growth. This may
include offering group classes, specialized workshops, or after-school enrichment programs in both
languages.

Professionals & University Students: Extend the Hub's offerings to adult learners and professionals
by designing specialized courses focused on advanced coding, robotics, and language proficiency
programs that will help them upskill in a global, bilingual context.

3. Proactive Program Suggestions and Market Development:

Business Target Alignment: Proactively suggest new programs or refine existing offerings based on
market demand, trends in STEM education, language acquisition, and technology, and in alignment
with the Hub's financial and impact-related targets. For example, if the internationa l market is leaning
towards specific coding languages or there's a demand for professional-level robotics workshops, the
Project Coordinator will lead the charge in developing these offerings.

Attracting Audiences: Leverage the Hub's unique bilingual offerings to attract students, schools, and
organizations. This could include hosting open days, workshops, or pilot programs in both French and
English to introduce the community to the Hub's innovative approach to STEM and language learning.

Building Partnerships: Cultivate and build partnerships with local and international schools,
educational organizations, corporate entities, and government bodies to increase the Hub's visibility
and to promote collaborative initiatives. This can also involve partnerships with tech companies,
universities, and language learning platforms to create joint ventures and attract a wider audience.

Community Engagement & Awareness: Lead marketing and outreach campaigns (in collaboration
with the marketing team) to generate awareness about the unique bilingual STEM offerings. Highlight
the innovative approach to coding and robotics in both French and English, emphasizing how the Hub
is filling an important gap in the market for bilingual STEM education.

Program Marketing and Outreach:

Branding and Messaging (Specific): Ensure that all marketing materials, both digital and offline,
clearly communicate the innovative nature of the Hub, focusing on the bilingual STEM and language
programs as a key differentiato r in the local and international education market. Create promotional
content that showcases the impact of bilingual STEM education and how i.t prepares students for the
global job market.

Student and Parent Engagement: Develop initiatives to engage both students and parents in the
educational value of the Hub's offerings. This can include organizing events where students
demonstrate their coding projects or robotics creations, offering workshops for parents to learn more
about the Hub's educational approach, and creating testimonials from students who have benefited
from bilingual STEM experiences.

Long-Term Business Development: Assist in creating strategic plans for scaling the Hub's operations
to meet future growth. This could involve expanding the range of programs offered, building
additional physical space if needed, or offering online classes to expand the Hub's reach.

4. Impact and Success Metrics:

Tracking Success: Set and track clear KPls (Key Performance Indicators) for all programs, including
student enrolment numbers, satisfaction ratings, financial performance, and the impact of the
bilingual STEM programs. Continuously assess the Hub's programs and propose improvements to
ensure they meet business targets while delivering high-quality educational experiences.

Data-Driven Adjustments: Regularly review program data, feedback, and market trends to identify
new opportunities for growth or refinement of the Hub's services. This could include adjusting course
content, exploring new subject areas (e.g., Al or cybersecurity), or expanding outreach efforts to
additional communities.
