Greetings from Sunway Hotel Seberang Jaya!!
We would like to thank you for considering SHSJ as the venue for your forthcoming event. We are
pleased to propose the following arrangements.

Notes

Please note that all rates in this proposal are valid for this particular event
only,and it is not applicable for any direct or in-direct affiliated organization or
individuals. Rates offered are based on validity period and may differ from one
event to another

Please review and confirm the expected and guaranteed number of attendance before 7 days prior to
arrival. Any variance between the expected and guaranteed number should be within 5%. Charges will
be made according to the guaranteed number or actual attendance whichever is greater

SPACE APPLICATION & CUT-OFF DATE


The Hotel will hold all of the above arrangements on a tentative basis in 7 days at which time we look
forward to a definite basis. In order to SECURE all your guestrooms and function space on a definite
basis, kindly sign and return a copy of this acceptance together with the required deposit and a written
confirmation before the above cut-off date.
Should another organization request the similar arrangements on the guest room or function space on a
tentative or definite basis prior to the cut-off date, your organization will be informed and given 48 hours
to either confirm or release the reservation held.

ROOMS ACCOMMODATION
The rates are subject of the current 10% service charge and 6% government tax. Should any
government agency adjust these taxes or assess additional taxes to be in effect during the term of this
Agreement, the same shall also be added to such rates.

CHECK IN / OUT:
Check-in time is after 2.00pm. Check out time is 12.00 noon. Special requests for early arrivals or late
departure cannot be guaranteed, however, we will do our best to accommodate individual requests.
CASH DEPOSIT/CREDIT CARD IMPRINT UPON CHECK IN: INCIDENTAL & MISCELLANOUS
CHARGES:
All incidentals for the guestrooms incurred not stipulated by your organization will be settled in full by the
individual guests prior to departure or checkout. A credit card imprint of the individual guests will be taken
upon their check-in to facilitate this purpose. Full amount of deposit will be refunded to guest during check
out in the event if there were no miscellaneous charges or incidentals occur.
TRANSPORTATION
Transportation can be arranged to and from Penang International Airport the following rates:
Limousine
- RM 85.00 NETT per limousine (one way)
Distance from Penang International Airport to SHSJ is approximately 25km and the duration of the
journey takes about 30 minutes by car.
Kindly note that a 50% surcharge will be applicable for transfers arranged at the hours stipulated below:
From 11.00 pm to 7.00 am for Limousine

Terms & Conditions:
Package rates quote above are inclusive 6% Goods and Service Tax (GST).

Package rates quoted are applicable for a minimum of 30 persons and above.

Function space is subject to availability upon confirmation.

Function Arrangements & Guaranteed Attendance


Function rooms are assigned according to the expected attendance and set up. Should the actual
attendance increase and higher than the guaranteed attendance, kindly advise us no later than 72 hours
prior to function with written notice. The actual (higher) number of guest will be charged.
The hotel reserves the right and option to assign alternative meeting/ Function space suitable for the
group and assign different rates should the expected number of attendance change from the guaranteed
minimum number set by the hotel. Should the actual attendance is lower than the guaranteed minimum
number of attendance: the guaranteed minimum number of guest will be charged. Guaranteed minimum
number as per the stated guideline below.
Banner
Please be advised that all external banners brought in are subject to space availability. Odd size banners
will not be approved and displayed. Banner must be in line with the hotels approved standard size of
hotel discretion of each function rooms. Please note that no banners are allowed at the lobby foyer of
SHSJ

Permit
Please be informed that all Entertainment Licenses must be applied directly through the related
government or non-government bodies by good self or your designated entertainment agent. Once
approve, kindly extend a copy of the permit / s for our record purposes.
CAR PARK
Sunway Hotel Seberang Jaya - A flat rate of RM4.00nett is offered to conference attendances while inhouse guests will enjoy complimentary parking. All vehicles park within the hotel compound will be at
owners risks.
Sunway Carnival Convention Centre - A flat rate of RM5.00nett is offered to conference attendances. All
vehicles park within the hotel compound will be at owners risks.
PROMOTIONAL MATERIALS
Please be informed that promotional materials are not to be tacked, materials hacked, paste or knocked
on all columns, walls or any part of the building unless approved by the hotel.
TECHNICAL EQUIPMENT
All Audio Visual requirements can be ordered through the hotel. Our Conference Services and Catering
Department will be pleased to assist you with the recommendations for your Audio Visual equipment
needs.

