A SOLUTION FOR FDA

Introduction

The management of a small business company of financial advisors, Finance Direct Advisory (FDA), has decided that they are going to employ a job-sharing environment for some of their employees. They require a solution to the problem that they have regarding collaborative workspaces, documents and author changes. As the system stands they have no way of sharing documents and files between employees in a shared area where each collaborator can be held responsible for their changes. They also require Roaming User Profiles where by user profile, account information and desktop details follow the individual regardless of which workstation on the LAN they log in at. Training documentation on both of these new areas is also required. The budget available for these tasks is £15,000 and a deadline of May 2009 as been decided upon.

FDA currently employs 57 employees and management staff over two offices in Sheffield. The main office is on the High Street and contains 36 employees. The growth of the company means that a second office with 21 employees has been opened 130 metres away on Park Street. The network infrastructure is in place and is working at optimum performance.

Installation, testing and acceptance of the system are to be carried out while the system remains operational and with as little disruption to daily work as is possible.

Initial Research

Roaming User Profiles can be an immense help in organisations where users are regularly working at different workstations within a network. The very nature of them means that a users profile can be loaded to any networked machine simply by the user logging on with their unique log in information. Similarly the emergence of collaborative workspaces that allow users to collaborate on documents and files has improved the speed and efficiency that a collaborative project can be completed.

Initial research suggests that whilst similar projects have found benefits of the roaming user profiles there are also problems that may arise after installing and use of the system.

An example has been stated that if you do not disable the cache option for offline files then a problem occurs with synchronisation. The users profile can be put in an unstable position as both the offline files and roaming user profiles try to synchronise at the same time. K.B.Alertz.com website suggests that this is probably caused by a server message block protocol and can be overcome by disabling the cache.

In a case study on the Microsoft website at

Group policies were set up on the active directory domain to standardise workstation configurations and roaming profiles now allow RMI's employees to log on to any workstation on the network and have access to their own personalised desk-top files and settings.

Microsoft support kn owledge base http://support.microsoft.comlkb/324 7 49/en-us gives instruction on how a network manager can set up roaming user profiles and any problems that may be encountered can be addressed separately also on the support knowledge base website.

There are many online collaborative workspace suppliers and applications available. Some of these applications allow for the author to take responsibility for their changes to the documents and files and others do not. Google docs for example allows user to share and collaborate documents between invited users but it does not keep a final record of who did what work to which document or file and when. Documents and files are updated with last user change record but this will not record exactly what changes have been made.

More advanced collaborative workspaces such as Microsoft SharePoint Server 2007 allows users to collaborate on files and documents in a shared workspace portal environment enhancing employee productivity speeding up work processes.

Republic Mortgage Insurance Company, in a case study by Microsoft atwww _miCfosofl.com/casestudieslcasestudy. aspx?casestudyid.=48920 accessed 20/1 0/2008, uti lised SharePoint to help manage their large flow of documents more effectively. Employees could easily revise policies and procedures and publish them without having to email everyone and inform them of changes. This is just one benefit that collaborative workspaces can bring to a company.

Although research shows security issues were initially a problem with collaborative workspaces, it now seems that many applications are highly secure and can be recommended.

• Provide FDA with a system that enables all invited staff to collaborate on documents and files with accountability for change.

Objectives

• Research and evaluate Roaming User Profile technology and select a suitable application method.

• Research and evaluate available technology for collaborative documents and

workspaces and select suitable application method.

• Identify a suitable and. appropriate development methodology.

• Identify an appropriate project management methodology.

• Configure and install optimised Roaming User Profiles for all employees and

staff.

• Configure and install a collaborative workspace for all user groups.

• Upgrade the network infrastructure to accommodate any new requirements.

• Demonstrate to the client a fully working system that meets both budget and time restraints.

• Use client feedback to assess and rectify any system shortfalls.

The Waterfall Model is the oldest and most popular model. Simple and easy to use, each phase has specific deliverables, making project management simple.

