Guest House Policy of the Company


Objective:
To ensure a proper and comfortable stay for the employees of the Company at Corporate
Office at Delhi.
The Guest House of the Company shall be a transit accommodation for the
employees/guests for a specific time period.
Eligibility:
(i) New Employees posted at/transferred to Corporate Office at Delhi (including spouse &
dependent children)
(ii) Visiting Employees
(iii) Candidates called for Interview (Middle Management and above)
(iv) Any specific visiting study team or consultant (s)
Policy:
(i) An employee (new/visiting) shall be allowed to stay in the Guest House of the Company
only on recommendation of the concerned department head. Any employee desirous of
availing the accommodation in the guest house shall submit a requisition for the same in
the standard format duly approved by the Director (Finance) to the Manager (Hr &
Admin) in the Corporate Office at Delhi.
(ii) The Company shall provide accommodation in the guest house to above mentioned
eligible persons for a maximum period of 15 (Fifteen) days after the date of his/her
joining or visit to Corporate Office at Delhi. However, the said period may be extended
for a further period of 7 (Seven) days on special recommendation of the concerned
department head subject to the approval of the Director (Finance). No charges shall be
recoverable from the concerned employee for such extended period.
(iii) If the employee continues to stay in the guest house after the extended period of 7 days
as hereinbefore mentioned, the following charges shall be recoverable/debited from the
salary/other account of the said employee for the period of extended stay beyond the
said 7 days on the following basis:

Lodging Rates:
For Room

1200/- per night

Boarding Rates:
Lunch
Dinner
Breakfast

Rs. 75/- per person


Rs. 75/- per person
Rs. 30/- per person

(iv) The intimation for availing the accommodation at guest house shall be made by the
employee to the Manager (HR & Admin) at least 7 days in advance in a requisition form
duly approved by the concerned department head. The said form can be provided by the
HR Dept on requisition.
(v) The employees of the Company shall be given preference in allotment of rooms over
outsiders.
(vi) Single occupancy shall be provided to the employees of grade of General Manager and
above. However, in case of exigencies, sharing of rooms shall be arranged with officials
of same grade.
(vii) In case of non-availability of rooms in the guest house, the arrangement for
accommodation for the employees shall be made by the company in a hotel as per their
individual entitlements. The charges for the same shall be borne by the company. In case
the employee wishes to arrange for his/her accommodation himself reimbursement of
the expenses shall be made to the concerned employee according to his/her entitlement.
(viii) The employees of the company staying at guest house shall not be entitled for any
reimbursements in respect of food, lodging, boarding etc.
(ix) Breakfast, Lunch & Dinner shall be provided to the employees/guests as per the weekly
menu of the guest house.
(x)

Liquor and/or any alcoholic drinks shall not be allowed inside the companys guest
house. Any instances of the consumption of the same shall be taken as misconduct on
the part of the concerned employee/guest.

(xi) The employees staying at Guest House shall keep the premises, fittings, fixtures,
furniture, furnishings, paint, decorations etc., thereof in good order and condition and
shall not harm/damage or otherwise destroy the property of the Company.
(xii) The caretaker shall be responsible for the upkeep and maintenance of the guest house.
Manager (HR & Admin) shall be the main In-charge of the guest house.
