Duties, Accomplishments and Related Skills:
Administrative Assistant and Security Specialist for the Physical Security and Force Protection Office
since February of 2016. Here I support both the Head of the Physical Security and Force Protection
Office and other various security specialists.
Exercise oversight of the Antiterrorism (AT), Operations Security (OPSEC), and Physical Security
programs.
Implement policy and procedures that govern NRLs Lock and Key Control systems, Security
Containers program (safes and vaults), Intrusion Detection Systems (IDS), Classified Destruction,
Law Enforcement Operations, and Security Operations Center.
Support the Head of the Command Support Division (Code 1200) in all duties mandated by the
Department of Defense and/or The Department of Navy (DON) concerning protection of naval
assets.
Solely responsible for preparing all foreign travel orders using the Defense Travel System.
Hand carry time sensitive documents on a daily basis, and use overnight courier service when
necessary.
Answers supervisor's telephone and the office's main phone line, providing information and guidance
to customers. On a daily basis, communicate orally and in writing via electronic mail and telephone.
Solely maintain and manage Supervisor's calendar, scheduling meetings and informing her of
upcoming events as necessary.
Assists in preparation of executive level correspondence and briefings. I type scientific reports as
well as technical memorandums, official letters, and other material from rough drafts, determining
proper format. Analyze information, documents and records to determine proper application of DON
regulatory requirements.
Set up and maintain an orderly filing system for all paper records, including personnel records. I
adhere to the Naval Correspondence Manual, ensuring proper format and the use of SSIC
numbers.
Receive and sort all incoming material and distribute to appropriate personnel. Make photocopies
and print documents as requested. Receive and log all incoming correspondence and maintain an
orderly filing system. Maintain data bases and assist staff members on routine data entry and
tracking.
Coordinates all on-site meetings, including preparing and submitting visitor request, greeting and
escorting visitors, taking meeting minutes and serving lunches. I arranged conferences and
meetings; I set up the location, agenda, schedule and attendance lists.
Thorough knowledge of administrative concepts, principles and practices sufficient to perform
independently the duties involving eliminating conflict and duplication of work, determining when new
procedures are needed, studying and evaluating office equipment and recommending restructuring
of clerical activities in the office.
Monitor reports and queries the system to identify problems, issues or inconsistency in our
database, and taking action as necessary.
Serves as the principal point of contact and adviser to the Head of Physical Security and Force
Protection in all administrative matters and financial operations.
Track the inventory of office supplies and office equipment, and make shopping trips as necessary.
Skilled in adapting policies and procedures to emergency situations and establishing new
procedures to meet new situations with the computer-based financial management information
system, and maintain the Branchs financial data.
Retrieve information from computer programs and databases to complete tasks and assignments.
Use word processing applications, spreadsheet applications and presentation applications daily. I
type from rough drafts, notes and oral instructions, correspondence, forms and reports utilizing a
wide variety of technical terminology. I type correspondence memos, reports and other materials
using word processing features and software functions. Determine necessary actions to comply with
administrative directives and processes.

Administrative Assistant for the Technology Transfer Office since March of 2014. Here I support both
the Head of the Technology Transfer Office and the License Negotiators.
Solely responsible for preparing all travel orders and travel reimbursements for all staff members,
including local travel using the Defense Travel System.

Additional Information:
Manages a wide variety of correspondence from within and outside the agency, paying particular
attention to the routine inquiries about the Physical Security and Force Protection Office. Proofreads
all memoranda, electronic mail and correspondence prepared for the Director ensuring correct
punctuation, grammar and formatting in compliance with the agency correspondence manual. Signs
correspondence and certain procedural authorizations in the name of the Director when previous
instructions have covered the matter. I am responsible for obtaining signatures for all documents and
corresponding with the branch head about a wide variety of issues. I effectively convey the directives
of my supervisors and branch head to the rest of the staff insuring the continued success of the
agency mission. I schedule and personally meet with the Director and discuss the agenda and
details of the weekly staff meeting. Close and interactive communication is required for successful
completion of time-cards and travel arrangements. Communication with associates is the key to an
organized office and working together as a team.
