Minutes approved unanimously. EMERGENCY BUDGET HEARING Andujare: Why did I include the Emergency Budget Hearing? The request of ASCC is urgent, but I decided to include the DL subsidies today instead of waiting for another budget hearing. OFO DL Subsidies P195,450.00 Andujare: The DL students from the Loyola Schools will receive print and photocopy subsidies. Also need posters to inform the students of this. Will be adopting the SOM system using cards and lists. The target date of release will be on the first two weeks of school. Gomez: Last meeting, sabi ni Dan that UP printing was cheaper and to review printing suppliers. o Andujare: Were trying to close a deal with InterMatrix. The deal is cheaper than UP printing. Mondok: Promos how many? How will it work? o Andujare: One design that can be reused. Actually thats fifteen long things that can be divided. Turnover excess subsidy amounts to next sem.

De Jesus: Youre planning to reuse the posters? Will they last? o Andujare: Yes, it's of good quality, I assure you. Andujare: For all DL students. SOSE and SOSS do not have their own SBs, but technically everyone is my constituent. Motion to approve budget by 2 SOM CB, seconded by 2 SOSE CB. Budget approved unanimously. ASCC Sanggu App P101,845.00 Victorino: ASCC will develop the Ateneo mobile app. Professional fee is P100,000.00 and promotions are P1,845.00. Professors from DISCS will help develop and maintain the app. Andujare: We already tried canvassing outside of Ateneo, they gave us a rough estimate of P450,000.00. Who are these profs? o Victorino: Rafael Alampay and Andre Navarro. Victorino: Features will include FAQs, announcements, calendar of events, map of Ateneo, quick access to files (Magna Carta, Sanggu officers directory, directory of admin offices, Sanggu constitution, etc.). Already asking OMIS to connect AISIS for grades and schedules. Feedback mechanism to ASCC. Yu: Opted out of outsourcing for AISIS integration. Andujare: We were discussing this since March. Consulted MISA and CompSAt. Why did Noel decide to consider the faculty? If we ever need maintenance or upgrade the app, nandiyan lang sila. We're trying to aim to launch the app by RecWeek. Launching the app is a good step for Sanggu and its a chance to collaborate with other sectors. Mondok: Basis for features? o Yu: Left it to Joben as ASCC head, but we pitched ideas. o Mondok: So sa atin lang galing? o Yu: So far its mostly internal, but we are very open to feedback. Mondok: So kailangan compatible yung app for the system? Extra cost for upgrades? o Andujare: Part of maintenance, so it's free.

Cruz: Is the app for free? o Victorino: Yes. Yu: Login feature through OBF. Cruz: Who's gonna test the app? o Yu: Announcing soon, to open to testers. Quiogue: Separate versions for iPhone and Android? o Yu: Compatible. Santos: Chance that the maintenance will be added to our tuition fees? o Victorino: No. o Andujare: And even if you divide the P100,000.00 to all of the students for the LS, its P12.50 per student. Reyes: Regarding updates, on a need basis, or every sem? o Victorino: May naisip na for the next version, will also consult students with what they want. SCHOOL NIGHTS JGSOM Poe: Update file is actually a bit not updated. Weve met with Sir Rem to talk to him about progress so far. Poe: This years SOM Night is Marvel SOMics Presents: Iron Man 3. Purpose is to introduce students to the school and opportunities, etc. Poe: Programs include featured SOM orgs, dance groups, acapella singing. Performers are former SOM students. Theme is sort of gearing them towards responsible citizenship. Poe: Speakers will include: a social entrepreneur, rising entrepreneur, and star power.

Poe: Biggest concern is that production is extremely delayed. We are doing a very rushed job. Director is Alvin Yllana. We haven't started shooting. It is a one hour film. 57 days worth of footage is needed. Deadline is 3 days away; we have very little time. Script was just recently finalized. Contingency plan: if the storyboard isnt ready yet, replace the film with something else. Push through with the rush? Poe: Alvin, in your opinion, kaya ba, if we rush it? o Yllana: Kaya. o Poe: Then I'm not as worried as I used to be. Poe: ORCOM won't release a number of people in the blocks. If Vice President can talk to Registrar to get us the list, it would be amazing. Mondok: Kung hindi pa okay ang film, options? o Poe: Shorter film, then extended program. SOH Dario: Theme is carnival. SOH students are artsy and topsy turvy, creative, out there and the theme will celebrate that quality in us. Name is ImpreSOHrio, comes from impresario which is the manager of a circus. Atienza: We surveyed batchmates, about what they liked/didn't like about SOH night. Natividad: Decorations already have plans, shop by May 27 or 28, budget is fixed, planning a photobooth, handmade lanterns, masks, tarot cards. Photobooth will be taken care of by Aperture Society. Atienza: Catering by Blue and Gold. Dario: Promos - countdown posters, cover photo and event, profile pics on Facebook. Dario: SOHnline. Blog that will launch on Wednesday. We asked students for submissions for literary and visual arts. INTREPID. "brave, daring" we are like that because we go out of the norm and live our artistic lives. Give an idea to freshies about SOH, give confidence, by showcasing art. Natividad: Marketing - all sponsors are either already sponsoring OrSem, or no reply yet. o Dimla: We have two possible sponsors already. o Natividad: Our budget will be able to cover everything even without sponsors.

