When the search team receives a search request that includes “And”
operators and exclusions, they must first use Findlt to search the Outlook
data files for the first set of terms before the “And” operator. These
results are put into a separate Outlook data file, The new file is then
searched for the second set of terms after the “And” operator. The results
from that search ate put into a final Outlook data file,
The final Outlook data file is imported and opened in Outlook on a server
that is logically separated from the EOP Network. Outlook Advanced
Find is then used to search the messages for the exclusions. Exclusions
can only be searched for one at a time. When messages that contain
exclusions in the appropriate field are found, they are manually deleted.
Discrepancies between email search engines and archives were discovered
during the last search process. A description of the discrepancies and how
they were discovered follows.
Fifty messages that existed in both ARMS and the Outlook data
file and that should have been detected under the search terms,
from the previous search, were identified. These messages were
expected to exist in both archives because they were either sent to
an Exchange user by a Notes user, or vice versa, or because they
originated outside the EOP and went to both Exchange and Notes
users.
b. The 50 messages existed in ARMS and were found by the ARMS
search engine. However, only 47 of the messages were found by
indIt. Itis important to note that the messages were still
discovered in the search and turned over because they were found
in the ARMS search. There are several reasons why may not have
been found by Findlt or were not in the Outlook data file archive.
1 ‘The search terms were contained in the message
attachments but not in the actual message and were thus not
found by Findlt;
The Exchange recipient’s mailbox was full which
prevented the message from being delivered and therefore
it was not archived;
