CIBA PAC Meeting Minutes - June 5, 2013 Members Present: Sandy Leubner, Nancy Barnwell, Aline Bafumo, Sandhya

Pai, Tom Everson, Joan Kelly, Laurie Horan, Emmanuel Nortey Guests: Mr. Arpin, Ms. Yang, Ms. Routeau SAB Rep: Mikayla Barnwell Call to order Sandy Guest Ms. Yang China Trip Meeting tomorrow night(June 6th) to find how many people are going 10 day trip during April Vacation Going to big cities 2012 only 3 people were interested so couldnt go. Minimum 10 people needed to go $3,000 base cost per student, but some extra costs expected (Visa, tips, etc) Would like to raise $3,000 to cover the extra costs in order to keep total costs at $3,000 per student Right now not open to parents. Open only to Juniors and Seniors unless special request granted June 7th - 1st payment due Request is for PAC and Ms. Yang to work together to raise $3,000 per student (hold fundraisers and split profits between PAC and China Trip). Ideas Mrs. Yang mentioned included: Bus trip w/raffles Dinner Car wash Car show Mr. Arpin said that we need to talk about Spain trip as well Mr. Arpin will inquire as to feasibility of a casino trip (raffles/tokens/snacks) to raise funds

Graduation 21st at 7 pm brainstorming to see if we would like to have some type of reception afterwards, Ms. Rouleau had previously done so in the Grandby school system; asking her to share ideas Cookies/finger sandwiches suggested by parentds in attendance Consider asking Junior parents to see if they can help out Idea to be further vetted

Election of Officers The Meqguiers are no longer running, motion was passed to select the listed candidates Hospitality Aline Bafumo Dance Coordinator Open Communication Coordinator Jennifer Oatway and Laurie Horan Treasurer Sandhya Pai Secretary Open Vice President Nancy Barnwell President Sandy Leubner

Treasurers Report Tom $130 in donations received since last month Letters went out seeking end of year donations (appeal refresh to cover end of year expenses) Just received $100 today as result of the appeal letter $974.46 in checking currently Remaining expenses to fund include: dance, senior bowling, scholarship, teacher luncheon

Events/Activities Update Yearbook came out on Friday. Our ad looks very nice. Dance 6:30-10:30 on June 7th Sold about 18 tickets so far DJ is $350 Permission slip if students bring friend not from this school. Ms. Buck has the form

Email sent out requesting donated refreshments from parents, also need chaperones End of year Teacher Luncheon June 21st Well do a letter to Panera and Shoprite seeking donation of food. Mr Arpin to print on letterhead for us. Sandy, Alina, Heidi have volunteered for this Senior Bowling June 20 (after graduation rehearsal) SAB will split the cost with PAC $60/lane for up to 6 kids which includes shoe rental, pizza and drinks 37 total graduating, so figure max 6 lanes = 360/2 = $180 approx cost at the high end We can give them arcade tokens for uniform tops that they donate back Consider signup/rsvp through Mrs Buck so we can get a confirmed headcount. Teachers Appreciation Week went really well and was much appreciated, we received several nice thank you notes.

Fundraising Update Buffalo Wild Wings June 12 Tickets were sent home with previous newsletters, email blasts and appeal letter Appeal letter Mailed last week, one donation received already

Scholarship 6 applications received Next week the committee will review and choose winner and a runner up. If final funding allows we will pay out a 2nd place award of $250, otherwise just a first place award of $500. We can announce the recipient(s) on June 20th during graduation rehearsal around 1:301:45

Student Activity Board report Abelon Walk raised over $7000 Waiting for Sweet Frog and Boston Market checks FISH project raising awareness for hunger. Raised $900

Will pick a theme and find organizations to support that fall under that theme next year SAB is offering to help PAC with graduation reception Thanks to PAC for being there for them PAC and SAB will work closely next year to better coordinate event scheduling

Principals Report Exams start next Thursday 6/13 Period I at the end of the first day Friday Wednesday days Graduation ceremony at 7 PM at EHHS on June 21st New optional sports top now available for uniform (wicking material) only available in red and black In winter some other tops will be available also Shirtman has opened a store in East Hartford Major change in schedule periods are numbered Three lunch waves which fall during period 6 will rotate every 60 days Period 7 matches with band Adds four minutes to each day, longer academic classes, shorter lunch wavesdown to 25 minutes from 45 minutes

New Business A parent asked if PAC will supply snacks during finals may be too much going on. Well try to schedule it in for next year, but parents can bring in snacks to donate if they like. Summer activities Executive board should meet a couple times during the summer to prepare for fall events/activities, including working on bi-laws, event planning tools, activity calendar and budget Freshman Orientation: August 19-21st Well find out if we can sell used used shirts (Mr Arpin to let us know) Welcome Back picnic in September Summer topic We will have few minutes during Open House in September to talk about PAC FundRaising Considerations for next year

Different programs that we talked about during the year to consider as supplemental adds as needed based on success of appeal process, goal is to stick to programs that leverage normal habits (grocery store point programs) and/or build community (dinner nights) and avoid sales of unwanted items Grocery Store points programs Barnes & Noble book fair holiday shopping/wrapping tie in Restaurant nights Shoe recycling program (Nancy) Collection of usable shoes go to needy We earn 50 cents per pound of shoes collected Box tops / label possibly not for us Corporate based scholarship funding Laurie to investigate for next year
