EXHIBIT K Remedial Policies ision Dissemination of Elector Data Policy Adopted November 2015 Goal: The goal of this policy is to ensure that legal requests for elector data are responded to ina secure, professional, and timely manner. Requests All requests for elector data must be in writing (see attached form) and, if submitted without Using the official form, must contain Name of person to receive the data ‘Address to which data will be mailed Telephone and email address contact information Organization requesting the data Date of request Specific request of what data is being requested (i.e. City of Sparta, active and inactive voters, City of Atlanta, all voters in Precinct XYZ, etc.) Generating Data 1. All requests for elector data will be forwarded to the Elections Systems Manager for processing, 2. The preparer of the data will initiate a Data Dissemination Report (DDR) and will initial the acknowledgement that they have prepared the data and have reviewed the data for accuracy and likewise confirm that the data does not contain any sensitive information. 3. The preparer will assign a request number to the CD order for a spreadsheet located on the G drive. 4, The preparer will make the CD and immediately review the data to make sure that: a. The CD contains the data requested and displays it properly b. The CD does not contain ANY sensitive information including driver's license number, social security number, or full date of birth. 5. The preparer will then password protect/encrypt the CD and add the password for the CD to the DOR. 6. The preparer will return the CD and DDR to the Election Systems Manager. Verifying Data 1. The Election System Manager will review the data and acknowledge on the DDR that the information is accurate and free of any sensitive information. 2. The data and DOR will be forwarded to the Elections Director for final review and approval. If approved, the Elections Director will deliver the data and DDR to the Legal Division for review. 3. Once Legal has approved the dissemination, the CD will be returned to the Elections Division for mailing. Disseminating Data 1. All data disseminated by this office will contain a copy of 0.C.G.A. § 21-2-225 alerting the recipient that the data must not be used for commercial purposes. 2. Prior to mailing the CD to the requestor, the Election System Manager will independently email or mail the password for the CD to the requestor. 3. NoCD will be mailed to a person who is required to pay until after payment has been received 4. No entity will be allowed to enroll in monthly requests for voter data. Each file distributed by the office must have a unique request form and a unique DDR.
