Background of the Study

The technology in business is important to provide security to the confidentiality of the business
organization. The security of the minute details of the customer is a part of the service provided
to them and those confidential detailing is essentially manage by technological procedures. From
automatic security codes to the invention of the security software everything has contributed so
much for the security purpose. Technology is absolutely necessary when it comes to reserving,
renting and computing business transactions and other documentations. [goog2012]
A Web site is a related collection of World Wide Web (WWW) files that includes a
beginning file called a home page. A company or an individual tells the user how to get to the
Web site by giving the address of the home page. A website is use to provide a complex
transaction system through on line services.
Alvineths Party needs and Gen. Merchandise establish on year 1993 by Mrs. Rogelia
Villas Lo. Alvineths Party needs and Gen. Merchandise conveniently located at 2414 Aurora
Street Pasay City. The establishment started with just a small store with a limited party
equipment and use sidecar for the delivery of seats. After many years, the Alvineths company
becomes competitive in reservation and rental of Party Needs and Gen. Merchandise. Because of
the companys good quality service, customers are willing to have a transaction again with the
company. The company also offers services for the company party, debut, weddings renders
services commonly in these establishments: Kenny Rogers, Mall of Asia and Cuneta Astrodome.
Presently, Alvineths Party needs and Gen. Merchandise offers catering service, decorating venue
and rental of party equipments. In terms of the operations the company has eleven (11) regular
employees and the rest are on call. The company also gives decoration service for debut,
wedding, burial and other events. Alvineths Party needs and Gen. Merchandise has its good
quality service had contributed to the overall success of the company chosen business field.

Statement of the problem:

General Problem:
The existing system of the Alvineths Party needs and Gen. Merchandise has
difficulty in organizing and security of data, monitoring the reservation and renting
schedule of the customer on the companys services, computation of the bills and slow
and inconsistent generation of reports.
Specific Problem:
1. Organizing and Security of Data
- The reservation of customers is being is written manually on a common printed
receipt. Any employee can open it with or without permission of the manager. Therefore
no privacy is made for the customers profile also there is a great risk of losing the
customers data because there is no systematic way of organizing the profiles and
transactions of customers. There is no backup for the recovery of any lost data. The
company placed the order in a commonly printed receipt and put it on a drawer and it can
be lost anytime.
2. Overlapping of Reservation Schedule
- For recording the schedules of reservation, the company kept the copy of the
common printed receipt of the customers reservation receipt for a reminder and put it in
a small cabinet. There is no organized repository of reservation schedule as everything
put in the cabinet.
Employees can accidentally misplace the common printed receipt for the
reservation. The customers reservation might be missed out by the employee for not
reviewing the compilation. Customers might complain for not being able to get the
service and the party needs on time after paying the reservation fee.

4. Reservation and Cancellation of the services.

For making cancellation or reservation of the equipment and orders the customer
will have to go personally to the company since there is no automated database system., it
is a wasted of time and effort . For walk in customers, they will have to fall in line for
them to be entertained by the employees. The employee will have to look for the copy of
the common printed receipt before the reservation or cancellation is fully done.
For customer who wants to call the company they will have to wait until the
employee answers them. Because the landline is always busy due to many customers who
are also inquiring and having their reservation or cancelling the customers reservations.
In terms of text message the employees cant reply quickly because there are other
customers that the employee needs to entertain.
4. Billing of the Payments
The employees use calculator for the computation of bills for immediate
transactions but if customers have more add ons of the package or equipment, they write
it on an common printed receipt and manually add extra package or equipment availed by
the customer. This is very prone in producing an incorrect result.
According to the owner, many customers would complain because of the
inconsistency of their bills and they would compute it repeatedly in front of the
employees. Quality of service is neglected. The trust of customers to the company is at
issue.
5. Slow and Inconsistent Generation of reports (temporary)

Objectives of the study:

General Objectives:
The general objectives of the proponents in developing a new system of the Alvineths
Party needs and Gen. Merchandise focus in organizing and security of data, monitoring the
reservation and renting schedule of the customer on the companys services, computation of the
bills and slow and inconsistent generation of reports.
Specific Objectives:

To develop system for the organizing and security of data between the employees and

manager
To create a database for records for each transaction to avoid overlapping of reservations.
To create an online reservation and rental system to shorten the reservation and rental

transactions.
To develop a system that will bring convenience to the customers in the reservation or
cancellation of the companys service by saving their time and effort.

