Chapter 1
Introduction

This module is designed to familiarize you with the Amadeus


Information system (AIS) and conversion functions. It also contains
information on how you can access on-line help, which is a
comprehensive description of all the Amadeus function entries. The
conversion function describes the entries you can use to decode and
encode names and industry codes as well as the calculator functions
you can perform.

Objectives

At the end of this module you will able to:

• Request AIS pages


• Search for information in on-line help
• Encode/decode city and airport codes, country, airline, and
aircraft types
• Verify and display minimum connecting times
• Perform calculator functions

Amadeus Information

Request Help After an Error Message (HE/)

When you make a mistake in an entry, the system responds with an


error message. If you receive an error message, you can display the
on-line help page for the last transaction code you entered.

You make the following entry:

NMWATSON/HARALD MR

INVALID FORMAT/NOT ENTERED/

To request on-line help for the NM transaction code, enter:

HE/

If you make an error in a multiple element entry, the system displays


the on-line help screen for the first transaction code in the entry.

If you have entered an invalid transaction code, and then request the
help function, the system automatically displays the on-line help
main menu.

Chapter 1 Introduction

Recall Entry (RE)

You can recall the last entry, or entries you have made in the
Amadeus Central System. When you make this entry, the system
automatically redisplays your last entry. And if you make it again. It
displays the entry before that.

To recall your last entry, enter:

RE

The system redisplays your last entry, positioning the cursor at the
beginning of the entry. When you press Enter, the system displays
the information associated to the entry.

You can redisplay your last two entries.

If you do experience some problems, please look at the Amadeus


on-line help pages by typing:

If you cannot find answer here, contact your local help desk.

Amadeus Information System (GG)

HEGG

The Amadeus Information System (AIS) is a central source of


reference information. There are two types of information in AIS:

Information provided and maintained by Providers.


Information provided and maintained by Amadeus.

You can request information from AIS at anytime, even if you are not
signed into system. When you are already working in the system you
can display information from AIS and the continue with your previous
activity.

A total of 997 million pages are available in AIS. The information in


AIS is organized by categories, subjects, and page:

Amadeus Information

Each level has a defined keyword and title. You can combine
keywords and titles to produce Quickpath entries, as you will learn
later in this module. Quickpath entries display information quickly
and efficiently.

To access information in AIS, you use the transaction code GG. To


access the AIS page enter:

Chapter 2 Introduction

The system lists the categories alphabetically there are available,


and in a separate column the Quickpath entry you make to access
the information.

Scrolling Entries

HESCROLL

The information that is available in Amadeus Information Pages and


Amadeus Online Help can exceed one screen display. To view the
additional information. You need to use the following scrolling
entries:

MD Move Down to the
MU Move up to the next screen of information
MT Move top or to the first screen of information
MB Move bottom or to the last screen of information
MP Redisplay a cleared screen
MS# Move screen to a specific line number
GP# Go page to a specific page number

Note: # equals the number of lines you want to move, or the page
number you want to go to.

Depending on the information provider, the message END OF


DISPLAY appears when you have reached the last line of
information.

There are three categories of information maintained by Amadeus


providers. You can request information on airlines, hotels, and car
rental companies. Some of this information is entered into the
system by the individual company, so the format and content can
vary from provider to provider.

is maintained for various countries, and instructs you on how to
obtain specific information for a country.

AIS News
A new feature is available in AIS. News is a comprehensive list of all
the products that have been updated and shown in the daily sign-in
message. It can include updates on new air, hotel and car providers,
as well as functionality changes to Amadeus.

To access the news, enter:

Locating Text
You can locate specific text, or characters within an AIS page. The
system searches for the text you have entered and displays the page
where the first occurrence of the text is found. The minimum length
of search characters is 59.

To search for the first occurrence of infant ticketing text, enter:

Help (HE)
The Amadeus Central System contains an on-line help facility. Help
is a complete description of each Amadeus entry. You can access
the help function during any part f transaction. After accessing Help,
you can return to your previous activity.