Dario: Auditions for hosts. The upperclassmen have to wear costumes! Performers, ENTA, BlueRep, She's Only Sixteen. Org booths like for WriterSkill. Booths will have games and carnival theme. SOSE Tobias: Theme is space. Logistics are good. Getting everything from ORCOM. Good turnout of volunteers. No final lists of eTnTs yet, will get from SOSE orgs. Three hosts. aMp has contacted me asking if well let them perform. A while ago, we had a GA for volunteers. Tobias: We will be having LipDub, SOSE Sanggu video, transition videos (part of program). Dry run will be on May 27 to 28. Will meet with dean. Buying decorations next week and assembling the week after. Tobias: Problems - guest speakers - Robi Domingo cant go. Looking for replacement, we're trying Fr. Jett. As for sponsors no lock-ins yet, but we are looking around. Already talked to Cat and shell help. De Jesus: Contingency plan if no sponsors? o Tobias: Another problem is that we decided to get shirts, e xcept it wasnt part of our proposal. Hoping to get sponsors for that. Will iron out later. . Aldea: Orgs - home orgs lang, including PMSA? o Tobias: Yes. PMSA and ESS plus STC minus Psyche. Andujare: Asked you guys to ask the Deans Office for help with b udget. o Tobias: For next meeting. Need to ask for a certain amount. o Andujare: Tell the Dean directly what the amount will be for. o Yu: Also inquire for help getting speakers. SOSS Javellana: Venue reserved, Leong Hall as usual. Difficulty because of seating capacity 681 freshies vs 476 seats. Javellana: Ushers/volunteers, 40+ sign-ups. Javellana: Theme - 5055 Leagues Under the Sea.

Javellana: Printed out invites with OrSem. Program done, almost done getting confirmations from speakers and performers. Done shooting intro video for courses and departments. Ordered 630 bottles for giveaways, still under budget. Javellana: SponsorsOur Dog Shampoo, closing deal with Gardenia. Epson is offering an ex-deal of printers. Food/beverages from AMPC. Gaerlan: Already reserved Leong Hall? o Javellana: Coordinating with OAS. SOSS gets Leong every year. Its hard to get another venue because all the venues are taken. Other venues HS Cov Courts is too far. o Dimla: Consider AGS auditorium. o Javellana: Toby checked and we wouldn't fit. o Dumancas: CovCourts behind the CovCourts? o Yu: Wont fit. o Andujare: Ask OAS for suggestions. o Mondok: No other suggestions? o Gomez: Open area? o Elicano: Suggest discussion regarding venue issues be out of meeting. OFO UPDATES Andujare: Updates on approved budgets. May 4 was the last official Budget Hearing, plus the emergency ones on May 9 and 17. We have approved P1,248,521.69. 32% food, 7% logistics, 38% materials and supplies, 17% tokens and fees, 5% promotions, 1% others. As of now, OFO has the biggest budget to our name, because of Buklod Atenista and the DL Subsidies. Andujare: Next hearing in August, and that will cover the rest of the year. That P1.2M does not cover any School Weeks or freshman projects. Be more conscientious and practical with your ideas. Not to jeopardize quality, but make sure. Andujare: All units that propose budget will have to report back to CB. Yu: Historically, mas malaki ba ang amount na to? o Andujare: Historically, yes. Usually P500,000 lang for summer. This year, some yearlong efforts have been proposed early, we have big expenses like standardized DL subsidies and the app. Weve been more generous with food; all our meetings have it. Think you proposed many projects early in line with the fewer budget hearings.

Cruz: If the project does not push through, where does the money go? o Andujare: It stays in the account. Were trying to avoid bloating. o Cruz: How much can we request? o Andujare: As mandated by being student government, we can request any amount. But in line with transparency and accountability, we want to implement guidelines. Its not our money; its the students money. o Cruz: Can we set a cap for the yearamount of the SAF per student that goes to us x number of students? o Andujare: Were far from reaching that. But encouraging everyone to be more creative. o Yu: Not saying dont spend. Just be mindful. IGNATIAN FEST Elicao: Happens in July, for Ignatian spirituality. Used to be an alumni thing, but this year they are involving Sanggu. They want to extend it to students as well, but they lack volunteers. We have the series of talks as the main event, and also campus tour for alumni. Elicao: ACMG planning a St. Ignatius seminar during that month. INTACT - life of St. Ignatius, a Meet the Jesuits kind of thing. They are asking for other initiatives that could be done. ANNOUNCEMENTS Yu: Announcements? Elicao: CB reps, encourage reps to sign up for the Sanggu departments and committees. SOH has no sign-ups yet. Andujare: Finance reps to submit template that I uploaded by Sunday night. After budget has been approved, send budget proposal again, change in filename even if there is no change in content. This is to make sure you know what your approved budget is.