Modified Waterfall Models

The Sashimi Model

Uses the same basic phases as the waterfall model but with a form of feedback at each stage making the model less rigid and allowing phases to overlap slightly.

The Spiral ModeJ

Reduces risk by splitting project up and addressing risks individually. The Spiral Model iterates spirally addressing high risks early reducing costs.

Evolutionary Prototyping

Uses multiple iterations of each phase to gather information, feed it back to the customer and improve the product. This gives the customer chance to see how the project is progressing but means designer never knows how much iteration will be required.

A project that provides Finance Direct Advisory with a collaborative work environment that utilise roaming user profiles for all management and staff.

AIMS

OBJECTIVES

~ To employ project management techniques for development by identifying a methodology that can be used as a standard for scheduling, monitoring and controlling the project. TIlls methodology will also provide a quality standard for carrying out a risk assessment.

~ Research, evaluate and select appropriate collaborative software.

~ Design and document appropriate network design including topology, physical layout and addressing scheme.

Research

Field research

Quantitative and qualitative methods offield (primary) research were carried out to evaluate the appropriate analysis design and implementation of roaming user profiles and collaborative environments. To do this research a questionnaire was devised for management to incorporate all envisaged scenarios that the design may need to meet (see appendix A). The management of FDA completed the questionnaire during a conducted interview. The interview allowed for more flexibility as ad hoc questions could be asked if required.

The results of the field research indicated that the best form of approach would involve utilising as much as possible of the current network infrastructure. However the addition of some hardware in the secure room of the main office of FDA may be required in order to meet collaborative environment requirements.

Desk research

Desk (secondary) research involved evaluating previously gathered research into roaming user profiles and collaborative working environments.

Roaming User Profiles

"A roaming user profile is a concept in the Microsoft Windows NT family of operating systems that allows a user with a computer joined to a Windows Server domain to log on to any computer on the same network and access their local files and settings." Answers.com library online 2008

Advantages of roaming user profiles are:

1. A users unique profile becomes automatically available when they log on to any computer on the local area network. Users don't have to create a profile on each computer they use as their profile follows them and any changes become available at whichever workstation they log in to.

lL Defective workstations can easily be replaced with no loss of the users profile information as this is all held on the network server

iii. The users data can be accessed anywhere on the network with increased reliability .

IV. Centrally administered enforced control by use of mandatory profiles helps to protect the users environment from accidental or malicious damage.

Disadvantages of a roaming user profile

1. A disadvantage of roaming user profiles however is that each time the user logs on to a workstation all settings and files must be passed over the network to the requesting computer. This means that the time taken to log on to a workstation can be excessive if the users profile is large. A way ease this is if the profile is cached and some files are loaded directly from the local workstation. Folders that can become large can then have folder redirection implemented to redirect folders to a network share.

Microsoft Windows Server 2008 software has overcome this disadvantage even further because the Active Directory allows redirection of virtually all folders that were stored with a users profile to a centrally secured network share. This means a roaming profile can be cut to less than 20 MB.

2. Different applications installed on machines stores information into Local Settings and some into registry, but only registry is transferred across. This can corrupt application functionality under roaming profile.

Mandatory Profiles

Mandatory profiles are pre configured user profiles that are read-only roaming user profiles that administrators can configure to specify settings for users. This means that when a user logs off from a workstation none of the users changes are saved therefore the next time the user logs on the mandatory profile will download. The advantage of this is that profiles are very stable because there is less risk of corruption of data during logoff. It also means the user profile remains at a manageable size due to no risk of it growing.

Another version of mandatory profile, known as a super-mandatory profile is also available to be preconfigured by an administrator. This type of profile only allows the user to log on when the server storing the mandatory profile is available whilst normal mandatory profiles can be loaded from locally cached copies.

Collaborative Workspace Environments

Field research into collaborative workspaces showed that FDA was unfamiliar and uncomfortable moving away from systems that they are happy with. Therefore their preference was to use Microsoft sourced software to reduce disruption to both IT staff and employees in general. Although it was explained that desk research had found that the software they were using would be compatible with most collaboration software they were reluctant to accept anything other than Microsoft SharePoint.