Remark

DUTY FREE BEVERAGES POLICY


All alcoholic beverages brought into the hotel by the organizer/guests must have government duty paid
stamp. The hotel will not serve any liquor which is considered 'duty not paid' or 'duty free liquor' as it is an
offence for which the hotel could be penalized.
VALIDITY
All prices quoted in this document are only valid for 3 months from the date of issuance.

TERMS & CONDITION


1.

A complete rooming list with flight details and time is required at least 14 days prior to the arrival.
Please note that the remaining number of guestrooms without details after the rooming list is
received will be released for general sale.

2.

All guaranteed guest rooms or a no-show situation is subject to a full duration room night charge

based on the agreed room rate. The one-night room deposit guarantee will be forfeited for each noshow room. Space for subsequent nights will be released for general sale.
3.

Official check-in time is 2.00 pm and the checkout time is 12.00 noon on the day of departure.
Late checkout after 12:00 noon is subject to availability. A half-day charge is applicable for late
checkout till 6.00 pm. Rooms occupied beyond 6.00 pm will be charged at full rate.

Function space is assigned by the minimum guarantee of attendance. Should the actual
attendance is higher than the guaranteed attendance; the actual number of Guests will be charged.
However, should the actual attendance is lower than the guaranteed attendance; the guaranteed
number of guests will be charged. The Hotel reserves the right to relocate groups to a room suitable
for the attendance, with notification, if the attendance reduces or increase prior to the actual arrival.

The Hotel will require progressive payments based on the total estimated event revenue. Full
prepayment is required 30 days prior to the actual group arrival. Any ad-hoc or additional charges not
stipulated in our Proforma Invoice must be settled either by cash or credit card prior to departure.

individual guests prior to departure or checkout. A credit card imprint of the individual guests will be taken
upon their check-in to facilitate this purpose
In the event deposit or progressive payment is not received by the hotel within the stipulated schedule,
the reservation for the group may be subject to cancellation by the hotel. Reinstatement of space will only
be made upon receipt of payment and is subject to availability
It is agreed upon that if the Company fails to settle the accounts within the agreed credit period,
the Hotel will have the right to demand immediate payment on all outstanding accounts and
interest of 3% per month will be charged on all overdue amounts.
Settlement of Group Master Account can be made in the form of Cash, Bank Draft or Telegraphic
Transfer. Credit card settlement of the Group Master Account will only be accepted if previous
arrangements have been made with the hotel.
All transactions contained in this Agreement are in Ringgit Malaysia (RM). The hotel reserves the right to
claim compensation from the Company for loss on exchange arising from accounts settled by foreign
currencies or credit card.
Payment can be made either by Demand Draft / Cheque or Telegraphic Transfer to SHSJ. Our account

CANCELLATION.
Under the terms of this agreement, SHSJ has reserved for your guestrooms and function requirements.
In the event these services and facilities are not used, the Hotel will experience significant monetary loss
which will be difficult to calculate due to the uncertainty and cost of obtaining replacement business
Therefore, the following penalties will be levied if this booking is totally cancelled based on the following
guidelines below: -

120 days period Based on 70% of the total event revenue


90 days period Based on 80% of the total event revenue
60 days period Based on 90% of the total event revenue
30 days period Based on 100% of the total event revenue

NON-COMPLIANCE
If the deposits and or payment required herein are not received by the Hotel within the schedule as
outlined, the reservation for the group may be subject to cancellation by the Hotel. Reinstatement of
space will only be made upon receipt of payment and to the extent that rooms are available at that time.
DAMAGE
Should there be any damage to the Hotel property during your stay or function, we will charge the
Company for any repair costs.
EXCLUSIONS OF LIABILITY
The Hotel will not be held liable or responsible for failure to execute obligations specified herein directly or
indirectly occasioned by or through or in consequence of war, change of statutes of the Malaysian
Government, strikes, riots and acts of God or conditions beyond the control of the Hotel. In the event of
non-performance due to the above reasons, the Hotel shall refund in full the deposits received for this
function.
SPACE APPLICATION FOR DEPOSIT & CONFIRMATION
Upon confirmation and subject to space availability, the Hotel requires a non-refundable & nontransferable deposit of 10% of the total group revenue in form of a cross-cheque, made payable to the
respective Hotels or remittance transfer to the respective bank accounts. Please furnish us with a copy of
the bank transaction for our filing and tracing purposes.
All transactions contained in this quotation are based on Ringgit Malaysia (RM), unless otherwise
indicated. The hotel reserves the right to claim compensation from your organization for loss on
exchange arising from accounts settled by foreign currencies or credit card.
