Overview
The main purpose of the Export Utility version 1.3 is to move large amounts of data rapidly into the proper software packages. It is only to be used in conjunction with RBI Level II version 3.0 and RBI Level III version 1.0. Some secondary purposes of this utility are:
Exporting results from RBI Level II or RBI Level III for custom reporting. Exporting results from RBI Level II or RBI Level III for data validation. Re-exporting into an existing from RBI Level II or RBI Level III database for global updating. Transferring data from RBI Level II into RBI Level II via the Export Utility.
Microsoft Excel 5.0 , Microsoft Excel 95 or Microsoft Excel 97 must be installed in order to utilize this utility. If not of the above programs are installed, it is recommended that one of them be installed prior to installing this utility.

Installation
Install RBI Level II version 3.0 and RBI Level III version 1.0 prior to installing the Export Utility version 1.3. If the utility is not installed in the proper order then the RBI software packages will not have the capability of exporting into an Export Utility template. Run the Setup.exe program located on the CD-ROM in the Export Utility folder or the first Disk of the setup diskettes.
It is recommended that the default installation directory, C:\RBIEXPUT, be selected when installing the utility. The Export Utility can be installed on any drive on the host computer or a private drive located on the network.
During installation, a selection must be made regarding the version of Microsoft Excel that exists on the host computer. If Microsoft Excel 5.0 or Microsoft Excel 95 exists, select Excel 5.0/95 Templates If . Microsoft Excel 97 exists, select Excel 97 Templates .

Saving Workbooks
When saving the Export Utility Template, make sure the workbook is saved as a Microsoft Excel 5.0/95 Workbook. If the workbook is saved as a Microsoft Excel Workbook or a Microsoft Excel 97 & 5.0/95 Workbook the utility will not function properly.
(This only applies to saving workbooks using Microsoft Excel 97 ).

Exporting from Excel to Access
To export successfully from an Excel workbook (Export Utility template) into an Access database (RBI Level II and RBI Level III) certain criteria must be met:
1.
A database must be created using RBI Level II or RBI Level III.
2.
Plant and Unit data must be complete in the Export Utility template.

The Equipment ID and Equipment Type columns for at least five records must have data in the Export Utility template.
Columns that hold numeric values should have a value in the first five rows. If column data does not apply for a specific equipment item then a value of zero should be entered. Once the above criteria have been met, the data can be exported into the RBI Level II or RBI Level III Microsoft Access database. The following steps will complete to export process from Excel to Access. 1. To begin the export process, click to Export to Level IIor Export to Level IIIbutton located on the Overview worksheet in the Export Utility template.
A message will be displayed prompting to close Microsoft Excel.

2. While Microsoft Excel 97 closes, a message will be displayed prompting to update the current workbook version (Excel 5.0/95) to Excel 97. Select when this message appears. The Export Utility No will not work properly if it is updated to an Excel 97 Workbook.
3. Select the Access database that was created earlier using RBI Level III version 1.0.

4. Enter the appropriate User Name and User Password to access the RBI Level III or RBI Level III database.
5. Click on the Start Export button to begin the actual export process. 6. When the export process has been completed a message is displayed acknowledging the total number of records successfully exported to the RBI Level II or RBI Level III database.

Exporting from Access to Excel
1. To export from an Access database to an Excel workbook click the Export Data to Spreadsheet button from the RBI Level II or RBI Level III program main screen. s
If the button is disabled, the Export Utility must be re-installed.
2. Enter the name of the new Export Utility template that you want to export the data. If an existing template is selected, a new template will be copied over the existing template and in effect all old data will be lost.

3. Enter the appropriate User Name and User Password to access the RBI Level III or RBI Level III database.
4. Click the Next button to continue.
5. Select a specific unit to export. Each Export Utility template is designed for equipment items located in an individual unit.
6. Click on the Start Export button to begin the actual export process.

Troubleshooting
Common Problem: Export Data to Spreadsheet button is disabled in the RBI Level II or RBI Level II software. Solution: The Export Utility was not installed after the installation of the initial installation of the RBI Level II / III software or the RBI Level II / III software was re-installed and the Export Utility was never re-installed. Re-install the Export Utility software.
Common Problem: Several columns are not exporting into the Access database. Solution: The column contains mixed data. Mixed data is a column that contains various cells with numeric values in several cells and text values in other cells. If the majority of the cells in a single column are text values then the remaining cells that are numeric in value will not export into the Access database. To change a numeric value to a text value for the purpose of exporting, place an apostrophe in front of the numeric value. (Example: 1.00 becomes 1.00) In a strictly numeric column, such as Temperature, several cells may actually be text in value. These cells will not export. To verify that a column that is supposed to be strictly numeric is truly numeric, format the column to display a decimal value. The cells that do not conform to the cell formats are text values. Simply re-type to value back into the cell. This problem is usually caused be cutting and pasting into a range of cells.
