Baxter Employee Benefits: Company Credit Card Policy Policy No./ Version: HR/06/01 Policy Effective : September 1, 2008 ‘Company Credit Card Policy Approved by General Manager-Indial Finance Director Checked by : Finance Controller/HR Director Preamble As part of effort to simplify procedures related to reimbursement of travel, official entertainment and other official expenses incurred during the course of doing business, the Company has decided to extend the benefit of providing Corporate Credit Cards - currently through American Express Credit Card Company. Scope This policy applies to all units of Baxter India and all employees who are on the permanent rolls of the Company. Policy ‘The Company Credit Card will be issued on a need basis to permanent employees of the Company, whose nature of work requires them to spend money on behalf of the Company for carrying out its business ‘The Company may at any point in time withdraw the facility and/or change the service provider as the case may be. The tier level status provided by the Credit Card Company will be decided by the management ~ whose discretion/decision will be final. In general, the following will apply to the issuance of the Company Credit Card * Acorporate credit card will be issued to employees with business requirements and should only be used exclusively for business expenses like travel, official entertainment, hotel bookings, other official expenses etc. © Use of the Baxter corporate credit card is @ pre-condition for reimbursement of all aitline, hotel ‘expenses and other travel related expenses (meals, taxis etc). Expenses in excess of the eligibility limit and/or not approved by the supervisor will not be reimbursed by the Company. In such cases, the employee will issue a cheque for the differential amount directly to the Credit Card Company in a timely manner. © Personal expenditure is not allowed on the Company issued Credit Card. Using the card for personal expenses will result in automatic cancellation of the card. + It is the employee's responsibility to fill out the necessary forms for reimbursement in a timely manner, therefore, fees or late charges associated with the credit card will not be reimbursed nor will the Card provider waive late payment fees. + Employees who are provided with a corporate credit card will not be eligible for cash advances for the domestic travel. * Membership reward programs are optional. No reimbursement on this account is permissible. * The card statement shall be sent directly to the individual every month by the specified date and notified to the employee at the Office address/e-mail id. It is the responsibility of the employee to ‘ensure that he/she is in timely receipt of the statement for every month, «The concerned employee will submit the required travel expenses within 10 days and subsequently the Company will directly settle the payment with the credit card issuer. © Incase the reimbursement claim is not submitted within 10 days of the statement issue date, ‘employee will have to directly pay the card dues to Credit Card Company and claim reimbursement fine oe — Baxter Employee Benefits: Company Credit Card Policy * Upon separation from the company, the concerned employee will ensure that all the expenses inourred on the Company Credit Card are settled. The same if not settled, will be charged to the full & final settlement of the employee concerned. The card will be automatically cancelled as soon as the separation of the employee is confirmed. ‘+All charges related to the issuance of the Company Credit Card will be borne by Baxter. No other ‘charges, whatsoever will be reimbursed/charged to the Company. ‘+ The employees’ are responsible for safe keeping of the Company Credit. Loss or theft of the credit card should be immediately reported to the Credit Card Company on the helpline number provided and simultaneously be informed to the HR and Finance departments. Any liability on the credit arising out of loss and/or theft (including misuse thereafter) will be borne by the employee. The ‘employee will have no claim whatsoever towards the company in such a case. The decision on the liability as confirmed by the Credit Card Company willbe final in all such cases. Interpretation & Clarifications ‘Any interpretations/clarifications to this policy will be issued by HR and Finance Director.
