Use of “2009 East Asian Games” Intellectual Properties

Aims / Objectives

This is to inform heads of schools and teachers on the use of “2009 East Asian
Games” Intellectual Properties in organising school activities.

Details

2. To enhance sports and cultural communications among East Asian countries (China,
the Democratic People's Republic of Korea, Hong Kong, Japan, Korea, Macau, Chinese
Taipei and Guam), the East Asian Games was formally oragnised in the quadrennial and
approved by the National Olympic Committees of East Asia in 1991. In 2003, Hong Kong
successfully won the hosting right of the 5th East Asia Games in 2009. The Government of
the Hong Kong Special Administrative Region has set up the 5th East Asian Games Planning
Committee to oversee and steer the organisation of the 2009 East Asian Games. Established
in March 2005, the “2009 East Asian Games (Hong Kong) Limited” (EAG Company) is an
executive arm for the implementation and delivery of the EAG. The Hong Kong 2009 East
Asian Games will be held from 5 to 13 December 2009. Over 3,500 athletes will vie for
gold medals of 290 competition events under 23 sports.

4. From the date of application to 31 January 2010, education institutes can seek the
approval to use Hong Kong 2009 East Asian Games (EAG) Intellectual Properties (IP) in
organising non-commercial activities by providing the required information in Part B (for
on-campus activities only) as early as possible. If schools wish to orgnaise activities in
using the 2009 EAG IP outside school campus, please return the duly completed part C in
appendix 4a for approval (for outside-campus activities only).

On- and Off-Campus Non-Commercial Activities
Application Form

A. Explanatory Notes

1. This form is for use by education institutes to seek approval to use Hong Kong 2009
East Asian Games (EAG) Intellectual Properties (IP) in organising non-commercial
activities from the date of application to 31 January 2010. Applicants should
provide the required information in Part B and/or Part C as early as possible.
Completed forms can be forwarded to 2009 East Asian Games (Hong Kong) Limited
by mail (1/F, Hong Kong Park Sports Centre, 29 Cotton Tree Drive, Central, HK), fax
(fax No: 3692 5897) or email (email: pmd@2009eag.hk ). The application is
submitted for record (for on-campus activities only) and approval (for
outside-campus activities only).

2. Applicants under this procedure are only allowed to use the IP at Part E in their
activity.

4. Guidelines on the usage of EAG IP


Upon the approval of application, 2009 East Asian Games (HK) Ltd. will provide the
log in and password for the EAG FTP site. Applicants should strictly follow the usage
manual relating to use of the concerned IP.

5. Applicants will not be permitted to organise activities or use the EAG IP with
non-EAG commercial partners without permission from 2009 East Asian Games
(HK) Ltd. This does not apply in the case of the official sponsors of the Hong Kong
2009 East Asian Games. A list of the official sponsors of EAG can be found at

6. Applicants are allowed to use the IP on campus from the date of application until 31
January 2010. Blanket approval will be given upon applicants’ indication of interest
in Part B as appropriate. The use of marks outside the campus is still subject to
vetting and approval by 2009 East Asian Games (Hong Kong) Limited. Applicants
interested in organising activities involving the use of IP outside the campus are
required to fill in details of their planned activities in Part C.

7. Applicants should not use the permitted IP on loose objects (e.g. caps, umbrellas. T
shirts, etc.), as it is necessary to prevent objects distributed on campus to be taken
outside the school by the participants. The same principle also applies to the
activities held outside the campus, as it is necessary to prevent objects distributed
inside the location of the activity and within the notified period to be taken outside
the location and beyond the notified period by the participants.

8. For on-campus activities, all promotional materials such as posters, backdrop,


banners, leaflets, etc. are only allowed to be displayed on campus. For activities
held outside schools, Applicants are only allowed to use the IP during the period in
respect of which they have applied and at the specified location of the activity. The
IP should not be used in other places for promotional purposes. For promotional
materials such as leaflet and banner that used on campus but have the possibility to
be seen by the public, applicants should also seek the approval from 2009 East Asian
Games (HK) Ltd.
