Coordination of front office with different department or section of the hotel ( Inter departmental relationship ) :

Lobby: To carry guest luggage on their arrival and departure. To help in shifting of guest luggage in the case of room change. To verify guest with scanty baggage and inform to front office. To deliver mail, messages and parcels of the guest. To pag the guest. To help in establishing correct room status in case of room discrepancy.

2) Housekeeping: a. Front office and housekeeping closely coordinate on the room status. The housekeeping department prepares room report and send it to the front office department, where it is tallied with the room status records of front desk. b. To clear departure rooms. c. To verify guest with scanty baggage and inform. d. To inform any unusual circumstances. e. To place extra amenities in the guest room like :- flower arrangements and to make special arrangements for VIPs , groups, crews, etc.

Food and beverages: To inform about the arrival and departures of guest. To organize meals for the guest as per the room plan. To serve welcome drink. To arrange VIP amenities (fruit baskets, dry fruits, cakes, liquor, etc ) in the guest room as per the amenities voucher.

e. Front office provides the list of the VIPs expected to arrive in the hotel so that special service is extended.

4) Engineering: a. Front office coordinates with engineering for the proper upkeep of the equipment and systems installed in the hotel. b. For any repair work required in guest room. c. For making duplicate keys in case of room key lost by the guest.

5) Store: a. Front office coordinates with the store to supply relevant forms, formats and stationeries.

Accounts: To inform about new arrivals. To deal with city ledger. To collect guest bills and clear check out.

7) Telephone: a. To inform about the arrival and departure of guest so that when calls come for a particular guest , it can be connected. b. To execute wake up calls.

8) Security: a. Front office coordinates with security department to resolve the problem relating to security concerns like:- robbery, theft, fire, etc.

9) Sales and marketing: a. To improve room occupancy on lean days. b. To inform sales whenever an important guest , who influences the business of the hotel checks in , so that special attention can be given to him/her . c. To keep front office updated with the new agreements made with travel agencies, airlines, companies, etc.

10) Human resources: a. To procure quality personnel for the front office. b. To impart training to the front office employees.
