Overview of the Remote UI


The Remote UI software enables you to access and manage a machine connected
to a network using a web browser.

Using the Remote UI

The machine is supplied with pre-installed web server software that enables you to
use the Remote UI. This means that you do not need to have any special software,
other than a web browser, installed on your computer. You can use the Remote UI
when you specify the address of the machine in your web browser to display the
Remote UI screen, where you can manage and control the machine.

NOTE
Before using the Remote UI, make sure that <USE HTTP> in <TCP/IP SETTINGS> in
<NETWORK SETTINGS> located in the <SYSTEM SETTINGS> is set to ON, and
<REMOTE UI> is set to ON in the <SYSTEM SETTINGS> menu.

Checking the Device Status from a network computer

When you specify the IP address of the machine with your web browser, the Remote UI
top page appears as follows:

The top screen changes depending on the setting of Management mode.
For instructions on setting the Management modes, see Chapter 6, System Manager
Settings, in the Reference Guide.

The Remote UI enables you to access the machine via a network, enabling you to display
the current status for the machine, and the status of all information and job processing.
You can manage the machine from a personal computer connected to the network,
without having to perform operations on the machine itself.

After you have selected the log on mode, the [Device Manager] page is displayed. In the
left frame of this page, the following buttons to access other pages of the Remote UI will
be displayed.

Takes you to the Remote UI top page.


Displays the current status of the machine, and the log on form for
selecting the mode to use.

Displays the current status and information about the optional


equipment that is attached to the machine, network settings and
counter.
Displays the current status of print jobs, print logs, and the sending/
receiving results of fax jobs.
Displays one-touch or coded speed dialing data (names and fax
numbers of the destinations, etc.) registered on the machine.
Enables you to specify or change various system settings on the
machine.
This updates the currently displayed screen with the latest
information. Information is not updated automatically. When you click
this button, the latest information from the machine will be acquired.
This displays the online help for the Remote UI. Use this button to
access detailed information about the Remote UI.
Takes you back to the top of a current page.

This takes you back to the previous page.

Set and control the device from a computer


The Remote UI enables you to delete jobs, and view print jobs stored in the machine, and
to change various settings. If you log on using the Administrator Mode, you can adjust
settings and control the machine from a computer without using the Control Panel on the
machine.

necessary (There is already a web server inside the machine.)

Before You Start the Remote UI


Before you start the Remote UI, verify the IP address from the machine.
Network Settings
Select <NETWORK INFO> in <NETWORK SETTINGS> located in the <SYSTEM
SETTINGS> from the Additional Functions screen, and verify the IPv4 address of the
machine.
If you do not know the IP address, consult your network administrator. (See the Network
Guide.)
IMPORTANT
Remote UI dose not support IPv6.
Connection via a proxy server is not possible. If your system environment has a proxy
server, perform the following settings. (Settings vary according to the system
environment, so please consult your network administrator.)
- Enter the machine IP address into Exceptions in the web browser proxy server settings.
- Set your web browser to enable all cookies.
If multiple Remote UIs are running simultaneously, the latest setting is enabled. It is
recommended that only one Remote UI should run at a time.
To enter characters from a web browser, use the characters that you can enter from the
touch panel display of the machine. If you use the other characters, they may not be
displayed/recognized properly on the machine.

To start the Remote UI, follow the procedure below.

If you do not know the appropriate URL for the machine, consult your system
administrator.
Please do as follows when you log on the Administrator Mode:
- System Manager ID and password are necessary when in the No Management mode.
Nothing has to be entered if System Manager ID and password have not been
registered.
- System Manager ID and password are necessary when in the Department ID
Management mode.

Start your web browser.

Enter the URL into [Address] or [Location] field.

If the page is not shown correctly, select [Internet Options] from the [Tools] menu
on the browser menu. Click [Settings] in the [General] tab click [Every visit to the
page] in the [Settings] dialog box. If you click [Never] here, you could be viewing
outdated content stored in the browser cache.
If the browser screen switches slowly, select [Refresh] from the [View] menu on the
browser menu.

