Overview
The Announcements Module is used to play a recording to callers and then send them to a different
destination once the announcement has been played. Do not confuse announcements with the
System Recordings module. The System Recording module is where you create the actual system
recordings. The Announcement module just lets you play one of those recordings and continue on
with the call flow.

Logging In
Log into the Announcements module and you should see a screen like this. On the right
side will be a list of all announcements you have created already. You can click on any of the
announcements to view or edit them.
Creating an Announcement
We are going to create an announcement called Hours. In our IVR, we have setup option 4 to
play our Business hours to the caller. If they press 4 we will route them to this announcement
and then after playing the announcement we will send the caller back to the IVR they came
from.
Description- Give this announcement a name. In our example we will call this Hours.

Recording- This is the actual recording that you have recorded on the system using the
System Recording module that you want played. This is where we will state our business
hours.

Repeat- You can optionally pick a key press value from 0-9 or * and # that a caller can press
to repeat the announcement. If you use this setting when doing your system
recording , dont forget to inform them to press which ever option, such as #, to hear the hours
again.
Allow Skip- You can optionally enable the Allow Skip option, which will let the caller press any
key on their phone to skip to the end of the recording. They will then go to the destination that
is set in this announcement for when the recording has completed being played to the caller.
Return to IVR- The normal behavior after the caller has listened to the message is to route
them to the destination that you define below. If you check this option and the caller came
from an IVR, it will skip the defined destination below and route them back to the IVR that they
came from. This is handy if you have more then one IVR pointing to this announcement or you
would need to create a separate announcement for each IVR since a single announcement
can only route the caller to 1 defined destination.
Dont Answer Channel- The normal and recommend behavior is to answer the call and play
this message. If you would rather play this message as early media to the caller you can
press this. We do not recommend setting this option, as many phone carriers do not support
early media for sending audio messages.
Destination- Here you define where to route the caller after they have listened to the
message. In our example we are going to route them to our main IVR, but remember we have
also checked the Return to IVR option. So, if the caller came from an IVR, it will route them
back tothe IVR they came from.
Do not forget to press the Submit button when done to save your changes.

Using Announcement to dynamically change voicemail greetings.
Lets say we have a sales manager setup with his own voicemail box. His greeting would state
something like, You have reached the voicemail box of Mike, leave me a message and I will
return your call shortly.
Mike now has a greeting for callers, but lets say we have an after hours IVR and option 3 is to
go to the sales voicemail. We can have these voicemails go to Mikes Voicemail box too, but
instead of his normal greeting, he can record a more generic voicemail greeting like, You
have reached the sales department, leave your message after the tone and we will call you
back shortly.
To do this, we would create a new announcement called Sales VM Greeting and create a
system recording with the greeting we want played. We would then set the destination to be
Mikes Voicemail box, but instead of it playing the unavailable greeting or busy greeting, we
would pick no greeting.

In this example, the greeting will be played and the caller will be routed directly to the
voicemail box of Extension 2005 with (no-messages) being played since we played the fax
voicemail greeting from here.
In the IVR, option 3 would point to this announcement instead of the voicemail box for
Extension 2005.
