From Joining to Full n final....

Joining of candidate...
Providing offer letter to candidate which should mandatorily mention Date of joining, CTC, Place of work as well as
company name and reporting authority and salary break up.
This offer letter should accompany the joining kit which should comprise the following forms.

1> Joining details form : In this form there should be the following details to be filled up by the candidate like Full
name of tha candidate,Fathers name,Mothers name,Wife name,Son name,Daughter name,and their respective
DOBs,DOJ,Mothers maiden name,Correspondence address,Permanent address,Contact No.Signature of candidate.

2> Form 2 : This form is for PF enrolment.

3>SSN Form : This form is for Social Security Number issued by PF dept.

4> ESIC Form : This form is for enrolment in esic.

5>Bank Form : This form is for account opening for salary purpose in bank.

6>Photograph : 2 postcard size photograph in light colour background for esic purpose and three normal passport
photograph for id card and bank account.

As soon as the details of candidate is received it should be entered into the MIS.Once all this documents is received in
fully filled up as well as the photographs the appoinment letter can be issued.

Documents to take at the time of joining : Photo id proof,Address proof,PAN card xerox,

Collection of Attendance to Salary.....

Collect attendance from all sites as per the aggrement made with the client.Then raise the bill as per the attendance
received.The bill should accompany the receipt of returns submitted to EPF dept, ESIC dept, P.Tax as well as Service
tax dept.Once bill is raised it should immediately be delivered to client for the release of payment.Once the payment is
received from the client then salary should be paid out as per the employees.Also payslips to be dispatched.After the
salary is paid out contact each client for any salary discrepencies.If there is any discrepencies then sort it out
immediately as well as check out the reason so that the same does not happen again.

Full and Final.....

In case a candidate is leaving then the F&F is to be done.In this F&F the candidate should submit a copy of his
resignation letter.Then he has to fill up the following forms.

1> Form 19 : For PF withdrawal;


2>Form 10(C) : For PF pension withdrawal;
3>Form 13 / 13(A) : For PF transfer (within state or interstate);

After receiving the fully filled up forms the candidate can be issued with the release letter or experience certificate.

Other things to do : Creating and updating MIS on regular basis,Delivering PF no to new joinee, Delivering ESIC
temporary card, Help out employees regarding any issues relating to PF and ESIC.Calculating and keeping records of
Leave taken, Delivering of Form (6) once in a year after it is received from PF office, Calculation of taxes as well as
delivering and computaion of form(16) for income tax purpose,collection of TDS cerificate from client.And the most
vital thing is maintaining the Deadline or TAT provided to the client.