Help is part of the AIS database, therefore the Quickpath principle


applies.

To display the main menu of help subjects, enter:

HE

To access a specific subject, you enter HE and the name of the


subject:

HEPNR

The system displays both the quickpath entry and the page location.
You can use either the quickpath entry, or the GP command to
access the desired information

HE PNR NAME or GP NAM


This display instructs you to use the move screen (MS) entries to
obtain the information. To display the explanation, enter:

Amadeus Information

City Codes and Their Use

The airline industry uses a system that identifies each airport and city
with a unique three-letter code. These codes are administered by the
international Air Transport Association (IATA), and the international
Standard Organization (ISO). Each airline is identified by a unique
two-letter code. These codes allow you to quickly and efficiently
identify cities, airports, and airlines. Below are examples of these
displays. The displays are explained in detail later in this chapter.

Minimum Connecting Time (HE DM)

You can display the minimum connecting time to show the minimum
amount of time required to make connections between flights at
airports, or between airports. You can request the minimum
connecting times for:

• Specific airline(s) at a specific city


• Multiple airports serving the same city
• Different types of connections

Introduction

Travel is so basic to human activity that we don’t always give thought


to its scale. How does the travel industry succeed in moving so many
people so fast and so well to so many destinations around the

Each journey is planed and organized, with information sent and


received by many people including travel agents, airline and airport
staff, hoteliers, rail staff and car rental employees.

The data behind all this information is stored and communicated:


flashed across millions of screens: transmitted electronically, verbally
or printed out in agencies, airports and sales outlets. The information
is constantly changing, valid today, out of date tomorrow, as soon as
the travelers leave the airport to check out of the hotel.

Amadeus security requires you to have a sign to access the


Amadeus Central System. The sign-in function provides you with
access to the system and the ability to sign in to multiple work areas.

Six work areas are associated with each terminal. They are identified
by the letter A,B,C,D,E, and F. You can request a specific, multiple
or all work areas when you sign in. Using work areas allows separate
transactions by one of more agents to take place using one terminal.

identification. Each office identifications structured the following way.

Upon sign-in the office identification is appended to the AAA (Agent


Assembly Area, the electronic work area in the computer, assigned

called LNIATA. This LNIATA can be found in JD display.

Amadeus air provided airline schedules and availability information


for flights that have seats available for sale on more than 300 airline.
The Amadeus Central System stores 500 thousand city pairs and 3.9
million routings world-wide, offering you a wide range of direct flights
and 60 million connecting flight options.

Definition of flight types

Flight type Definition


Non-Stop A flight that operates between two cities and does
not make any stops.
Direct An on-line flight that operates between two cities,
and makes a stop in one or more cities en route.
Connecting A flight that operates between two cities, and makes
a change on-line or interline in one or more cities en
route.

Airline Access Indicators

The following table describes the indicators that can appear in the
availability display:

/ Amadeus Full Access Amadeus Access can be divided
(Slash) into two main options, Amadeus
Access Update and Amadeus
Access Sell. These two options
are offered to airlines either
combined or separately. When
an airline chooses both options,
the indicator is a slash (/). Both
options provided the highest
degree of connectivity with
actual seat availability and
immediate confirmation.
. Amadeus Access Sell Amadeus Access Sell offers a
(Dot) fully secured sale for each seat.
When a request to book a seat
is made, Amadeus checks the
flight in the airline’s own
inventory system. According to
the status, the sale is confirmed,
waitlisted, or rejected
immediately.
* Amadeus Direct Direct Access provides a real-
(Asterisk) Access time link to the airline system to
display an accurate availability,
at the time the request is made.
This link is created through the
use of direct access entries.
: Amadeus Access Amadeus Access Update allows
(Colon) Update an airline to keep its availability
displays in Amadeus fully
synchronized with those in its
own system. Schedule changes
and confirmations are
immediate, and last seat
availability is offered.

(Blank) Standard Access Standard access offers flight
availability and schedules that
are update once a week by tape.
Availability levels are updated by
standard AIRIMP messages.
When you book a seat on a
standard access airline, a
teletype message is generated
to that airline at end transaction.