Select the log on mode.


[Administrator Mode]: Select the radio button and enter the Password.
[End-User Mode]: Select the radio button and enter the User Name.

Enter Password or User Name.

NOTE
Nothing has to be entered if System Manager ID and password have not been
registered.
To specify or change passwords, click [Add.Func.] - [System Settings] click [Edit]
on the right side click [Register ID and Password] on the right side. Click [Set
Password], then enter passwords for each of the [System Manager Password] and
[Confirm] click [OK]. You can enter a password up to 7 numeric characters. (See
To set the System Manager ID and password: on p. 3-10.)
You can change passwords only when you are in the Administrator Mode.

To specify or change passwords, click [Add.Func.] - [Department ID/User
Management] click [Settings] on the right side. click [Department ID
Management Settings].
Enter ID for [Department ID], and click [Set Password] Enter passwords for both
of the [Password:] and [Confirm] click [OK]. You can enter a password up to 7
numeric characters. (See Managing Department and User IDs, on p. 3-12.)
You can change passwords only when you are in the Administrator Mode.
When you want to use Remote UI in the Administrator Mode, please do register for
System Manager ID and Password before setting [Department ID Management] to
on. (See To set the System Manager ID and password:, on p. 3-10.)
When Card Reader-E1 is attached, you cannot log on the RUI by ID of the card.

NOTE
To specify or change passwords, click [Add.Func.] - [Department ID/User
Management] click [Settings] on the right side. click [User Management
Settings].
Enter ID for [User Name], and click [Set Password] Enter passwords for both of
the [Password] and [Confirm] click [OK]. You can enter a password which
discriminates between lowercase and uppercase up to 32 characters. (See
Managing Department and User IDs, on p. 3-12.)
You can change passwords only when you are in the Administrator Mode.
We recommend that you register for User of administrator type first, and then,
register for User of User Type.

Device Status and Information Display


Using the Remote UI, you can view the current status of the machine, whether or
not there is paper in the various paper sources, and paper size of the drawers, and
display of other status information. You can also view information about the
administrator of the machine, the installation location, and various machine
settings.

Functions of the Remote UI

Click [Device] select the item you want to display from the
menu that appears under [Device].

Device Status and Information Display

Displays whether paper in various paper sources is empty or


not, and any error messages. To check the details of the error,
click [Error Information].

[Information]:

Displays information related to the machine, such as the


system managers information and the location where the
machine is installed.

[Features]:

Displays the optional equipment (such as the Maximum Print


Speed, the Total RAM Size or the remaining capacity of RAM)
that is attached to the machine and the functions that are
available with the current system configuration.

[Network]:

Displays information about the network interface, and any


network protocols that are enabled. You can edit the settings
only when you are in the Administrator Mode. If you are
changing the network settings, the machine must be
restarted to enable the settings. Turn OFF the main power of
the machine, wait 10 seconds, and turn the power back ON.

[Counter Check]: Displays the list of up to 6 types of printcount values just like
when the Counter Check key is pressed.

Job Management
The Remote UI enables you to manage print jobs. It also enables you to view the
sending and receiving results of fax jobs. The [Job Status] page includes the
following sections:

IMPORTANT
Fax jobs can be managed only if the optional Super G3 FAX Board is installed.
NOTE
The job management operations available using the Remote UI are the same as those
available from the control panel of the machine. For instructions on using the control
panel to manage the job, see Chapter 3, Checking and Canceling a Job, in the
Reference Guide or Chapter 5, Checking/Changing the Fax Status, in the Facsimile
Guide.