PRINCE2

Project in controlled environments 2 (PRlNCE2) is a management control method that control and organisation of a project. It evolved from an earlier version and is considered to be the current standard IT project management and indeed other project management areas too.

The following diagram shows the stages that the process driven PRINCE2 management method utilises with the arrows representing the flow of information from project start up through to project close.

I have adopted PRINCE2 has my project management methodology because it give several advantages over other methodologies.

• A clearly defined framework

• Described procedures for co-ordinating people and activities

• How to design and supervise

FDA's requirements are well defined and are unlikely to change. However company feedback will be required throughout the duration of the project. For this reason the unmodified waterfall model is not appropriate.

A modified version of the waterfall model called the Sashimi model has the following advantages:

• Simply and easy to use.

• Specific deliverables from each phase of the project

• Activities can be merged together.

• Feedback is allowed

• Project management is made easy

This makes it appropriate for this project and was used for the design methodology

4 Web browser support is divided into two levels: levelland level 2; 32-bit browser only.

5 Levell Web browsers take advantage of advanced features provided by ActiveX controls and provide the most complete user experience. Level I browsers offer full functionality on all SharePoint sites, including the Central Administration Web site.

6 Level 2 Web browsers provide basic functionality, so that users can both read and write in SharcPoim sites and perform site administration. However, because ActiveX controls are supported only in level I browsers and due to the functionality differences within different browsers, a different user experience might be provided and there could be some variances from the user experience from the level I browsers.

TOP LEVEL DESIGN

Research shows that FDA's current server hardware configuration will only meet the minimum requirements for full implementation of MOSS 2007. It is therefore recommended that the current server is replaced and software is updated to Microsoft server 2008 standard edition. All other office software should be reinstalled.

The basic topology and infrastructure will remain unchanged with a star topology adequate for the implementation.

Testing

Installation of the new server will be done at a time to that is least likely to affect the smooth running and operation of FDA. Weekend work will be required to minimise down time of the network. Installation and testing of both the hardware and software will be in accordance with Microsoft's recommended guidance available from tech help at http://download.microsoft.comldownloadlel6/3/e63ct2f6.. 7fll-450b-8e4a-dace88e99456/readme.htm and http://technet..microsoft.com/en-us/library/ec263408.aspx both viewable in appendix B.

Screenshot records and screen recordings will be taken to show system is working and tested satisfactorily and complies with alllEEEIISO standards, which are listed below.

Quality Assurance & Applicable Standards

A major part of keeping the project running smoothly is use of quality assurance procedures. Applicable standards will be utilised throughout the implementation stage. To ensure that the clients quality needs are met the requirements were prioritised and the design was built around assurance that these needs will be met.

A full risk assessment was carried out (see appendix C) to ensure contingency plans were put in place so that alternative methods could be adopted if needs were not being fulfilled.

There are a number of well-known international organizations that play an important role in the development of open networking standards. Some of the most important of these are ISO, ANSI, ITIC, IEEE, EIAITlA, ITU-T and ETSI. These are oversight organizations, responsible for overall management of the standards development process, rather than for the particulars of creating individual standards. The following standards will ensure that the project meets ALL quality expectations, standards and measures. All available resources will meet the requirements of the project and fully documented records will be kept and communicated to the client during the process of implementation. Having interviewed the stakeholders (management) a full understanding of requirements was assured and available skins levels ascertained to be within the work force ability.

Progress Report

The project is progressing well with all areas researched, analysed, planned and designed to meet the clients' needs. A completed questionnaire enabled field research to be completed swiftly and gave sound grounding for desk research to take place. The clients' requirements were highlighted quickly which enabled an initial design to be progressed.

Help from technical supervisors helped with progression to a stage where to implementation of the design can be advanced to fruition and meet all aims and objectives laid down.

Resources are now in place for the implementation phase and all required documentation is available.