Record Return

Amadeus offers record return which enables you to verify that a


reservation has been recorded in the airline’s inventory system. After
end transaction you make the RL entry, and the systems display the
individual record locators of the airlines that participate in record
return. The airline can be connected through Amadeus Access Sell,
direct access, or standard access.

Requesting Availability Schedules

The entries are the same when requesting an availability or schedule


display. The difference between an availability and schedule display
are:

An availability display shows only flights that have a least one class
of service available for sale or waitlist, and only for the airlines that
have an availability and sales agreement with Amadeus.
A schedule display shows all scheduled flights whether they have
seats available or not, and only for the airlines that have a sales
agreement with Amadeus. To request schedules for airlines not
having an availability and sales agreement with Amadeus, you must
use the /A option at the end of your entry.

There are three type of availability and schedule displays you can
request.

Scrolling Entries

After you make an initial request for an availability or schedule


display, you can use the following scrolling entries to move between
the various screens, or to request additional availability.

Timetable Display

Amadeus Timetable displays contain flights of all airlines between a


specific city pair for a week period. The display shows you the
frequency of flights between two airports, and which airlines operate
on a particular day of the week.

Passenger name record

A Passenger Name Record (PNR) contains the details of a


passenger’s reservation, and other information related to a
passenger’s trip. PNRs can also contain information to assist airline
personal handling.

You call the items of information that make up a PNR, elements. A


PNR can contain a maximum of 999 elements. These PNR elements
can either be mandatory or optional. The mandatory elements are:

• Itinerary
• Name
• Contact
• Ticketing
• Received From

After you have entered the five mandatory elements, you use an end
transaction entry to file the record in the Amadeus Central System.
When a PNR is filed in the system, it is assigned a six-character
code call a record locator. The record locator is used to retrieve a
previously created and filed PNR.

Itinerary Element

An itinerary element can be a flight, hotel, car, or ground


transportation element. Each individual itinerary element is called a
segment.

Short Sell Entry


When you have an availability or schedule display on your screen,
you can make a short sell segment entry directly from the display.

In response to a segment sell entry, the system may display text
messages directly below the segment element. This text only
appears when you book a seat, and not on a retrieved PNR.

To display the flight service information, enter:

You use the same entry when booking a connecting flight in the
same class of service.

Here are examples of entries when you want to book a connecting

A passenger name consists of a family name, given name or initial,


and title. You can enter up to nine names in a non-group PNR.

For a single family name element, enter:

Received From Element

The received from element identifies the person making or modifying


a reservation. It is free flow text and you can enter a maximum of 69

the received from element is no longer stored on the face of the NR,
but moved to PNR history.

A received from elements is required when creating a new PNR, or


modifying an existing one.

Using passenger association, you can associate specific PNR


elements to a specific passenger, except the name and received
from element. If an element is not passenger associated. The system
assumes it applies to all passengers.

You use a Special Service Request (SSR) to request a special


service for a passenger. Some of the special services you can
request are special meals, wheelchairs, and/or other services.
You can find SSR four-letter service code and explanation in
Amadeus system by enter HESR and follow the item which
interested from the display.

Advance Seat Request

Through the Amadeus Central System you can request and confirm
an advance seat assignment for a passenger. Advance seat
assignments can be requested under the following conditions:

• For a maximum of nine passengers per request, for an


itinerary solely consisting of Amadeus Access Airlines, of
other airlines without a seat exchange agreement. Seven
passengers for an itinerary of other airlines with a seat
exchange agreement.
• For confirmed flight segments only.
• For up to five flight segments per airline, per request.

Request an Advance Seat

You can request a generic seat assignment, or make an entry for a


specific seat number.

PNR Security

Amadeus PNR security allows you to set up special security rules so


that a PNR can be accessed by one or several other offices, for
viewing and/or updating capabilities, without changing PNR
ownership.

Creating a PNR Security Element

You can store up to five security agreements per PNR, each of these
containing an office identification and the access mode to be applied
to the office.