Managing Print Jobs


You can use the Remote UI to manage print jobs that are being processed by the
machine, or are held in the print queue.
NOTE
If you enter the user name when logged in as the End-User Mode, you can delete the

The modified Address Book data will be sent and stored in the machine when pressing

Customizing System Information
The Remote UI enables you to specify the machines system settings.
NOTE
You can edit the System Settings only when you are in the Administrator Mode.
The same System Settings are available from a PC via the Remote UI or the Control
Panel of the machine.
You can access the System Setting from the Control Panel of the machine by pressing
(Additional Functions) <SYSTEM SETTINGS>. For more information on System
Settings, see Chapter 6, System Manager Settings, in the Reference Guide.
The maximum number of digits you can store for the Department ID is seven. If you enter
fewer than seven digits for either setting, the machine stores them with leading zeros.
- Example: If <321> is entered, <0000321> is stored.

If you want to use a USB device connected to the


machine, select this check box.

6. Specify the Communications Settings.


Memory Lock Settings: If you want to use the Memory Lock mode, click this
button to specify the following items on the Memory
Lock Settings screen.
[Set Password]: If you want to set a password for the
Memory Lock mode, select this check box.
[Password]: Enter a number (seven digits maximum).
[Confirm]: Enter the password again. If the number you
enter here is different from the number entered for
[Password], an error dialog box appears.
[Use Memory Lock]: Sets whether to receive and store
all incoming faxes in memory and not to print
automatically.
[Report Print]: If you want to print a report of all the
documents received in memory, click this check box.
You also need to set RX Report in the Report Settings.
(See Chapter 8, Reports and Lists, in the Facsimile
Guide.)
[Set Memory Lock Time]: If you want to set up time for
the Memory Lock mode, select this check box.
[Start Time/End time]: Enter start time and end time (in
24-hour format).

Send Start Speed:

Sets the transmission speed for all documents you


send. (33600 bps/14400 bps/9600 bps/7200 bps/4800
bps/2400 bps)

Receive Start Speed:

Sets the transmission speed for all documents you


receive. (33600 bps/14400 bps/9600 bps/7200 bps/
4800 bps/2400 bps)

R-key Setting:

If your machine is connected through a PBX (Private


Branch Exchange), it is necessary to set the access
method.
[PSTN]: Select if your machine is connected to an
outside line.

8.Specify PDL Selection (PnP).


From the machine, you can specify functions suitable for the fax board or printer
kit installed in the machine. From your computer, you can detect and install
drivers that are compatible with the specified functions.
NOTE
For more information on Specify PDL Selection (PnP) settings, see Chapter 6,
System Manager Settings, in the Reference Guide.

[PBX]: Select if your machine is connected through a


PBX. You can set the PBX type to [HOOKING] or
[PREFIX]. If you select [PREFIX], enter the prefix code in
[Prefix Code].

To protect the Restrict New Addresses:


Click [Restrict Access to Destinations].
The Restrict Access to Destinations screen is displayed.

Specify the necessary fields click [OK].

Set Address Book Password:


Set a password for the Address Book. If this check box
is selected, a dialog box prompting you to enter the
password is displayed whenever you try to register,
edit, or erase the destinations in the Address Book.
Address Book Password:
Set the new Address Book password (seven digits
maximum).

Confirm:

Enter the new password again. If the number you enter


here is different from the number entered for [Address
Book Password], an error dialog box appears.

Restrict New Address: This mode enables you to restrict the sending of
documents to addresses which do not exist in the
Address Book. If this check box is selected, specifying
destinations using the numeric keys, and the
registering of new addresses is restricted.
Allow Fax Driver Send: If you want to allow the sending of faxes from a
computer using the fax driver, select this check box.
Restrict Redial:

Specify whether or not to allow using the redial


function.

