I.

Purpose:
To provide a procedure for addressing communications as required by Health and
safety management system.

II. Scope:
The following describes the procedure for all communications both internal and
external dealing with Health and Safety issues. Issues that may be communicated
are: policies, standard operating procedures, action plan, audit finding, accident
information, risk assessment, control information, etc.

III. Procedure:
A. Internal Communications
1. Responsible for ensuring that internal communications take place regarding the
companys Health and Safety aspects, the Health and Safety Management System
(HSMS) and their respective policies.
2. Health and Safety policy reviewed annually shall be posted annually. Health and
Safety Program Status and other HSMS updates will be posted periodically on the
HSE News bulletin board.
3. All Leading & Lagging KPIs is to be updated monthly. Other specific accident or
incident information will be posted periodically on the HSE News bulletin board.
4. Audit findings of any area of institute will be communicated and posted as and
when required but periodically.
4. Health and Safety information will be communicated by utilizing a variety of
media to include, but not limited to, the following:

Bulletin Board Notices


Communication Meetings
Television
Employee Handbooks
Posters / Banners
E-Mail Distribution

B. External Communications
1. Receipt and Processing
1. Receive all communications from external interested parties.
2. Review and log any relevant communication.
3. Answer communications that fall within person scope of responsibility.
4. Forward communications to other responsible departments including, but not
limited to, Corporate Safety and Health.

2. Communications on Significant Health and Safety Aspects


1. As part of the strategic review consideration to external communication of its
significant Health and safety aspects and document its decision in the meeting
minutes.