You can enter an individual office identification, or use the “wild card”
entries. The “wild card” entries substitute asterisks ( * ) for portions of
the office identification.

The access mode type are:

the access mode and the office identification from the face of the
PNR. When you have the PNR displayed you can access the
security agreements.

PNR Retrieval

You can retrieve a PNR using the details of a flight, by record


locator, or by passenger name for a current, or future date. A PNR
can be retrieved up to three days after the date of the last segment
booked, even if the itinerary has been canceled.

PNR retrieval is controlled by the Amadeus Security package, and is


dependent on your user identification, office type, and office
identification. It also regulates PNR retrieval for branch offices.

Retrieval Entries

You can modify or cancel existing PNR elements. When you modify
a PNR, the system transfers the original elements to PNR history at

When you cancel a name element, the system automatically:

• Cancels elements that were passenger associated to the


canceled name.
• Reduces the number of booked seats.
• Reduces the number of requests in the SSR elements

Canceling Complete Itinerary

You can cancel a complete itinerary. When you make this entry the
system automatically cancels all air, hotel, car, auxiliary segments,
non mandatory PNR elements, and changes the ticketing field to
TKOK.

Passenger Name Modifications

For Amadeus system users, the following conditions apply when


making name modification entries:

• If the flights are available for the required class and date in
the itinerary, the system allows the modification.
• The system allows airline ATOs and CTOs to perform any
name modification.
• If one class is critical in any segment in the PNR, travel
agents may only perform one modification, of a maximum
of three characters, for each surname.

Booking Classes and Dates

You can rebook existing segments in a PNR to change a:

• Class of service in one or more segments


• Date in one or more segment
• Combination of both class and date

The SB entry follows the same booking guidelines with respect to


Amadeus Access Sell and Direct Access links when generating the
segment sell message, that is does when duplicating a PNR.

This entry cancels the existing segments and resells the segments
using the new information. If the class of service and date is not
available, the system automatically displays a warning message and
an availability display.

The system automatically deletes all elements that were segment


associated to the segment being changed.

Non-Homogeneous Condition

A non-homogeneous condition occurs in a PNR when:

• The number of seats in an air segment is not equal to the


number of passenger names
• The number of seats booked within the air segments is not
equal

When a non-homogeneous condition occurs during PNR creation,


the system automatically splits the PNR into separate homogeneous
PNRs at end transaction, and displays an Associated Cross
Reference Record (AXR).

AXR Record

The AXR record is a name list and a cross reference of the PNRs
that were automatically split by the system. Here is an example of an
AXR at end transaction:

Split PNR

A PNR is split in the following ways:

• Automatically by the system as a result of a non-


homogeneous condition during PNR creation.
• Manually by an agent to a retrieved PNR.

You can use the split transaction as the first entry after PNR
retrieval.

Here are the PNR split entries:

SP1, 3, 5–8 Individual and a range of names from a retrieved
PNR

The system automatically:

• Transfers all PNR elements that are passenger associated


to the passengers being split.
• Duplicates all elements that are not passenger associated
or contain status or advice codes.

To ensure that message routing for incoming teletype messages is


unique to the record, a different communication reference is created
at end transaction on the split PNR. Since a communication
reference is associated to outgoing message for return reply, the
new communication reference must be created before any changes.
When the system cannot match the message to the PNR is rejects
the message.

After you make the split transaction, the system response is a new
PNR for the name element numbers I the entry. The system tags this
PNR as the ASSOCIATE PNR-(AXR). There are two entries required
to file the associate PNR.

Queues

Amadeus Queues give airline, travel agencies, and providers the


ability to send and receive PNRs that require action, and to send and
receive messages.

Using queues you can communicate with other offices and organize
the workload in your own office by accessing and creating queues for
the different tasks you have to perform.

PNRs can require action for the following reasons:

• Confirmation of segments, service, options or seats from


the waitlist
• Change of flight schedule
• Expiration of ticketing time limit
• Changes in a group PNR

The categories of dual queues are divided into four date ranges.
