Page Migration Tool

Benefits:

 Can simplify process for text-heavy pages


 Does validate HTML and removes some bad formatting, including:
o Excessive line breaks
o Inline style tags that break the site’s design (e.g. HTML that can render a line colored
purple)
 Minimizes errors from typing URLs
 Removes images from imported content (requires verification that images are approved)

Disadvantages:

 Importing certain special characters --- especially apostrophes – is not perfect but can be
corrected
INSTRUCTIONS
1. Before importing content using the page migration tool, a bookmarklet needs to be installed on
your browser.

2. Once it is installed, navigate to a page you want to import


3. Inspect the page. If any of the following conditions apply, it is not suitable for automated
import:
a. It is mostly links or it has significant number of links on the page
(the import tool works best with pages containing text content)
b. The page has a complex, 2 or 3 column layout
4. Next, determine where this page should be located in the new website organization
5. Click the “Preview and Migrate” bookmark that was installed in step one.
6. A new window appears containing a few elements to review ( a detailed description of each of
these appears below).

Once you submit the page, a new content page in CommonSpot is created

Name

The content import tool determines a page name for the imported page by examining its existing URL.
The filename for a page appears after the last forward slash in the URL. Note the following examples:

http://www.usccb.org/cchd/info.shtml ---> becomes info


http://www.usccb.org/cchd/give.shtml ---> becomes give

The extension (what appears after the period in the filename) is removed. CommonSpot files have a
.cfm extension that the import tool will apply automatically.

Breadcrumb
This will also affect rendering of the page’s breadcrumb. If the page name you
choose is too long , the breadcrumb element will break.
Check for invalid characters.

Due to the way different pages are


encoded, imported text sometimes
includes stray characters that must
be corrected.

In the example at right, notice that


the bullet points that would begin
the lines “Ensure a Safe”… and
“Support Sage” … have characters
that need correction.

Left Side Navigation

The page you have imported will not be added to any navigation automatically. You can link to the page
because it has been defined within CommonSpot. In a rich text editor block, for example, you can link to
the page.

IF YOU WANT IT TO APPEAR IN THE LEFT


SIDE NAVIGATION, open the page in
CommonSpot.

Then select PROPERTIES > Standard…:

The text that will appear in the left hand


navigation needs to be short. That text is
deternmined by what has been entered in the
title field (see A in the screen shot below).
Then check options: (see item B in the screen shot below)

 Page Indexes and


 Full Text and Search Element Result

After changing these options, click Save.

A new option should appear in the left side navigation.


IMPORTANT NOTES!

The page that has been created does NOT have correct links. These must be corrected.

Useful for:
 Pages with significant text
 Simple layouts

Not As Useful for:


 Complex layouts (e.g. two column layouts)
 Pages with a number of links
