Recruiting Activities Create Vacancies Recruiters and managers can create vacancies in Oracle iRecruitment based on business needs. Vacancies are posted internally (for employee applicants) and externally for the general public to apply. The company can choose what information they want to include in their vacancies, such as how to name it and number of openings. Adding DFFs the Additional Vacancy Details DFF can be used to add fields to the Create Requisition form. For example: Is the vacancy budgeted? Is it a Replacement or Addition? Remember: If you make it required you are making it required on the PUI Form. Team Details you can attach a recruiter to your vacancy and you add your interview team to the vacancy. There are three levels of security Team, Business and Team and Public. By using these different levels of security you can restrict access to your vacancies. For example if you select Team the vacancy will be restricted to those you select as part of the interview team. Assessments you can create assessments (tests) that you want applicants to complete and attach them to your vacancies. Using a profile option you can have candidates take the assessment upon registration IRC: REGISTRATION TEST or you can have them take the assessment when they apply for a job. Tests can be different forms, you can create a proficiency test related to the vacancy being hired for or you can create a general registration test, such as are you eligible to work in the USA? Approvals there are many seeded workflows within the Oracle suite, iRecruitment is no different. However the seeded approvals have many layers of approval up the supervisor hierarchy chain. It is likely that your business requirements will be such that you need to modify not only the approval chain, but potentially who the approvers are. Searching Vacancies when vacancies have been created and approved they can be searched. It is important to note that you cannot view vacancies that are in the workflow approval cycle. Managers and recruiters can view vacancies, view applicants and view the status of the vacancies (which are based on Lookups and can be modified). By searching vacancies recruiters can see who has applied for jobs and what status the applicant is at any given point in time.

Glossary of Terms Candidates A candidate is a person who has either directly provided their personal and professional information to a company's job site or provided their resume and details to a manager or recruiter for entering in the iRecruitment system Applicants A candidate for employment in a Business Group Competence Profile Where you record applicant and employee accomplishments, for example, proficiency in a competence Recruiter A responsibility within iRecruitment that allows specific users the ability to create vacancies, search vacancies and applicants, create offer letters, etc. They are the superuser Question Banks Build question banks to use to create tests. You can pull questions from your question bank or use Quick Test to use all the questions in your bank. Offers Recruiters and managers use this functionality to offer a job/position to a candidate Job Postings Job postings are tied to jobs which are tied to vacancies. By creating a job bank you make setting up vacancies faster and more streamlined. Workflow/AME There are delivered notifications and approvals within iRecruitment. However, most users will need to modify the approvals and notifications to suit their business requirements. Personalizations Allow you to format the recruiting screens using OA Framework; delivered functionality within the system so you do not have to customize.

Profile Options OTA: Data Source Module required to access the Question Bank and Tests. Responsibility Level IRC: Homepage Function redirects users to the previous page after they hit cancel or complete. Responsibility Level IRC: Allow Multiple Offers for Candidates determines if applicants can receive more than one job offer. Site Level IRC: Candidate Permission Set identifies the permission set (menus) IRC grants to candidates when they register on the job site. Responsibility Level IRC: Default Max. Applicants defines the default number of applicants an agency can submit for a vacancy. Site Level IRC: Document Upload Count Limit determines the total number of documents that a candidate can upload to IRC. Site Level IRC: Upload File Size Limit determines the size of documents uploaded into the system. Site Level IRC: External Framework Agent identifies the URL for the external web server. Site Level IRC: Registration Responsibility identifies the responsibility a user is given at log in. If you do not wish to use approvals leave this blank (Hint: used for testing to avoid approval chains). Watch Out For Offers you cannot perform ad hoc updates to offers in the current release of Oracle. Refer to MetaLink 5453582 UNABLE TO MODIFY OFFER LETTER IN THE BROWSER Assessments you create a custom responsibility and cannot see the Assessment Link on your navigator, but it is on your menu. Why? You need to grant the permissions using the Functional Administrator. Hiring Applicants you found your applicant and want to hire them into Oracle HR, however in the Action field there is no Hire Applicant available. Why? Make sure your applicant has been Accepted, their status must be Accepted or you cannot hire them. Offer Letters the seeded offer letter IRCESOFT_EN.RTF does not have State in the address line. This must be done using XML Publisher and the Address Regions. Phone Numbers external candidates can enter phone numbers with alpha characters. This is expected behavior. Assessments you are creating a vacancy and want to attach the assessment you created you cannot find it. Why? The question bank / tests are not published, make sure you publish your assessments Missing Registration Data your external candidates address is not saving in the system after it has been entered and saved. Why? Your DFF Personal Address Information has the Context Displayed box unchecked, it must be checked. Turn Off Assessment for external applicants upon registration. This is a profile setting. In Profile Options query IRC: Registration Test and blank the value. Responsibilities many of the delivered responsibilities do not come with the grant box checked. Make sure the responsibilities you are using have the appropriate grants enabled.
