CIBA PAC Meeting Minutes May 1, 2013 Members present: Nancy Barnwell, Sandhya Pai, Laurie Horan, Tom

m Everson, Aline Bafumo, Emmanuel Nortey, Jennifer Oatway, Heidi Ellis, Sandy Leubner Administrator present: Mr. Arpin Student representative present: Mikayla Barnwell Chair Report: Raffle Basket Emergency Preparedness will be donated by PAC for Abelon Walk. Bring items to school office labeled for the PAC Emergency basket by Friday, May 10th Well send an email to remind members and also post it on Facebook Items to consider: Paper towels/blanket/garbage bags/duct tape/manual can opener/flashlights/batteries/games/etc. National Teacher Appreciation week May 6-10: We are providing fresh fruits and goodies every day Several parents have volunteered to bring cookies/brownies. $80 was collected at the meeting to cover the fruit and any other goodies needed for the week. Dance June 7th or Bowling Event Can only do one event due to limited schedule options around other school events and limited funding will either be a dance or bowling. Mikayla will do a quick poll at school to determine which one is preferred. Dinner Night - Tickets for Buffalo Wild Wings in Manchester Tickets went out with the last newsletter. Its on June 12th from 6-9 at the Manchester location near the mall. If you show the ticket, we get a donation of 15% of your total bill (minus alcohol/tip/taxes). Its a great way to have a fun family night out you dont have to cook or clean up and PAC gets a donation! Teacher Appreciation Luncheon June 21 Reserve money and get sandwiches/salad/cookies for teachers from Panera. Need at least 2 people. (Sandy, Heidi and Aline volunteered to coordinate this) Last year Shop Rite donated fruit salad. Sandy will check on this. Welcome Back Picnic Beginning of September (6th) Will work on planning of this over the summer (first job for next years board) We will contact Sodexo to deliver and man the grill again Mark your calendars now!

Getting freshman parents involved how? Well put something in the next newsletter in May which will be sent to incoming freshman families. Ideally many will get on our email list too so they can get timely information from us before the school year starts. The Welcome Back picnic is very nice for the entire family and a great way for new students and parents to meet other families.

Treasurers Report $25 donation and 7 cents interest Will be writing check for yearbook ad Balance sheet shows $844 in checking Savings $1100. Want to close the year with that Need to raise funds to cover the events remaining for this year appeal refresh letter going out with next newsletter (with envelopes attached) Principals Report Tomorrow (5/2) IB exams begin for 2 weeks; each subject area has two different sittings May 18th Abelon Walk (bring your money and sneakers) End of May is Spirit week last year we did Hunger Games May 30th Graduation June 21st at East Hartford High School (no tickets required) Rehearsal is on June 20th. Rehearse for an hour and those that are giving speeches stay longer to practice Ciba Rankings o Washington Post - #1 in New England o US News & World Report - #10 in CT o Magnet Schools of America Magnet School Merit Award (again) o Banner reflecting the US news ranking is $500. School cant afford it Student Activity board report Mikayla Abelon walk May 18th Spirit week May 28-31st Awards night May 28th Hunger games May 30 Senior Prom and New York trip - May 31 Restaurant night at Sweet Frog Looking into it May 27th Memorial day parade in East Hartford Interact is looking for volunteers to walk and advertise the Duck Race (Duck Race is a Rotary Club event). Duck Race June 2nd from 12-3; looking for volunteers Applebees flapjack fundraiser - June 1 from 8-10 am in Manchester o Sell ticket for $5. Get to keep the tips and ticket proceeds. Money goes to Abelon Foundation.

Rotary youth leadership awards - June 8th; Available to sophomores. Award is given for community/leadership service performed.

New Business: Bowling for graduating seniors after rehearsal for graduation Vernon o Bowling at Spare Time after rehearsal. Asking if SAB wants to spend the money, PAC will do all the work. Well talk with Ms. Buck. Nomads was also suggested as a possibility. Appeal refresh letter to be sent to parents in next newsletter o Sandy has a sample letter Needs to cover what we have done; what we need to do and how much will it cost. Elections for PAC leadership positions brief review/discussion 8 job descriptions were written and shared for 8 positions; Weve been working on creating documentation this year and putting more structure in place to make things easier for next year and future PAC boards. Treasurer: Tom cant continue. Sandhya is interested Hospitality Alina still interested Dance Coordinator Open. Nicole cant continue but wants to be an active volunteer Communication coordinator Heidi wants to continue Fundraiser Coordinator Need to check with Megquiers, not at meeting. Jennifer Oatway and Laurie Horan interested in co-chairing together Secretary Open Vice President Nancy willing to continue President Sandy willing to continue Some roles can be co-led, if multiple candidates for same role those folks should discuss if they want to partner, otherwise we will determine via elections at June meeting. We will close out nominations in a couple weeks communication to be sent out with specifics. If someone is not interested in holding a position but wants to learn the role and can help in a particular area please indicate.