Confirm Entered Fax Numbers:

appear when a number for a new destination is
entered from the Numeric keys.
Restrict Multiple Destination Sending:
Specify whether or not to allow sending the

The Remote UI enables you to manage Department and User IDs when in the
Administrator Mode.
The following procedure shows how to specify Department ID Management
settings from the Remote UI.
IMPORTANT
Be sure to set <MANAGEDEPT. ID> to OFF if the optional Card Reader-E1 is attached
to the machine.
When you use Department ID Management, you need to set both the System Manager
ID and password to restrict the access to the <SYSTEM SETTINGS> menu from the
control panel of the machine, or using the Remote UI. Otherwise, all users will be
considered as System Manager, and anyone can access the <SYSTEM SETTINGS>
menu from the control panel of the machine, or use the Remote UI without restriction.
(See Customizing System Information, on p. 3-2.)
When you use User ID Management, you need to register a user ID with the
administrator privilege to restrict the access to the <SYSTEM SETTINGS> menu from
the control panel of the machine, or using the Remote UI. Otherwise, all users will be
considered as System Manager, and any one can access the <SYSTEM SETTINGS>
menu from the control panel of the machine, or use the Remote UI without restriction.
If you are using both Department ID Management and User ID Management, be sure to
assign the user to a department. Otherwise, the user cannot log on to the machine.

When you click the [Change List View], the Department ID Management can be
switched to the User Management.

Import/Export Function
The Remote UI enables you to save the Address Book and other settings
information, such as a file that can be loaded into the machine when needed. This
function is useful when you want to use the same settings on another machine, and
for backing up. The Import/Export function is intended for data exchange, and is
available only through the Remote UI.

CAUTION

Customizing Settings

The Import/Export operation may take more than a few minutes to complete. Do

not turn the machines main power OFF until the operation is complete.
Otherwise, the machine may malfunction.
IMPORTANT
The import/export of the Address Book and Custom Fax Settings (from the Additional
Functions screen) is available only if the optional Super G3 FAX Board is installed.
During an Export operation, the screen display does not change until the operation is
complete. Do not click [Start Export] while the hourglass or pointer indicates that the
operation is still being processed.
If the machine is in the Sleep mode, press the control panel power switch of the machine
to cancel the Sleep mode before performing an Import operation.

IMPORTANT
When Additional Functions settings are imported, the System Manager ID, and
Network Settings are automatically overwritten.
The machine must be restarted to enable the imported Additional Functions
settings. After importing, turn OFF the main power of the machine, wait at least 10
seconds, and turn the power back ON.
After importing Additional Functions settings, the Remote UI cannot be used to
perform other operations until the machine is restarted.

Device Custom Settings


The machines custom settings can be edited with the Remote UI.
The following procedure shows how to customize the machines settings from the
Remote UI.

Customizing Settings

NOTE
The same Custom Settings are available from a PC via the Remote UI or the Control
Panel of the machine.
You can access the Additional Function Setting from the Control Panel of the machine by
pressing
(Additional Functions). For more information, see references to other
guides.
For more information on the machines custom settings, see the other manuals relating to
the function that needs to be set.
Of the settings available by pressing
(Additional Functions) on the machines Control
Panel, the following settings are accessed from other menus within the Remote UI.
- Address Book Settings
Specify settings by clicking [Address] [One-touch Speed Dial] or [Coded Dial]. (See
Managing the Address Book, on p. 2-10.)
- System Settings
Specify settings by clicking [Add.Func.] [System Settings]. (See Customizing
System Settings, on p. 3-2.)
- System Manager Settings
Specify settings by clicking [Add.Func.] [System Settings]. (See Customizing
System Settings, on p. 3-2.)
- Department ID Management
Specify settings by clicking [Add.Func.] [Department ID/User Management]. (See
Managing Department and User IDs, on p. 3-12.)

Click [Add.Func.] select [Custom Settings] from the menu


that appears under [Add.Func.].

Customizing Settings

Click the type of custom setting that you want to specify.


A settings screen for the type of selected setting is displayed.

bps
Stands for bits per second. The measure of transmission speed used in relationship
to networks and communication lines.

