    Alfresco Document Management System

    Employers in organizations with different sizes need to share information and collaborate with each
    other, and that could be in different ways such as:

     Network shared drives


     Emails
     Outlook

    However, all those ways of collaboration have problems like:

     People work in multiple systems and those systems are not well integrated.
     Versions issues: hard to track
     Users tend to find their own solutions: complicated.

    Alfresco provide centralized collaboration and shared space for organizations.

    Alfresco features:

    1-Each project can be treated as separate web site.

    2-Information about documents can be provided without changing document types.

    3-Version control: people tend to differentiate between versions through naming, and by this way
    differentiating between documents type will consume time and effort. With Alfresco you can:

     track who changed the documents and when


     rolls back if you need
     Traceability

    4-Access control: you can lock files while editing and preventing multiple editors. Also you can decide
    users’ permissions over specific documents.

    5-Rendition and comments: You can convert your documents from type to another depends on business
    requirements. As for the renditions you can link them with the original documents. Also you can
    manage the added comments as s separate entity and that will make them easier to track.

    6- Work flow: every document has life cycle, with Alfresco you can managed this life cycle very easy and
    with high level of security and this feature will make your work more organized and time efficient.

    7-Search: Alfresco search is Google-liked search, you can search by type or you can search documents
    content etc.

    8- Storage policies: with Alfresco you can decide where to save different documents in the physical
    storage device.
    You can ask why using this software while I can use the network drive?

    The network drive has advantages :

     Easy to use
     No training
     Low cost

    And issues:

     Hard to find and organize files


     No context if you need to find a file
     No version control
     Inappropriate security

    Over all that Alfresco also can appear as shared network drive and that will make it easier for the users
    and you can enjoy the extra features as well.
