Project Coordinator

Rs.60,000- 70,000 per month (depending upon the experience)

Requirements
Qualification Masters in Social Sciences like Sociology, Anthropology,
Rural Development, Statistics, Development studies
Experience four to five years of experience in similar emergency
projects Experience in project management will
be preferred.
Skills Well organized and ability to work independently with
minimal supervision, to assess priorities and competently
manage a variety of activities with a high level of accuracy.
Excellent technical writing skills and ability to write
technical reports.
Strong interpersonal skills, project reporting &
Documentation, Community Liaison, analysis and judgment
capacity and Ability to frequent travel in field.
Computer Skills Strong Functional grip on MS-Word, Excel & PowerPoint, Ms
Project
Personal Abilities Flexibility, ability to work under pressure and to respond
quickly to new demands.

The Project Coordinator reports to the Program Manager (Emergency and Relief) and is
responsible to ensure proper projection of project activities carrying out in Nowshera, Peshawar,
Charsaddah and Mianwali with the coordination of project team. The Project coordinator must
work within the Muslim Aid policies and procedures.
General Responsibilities:
1. To maintain constructive, purposeful, trust based and sincere relations
with all colleagues working above or under whether directly or
indirectly associated.
2. To participate in all meetings, committees, forums, projects and
assignments as required and expected.
3. To provide feedback to colleagues subordinates and higher ups this
can potentially improve their effectiveness and contribution.
4. To coordinate with program team in achieving their targets effectively
and efficiently implementation of projects in project area.

Departmental responsibilities

Project Implementation

5. Develop implementation plan of the projects going on in different


areas of Pakistan specifically in Peshawar, Nowshera, Charsaddah and
Mianwali.
6. Develop necessary beneficiaries’ identification and other needed forms
in coordination with District Coordinators.
7. Overall implementation of the program activities in accordance with
the work plan.
8. Ensure to develop proper financial management of the project finances
9. Ensure timely completion of activities
10. Ensure proper and need based identification of beneficiaries

Supervision & Monitoring


11. Closely supervise, compile & document the work of other team
members, identify gaps & propose actions required.
12. Ensure that activities are being carried out as per plan submitted
by management.
13. Document issues being faced by the target communities and
compile case studies on monthly basis and submit to management
through reflection in scheduled progress reports.
14. Maintain the quality of services and transparency in all respects.
15. Developing all process related guidelines, SOPs and checklists.

16. Coordinate with the HR department and ensure timely hiring of


the project teams and team management.

17. Review and manage project finances including budgets (overall


and recurring

budgets).
18. Analyse project-related developments from time-to-time and
provide timely

inputs to senior management for informed decision-making.

Management & Administration


19. Overall management of the activities of Health, WASH and
distribution of Food and Shelter in coordination with Projects team by
maintaining the flow of services.
20. Preparation of leave plan of all staff ensuring that activities may
not suffer in any case through alternative arrangements.
21. Ensure the logistics arrangements of all project activities in
coordination with accounts and admin personnel.
22. Observe the transparency and accountability procedures while
dealing in all respects and especially in financial matters.
23. Ensure & maintain the work place decorum and enabling
cooperative work environment for the team members.
24. Ensure and maintain confidentiality at all levels.
25. Ensure that district coordinators are maintaining all the
administrative records related to the project field activities updated
and in order.
26. To organize meetings of staff for planning and review of
departmental functions.
27. To develop procedures and systems to enable check and
balance, planning and controlling of activities with respect of job
assignments.

Project Monitoring

28. Monitor project activities regularly


29. Facilitate Muslim Aid Pakistan M & E department in monitoring
and evaluation
30. Facilitate Project Manager in monitoring of the project activities
31. Optimize the use of human, logistical, and financial resources
32. Ensure to develop proper financial management of the project
finances
33. Ensure proper projection of the project activities through print &
---media
34. Ensure timely completion of activities
35. Identify core needs required by the project for effective delivery of the
agreed deliverables in coordination with the other units.

36. Participate in project development activities, with the aim of


developing a
Common understanding about project outcomes, activities, outputs,
resources and methodology.

37. Develop close working relationships with project participants and


stakeholders in order to establish a shared vision and achieve project
objectives.

Project Reporting

38. Prepare weekly/monthly progress reports and submit within due


dates
39. Document and compile case studies and submit to Program
Manager.
40. Understand and comply with operational policies manual of the
organization.
41. Supervise the preparation of project(s) budgets and utilization of
approved

finances; ensure that expenses are incurred in an efficient manner.

42. Be responsible for quality delivery of all intermediate and final


outputs of

project(s)