Coded Speed Dialing

Appendix

Enables you to automatically dial a facsimile number by pressing only four keys,
[Coded Dial] and a three-digit code. You can register up to 140 facsimile numbers for
coded speed dialing. When you register the facsimile number, you can also enter the
receiving partys name, set the speed for the transmission, and other useful features.

Cookie
A file left on a users computer when the user visits a Web site. A cookie allows the
Web site to recognize the user on subsequent visits. Cookies are generally used to
enable a user to automatically sign on to certain Web sites and to customize the
features offered by such sites.

Delayed Transmission
With delayed transmission, you can set a time for the document to be sent. You do not
have to be in the office when the document is sent at the specified time. Also you can
send the same document to more than one destination at a specified time. If you
frequently send the same document to several destinations, you can save time by
using group dialing.

Document
The single sheet or stack of papers containing the data you want to send through or
receive from a fax machine.

G
Group dialing enables you to dial up to 199 previously registered one-touch speed
dialing or coded speed dialing numbers together as a group. This means you only
need to press a one-touch speed dial key or [Coded Dial] followed by a three-digit
code to dial a large group of numbers automatically. You register each group of
facsimile numbers under a one-touch or coded speed dialing key, so make sure a key
is available before trying to register numbers for group dialing. Once a group is
defined, you can add or delete numbers to/from the group.

HTTP
Hypertext Transfer Protocol. The client-server TCP/IP protocol used on the World
Wide Web for the transfer of HTML (Hyper Text Mark-up Language) documents
across the Internet.

Group dialing

I
Internet Protocol (IP)
The underlying set of networking rules that describes how data is transmitted across
the Internet. Internet Protocol enables data from one computer to be split into
packets, and sent to another computer with a specific IP address.

IP address
Internet Protocol address. A 32-bit numeric address used by IP (Internet Protocol) to
specify a computer or device on the Internet. The IP address is usually written as four
numbers delimited by periods. For example, 128.121.4.5.

Entering a user name and password as a means of user authentication to start a


computer session or access to a service.

M
Memory Lock
Usually a document is printed as soon as it is received, but the memory lock feature
forces all documents to be received in memory until you enter a password to print
them or by the end time which was previously set. This feature prevents printed
documents from piling up in the paper output tray when the office is unattended. After
you return to the office, you can print all documents stored in memory.

One-touch speed dialing
Each one-touch speed dialing key holds a facsimile telephone number. After the
numbers are registered, all you have to do is press one key to dial. Up to 60 numbers
can be registered for one-touch speed dialing.

P
PDF

Protocol
A set of rules that govern the transmission of data across a network. Examples of
protocols are DHCP, BOOTP, RARP, TCP/IP, and LDAP.

Proxy server
A server that provides a cache of files available on remote servers that are slow or
expensive to access. The term proxy server normally refers to a World Wide Web
server that, upon receiving a URL, tries to supply the requested file from its cache. If
the proxy server cannot locate the file in its cache, it obtains the file from the remote
server, and saves a copy in its cache so that the next request can be obtained locally.

Portable Document Format. The page description language used in Adobe Systems
Acrobat document exchange system, which is restricted neither by device nor
resolution. PDF displays documents in a way that is independent of the original
application software, hardware, and operating system used to create those
documents. A PDF document can contain any combination of text, graphics, and
images.

Remote UI
Remote User Interface. The Remote UI is software that enables you to perform
operations, which are usually performed on the machines control panel, using a Web
browser (such as Netscape Navigator/Communicator or Microsoft Internet Explorer)
over a network.

U
URL
Uniform Resource Locator. A standard way of specifying the location of an object,
usually a Web page on the Internet. The URL for a Web page would look something
like this: http://www.w3.org/default.htm. Here, http: indicates that a Web page is
being accessed, www.w3.org is the address of the server containing the Web page,
and default.htm is the file name under which the Web page is stored on the server.