Significance of the Study:

The significance of this study was to help to give a benefit to the concerned group below.

The Company
This is capable for viewing the features and promotes the Alvineths Party needs and Gen.
Merchandise in the World Wide Web. That will become one of the highly competitive
establishments not only in Pasay but also in other places by having upgrade to modernization for
the company.

The manager
It will be more convenient for the manager to have better monitoring time for all
customers transactions. Organizing and security of data information is no longer a problem.
The Customers
The customers would not worry anymore for the privacy and security of their files. It will
convenient to them to make reservation anytime. Since the website contains different packages
they can choose from, they dont need to compete with busy phone calls to get a precise
description of what they are reserving for.
They no longer need to travel, spend time and take effort of leaving their homes to make
walk-in reservation. It is more convenient than having discussion with the employees.
The future students of STI College Makati
The future researchers, who is use this as guide for further improvement of their study.
The knowledge of the researchers can increase because of this study. It will help them to be more
motivated.

This study help the proponents to be more trained in handling programming language
used in developing a system. This will serve as a jump to start for them for their future career. It
will enable to the proponents to have a strong background in analyzing problems and designing a

Scope and Limitation

1.5 Scope

Security Billing For the reservation and billing policy a text message will be received by
the customer who availed any party need packages or catering service. For the
reservation to be confirmed, a 50% down payment must be pay via any branch of
cebuana lhuiller, LBC, Palawan Express, western union , mlhuiller near the
customers area. The remaining balance will be given on the day of the delivery. If

the customer cancels the reservation, the rule of the company will be applied.
File Maintenance- The monitoring

Methodology of the Study
The study employed descriptive-developmental research. The descriptive developmental
research describes data and characteristics about the populations phenomenon being studied,
descriptive research answers the questions that who, what, where, when, why and how.
One such process that the proponents will be used in software development is the
System Development Life Cycle. SDLC (System Development Life Cycle) will be used in the
development of reservation and rental system for Alvineths Party needs and Gen. Merchandise.
The selected methodology incorporates systematic development techniques to the project.
System Development Life Cycle is discipline approach. It requires each stage of the software
development to be documented. Besides that, the correctness of the product is checked on each
stage of the product building. This ensures only the correct product that fulfills the users
requirements are built during the whole development process.
System Development Life Cycle is a sequential model where the development process
goes through a number of phases in a certain order. These phases are preliminary phase, analysis
phase, design phase, development phase, implementation phase and maintenance phase.
2.1 Preliminary Investigation
Preliminary Investigation Phase involves gathering a considerable amount of
information. The proponents began finding a company that will suite to the topic. The
proponents visit some companies and a letter of intent. Proponents ask the owner for the
scheduled of the day of interview. The proponents conducted a brainstorming to know

what to do before, during and after the interview. The proponents also prepared questions
to be asked.
The proponents conducted an interview with Mrs. Rogelia Villas Lo, owner of the
Alvineths Party needs and Gen. Merchandise. The proponents asked the flow of the
existing system of the company. The owner allows the proponents to have the copy of the
list of items, as well as the packages that the company has been offering to their
customers. The proponents also asked for the copy of the sample receipts, forms and the
organizational chart of the company. With the information that was gathered during the
interview, the proponents will study the obtained information.
2.2 Analysis Phase
The proponents gathered information through an interview and will now focus on
analyzing the information. The proponents analyzed gathered information is now used to
know what kind of problems does the company encounters. The proponents study what
might be the possible solutions for the improvement of the companys existing system. To
provide an efficient and easy-to-use online reservation and rental system are the solutions
that will help the company. The proponents will also provide convenient transaction
between the company and the customer. The said online reservation and rental system
will keep track all the transactions that have been made.
