INTRODUCTION
1.1 Introduction of Organization
The proposed system is for the educational institute PAEC Model College Nilore
Islamabad, PAEC College for Girls spread over about 2,50,000 Sq. Ft of land is
situated in the picturesque, calm & quite area.It was established as a primary school
in 1979 in a couple of residential quarters for the children of PAEC employees
residing in PINSTECH Colony Nilore, slamabad under the auspices of Dr. Inam-ur-
Rehman Director General CNS
\n 1986 the responsibility of its management was transferred to PIEAS. At that time
the number of students was-short hence the number of teachers was quite small
Since the school has gone through several transformations. The school was
upgraded to middle level in 1986.Subsequently to secondary level for girls in 1988
later on in 1996 section for boys from 6" to 10" was also introduced
The year 2000 was very important in the history of college as with the efforts of
Rector, PIEAS Dr. Abdullah Sadiq, it was upgraded to college level, A post of
principal was also proposed for the first time.Se that, the Principal may be delegated
all necessary powers to manage the college effectively
The college from the humble start in 1979 has over the years shaped to a real
‘exemplary institution
1.2 Problem Definition
The existing system of fee depariment is totally register based. This system has a lot
of disadvantages. For example
* Lack of flexibility
* Great chance of data loss
Data cannot be shared easily
* Time consuming
= Data repetition
in the existing system, when information of a non-routine nature is needed, it can
take weeks to assemble the data from the various files. The same data was
duplicated in many different files When the same item of data are held in several
different files, the data has to be updated in each separate file when If a fee record
of a Specific student is needed then it requires a lot of time for searching that record

THE EXISTING SYSTEM.
2.1 The Existing System:
In the existing system of PAEC Model College, all the records are entered
on registers, The organization is facing many problems. As the existing system is
time consuming so it is very difficult to search the previous year's records. Secondly
there is no proper way of updating data
2.2 Problems In The Existing System:
After analyzing the existing system for fee management in PAEC Model College we
have identified the following problems:
Data Redundancy:
As data is kept in registers so it can not be share among different authorities
Therefore same data may be written in more than one registers. This data
redundancy creates a lot of problem for updating data:
Data Inconsistency:
‘As same data is placed in more than one register so it may cause inconsistency in
data, Because same data in some registers may be updated but not in other
registers so it can not provide up to date consistent information.
Data is not shareable
In manual system data registers can net be share at same time among different
departments. So same information is kept in different registers which causes data
inconsistenoy
Lack of security:
In manual system there are not proper security measures, Any person can view fee
record by opening fee registers easily due to which data may be lost or updated by
unauthorized persons.

PROPOSED SYSTEM
3.1 Objectives of proposed system:
The proposed system Fee Record system wil be totally computer based. It will has
the following objectives
Ungrade the existing system:
As the existing system is not good enough for keeping the records, and another
improved system Was feeling after great need of the time. So the proposed system is
a better replacement of the existing system
Time saving system:
We are going to implement this system basically for consuming our precious time
Easy way to share data:
As this system will be computerized system, therefore it will be very easy to share
data where needed.
Beside this it will perfarm the following tasks:-
* Add Record
+ Delete Record

+ Save Record

SYSTEM IMPLEMENTATION
5.1 Implementation:
In the implementation phase, the system design is converted into working software
by using some programming tools and packages. The tool used for implementation
of sysiem is Ms. Access
Ms. Access is a database management system. Access stores and retrieves
information, present requested information and automates repetitive task
Database was created with the help of Ms. Access according to the database design
specification developed in system design phase. Tables are created to store
records. Different forms linked with tables have been created which are used to
enter data in the database. Detailed and summary reports have been created to
show fee record, The software to manage fee record of PAEC Model College has
been implemented and executed successfully,Chapter#7
FUTURE EXTENSIONS
7.1 Conclusion:
The basic reason to develop @ computerized database was to remove the
deficiencies in the existing fee management system of the college. The primary goal
of the fee record system is to convert the existing manual system into a
computerized reliable, efficient and accurate system. After analyzing the existing
system, Fee Record System of better quality than existing system is designed and
developed. It provides graphical user interface for interaction between the users anc
database. It provides facilities to store, delete, modify and display records. It
provides reports about daily and monthly fee records of the individual students and
the whole class. An achievement of this system is that it removes all the
fedundancies and inconsistencies, which were present in the manual system.
‘Testing is performed after the implementation of the software fo check its reliability
and accuracy.
7.2 Future Extensions:
The Fee Record System can be upgraded in the system, where ever needed, In
future, it’s better to extend it by transferring the system to some better database like
MS-SQL. Hard copy of fee slips will be generated through computer to replace the
existing fee oard system
