JOB DESCRIPTION PUBLIC ENGAGEMENT COORDINATOR INTERNAL PROJECTS An exciting paid opportunity for a University of Birmingham postgraduate has

s arisen. Reporting to the Universitys Public Engagement Working Group, the internal project coordinator is responsible for delivering support for campus based Public Engagement initiatives in Autumn 2013. The post is full-time (36 hours per week) and runs October to December 2013. The successful applicant will be paid 9.54 per hour (Band 400/ Spinal Point 30). Unfortunately we are unable to offer an alternative slot to applicants unable to attend on this date. -------------------------------------------------------------------------------Role Summary The post holder will be responsible for delivering support for campus based Public Engagement initiatives in Autumn 2013 to include the promotion of Catalyst funded opportunities, mapping and collating existing resources for inclusion in the online platform as well as working on the external Public Engagement webpages and associated promotional activities to agreed timescales and on budget in liaison with and on behalf of the PEWG. Reporting to: PE Working Group Admin Lead & Cultural Partnerships Manager Key Responsibilities Contribute as a member of a project team to the delivery of the Public Engagement website. Provide administrative support to the web task group. Be the key operations contact for the internal online resources platform and liaise with PEWG members, task group and students for the duration of the project. Promote the online platform to the PE networks in the academic community across the University. To act as the administrative point of contact for the Catalyst programme working in conjunction with PEWG. To produce and maintain a detailed Project Plan for the duration of the internship, encompassing all Project milestones, tasks, task durations, task ownership, task dependencies, task start and completion dates. Using existing University digital and social media channels promote all the above activities as well as other externally facing activities as requested by line managers.

Detailed responsibilities include: Academic Engagement To promote the projects to academic colleagues, staff and students, across the University using agreed messages and communication channels with assistance from relevant internal colleagues using existing networks and developing new internal audiences. To advise staff on ways to engage with the Catalyst programme, signpost any training or sharing best practice opportunities within the University via the online platform.

Website Development and Delivery External Website - To build on existing task group work on the website content during the delivery phase. To collate all available information to ensure changing content and news stories. To ensure all content meets legislative requirements and University guidelines. - To ensure all Colleges and varied departments are represented on the website and meet any agreed themes or agendas as agreed with the task group. Internal Online Platform - To build on existing task group work on the internal web resource content during the delivery phase. - To map existing provision and collate opportunities available to internal colleagues from across all Colleges and the wider University. - To collate all available information to ensure up to date content and new opportunities. To ensure all content meets legislative requirements and University guidelines. Promotional Activities - Work with the CP Manager to create messaging surrounding the PhD Cup, website and online platform and be responsible for the production of promotional material following approval from the relevant task groups and/ or line managers. - Use appropriate communication channels to promote the projects to target audiences and to generate PR opportunities for regional and national media where appropriate. Budget & Administration - Keep accurate records of budget expenditure within agreed limits and ensure all paperwork is in line with University guidelines and timescales. - Create end of project budget reports assisted by the Project teams as required. - To build effective relationships with the various stakeholders associated with the Projects to ensure maximum buy in and to reduce duplication of efforts. - To work closely with relevant internal departments and networks to secure necessary and relevant consents. Monitoring and Feedback - Embed project monitoring and data capture throughout development and delivery phases in order to learn from experiences and update objectives as required. - Develop feedback mechanisms for staff, student and members of the public to be used to contribute to evaluation of resources and initiatives. - Produce draft evaluation report for approval by the Project team to include answers to key questions posed at the start of the project, lessons learned and best practice?

Experience and Skills A team player willing to accept responsibility for delivering the required result and ensuring that others are kept informed of progress and possible problems. To understand and communicate the project objectives to University colleagues, students, all external contractors, agencies and the general public. Excellent computer skills, writing and communication skills and the ability to deal with people at all levels. Experience in working with volunteers Ability to work under pressure to tight deadlines.
