USE FORCE IF NECCESSARY, PREPARATIONS ~ IF THE SIZE OF SHIPMENT IS KNOWN, FOR SHIPMENTS ON SKIDS - Try to have the dock kept clear of perked couriers and New World Kitchen customers. All skids are to be stored in the downstairs warehouse Space must therefore be made available and dsles cleered. FOR SHIPMENTS IN CARTONS Floorspace must be cleared for the unpacking . Shelfpace must also be freed. Each new title should have up to twenty copies an shelved. IF THERE IS NO ETA AND THE SIZE AND CONTENTS OF A SHIPMENT ARE A COMPLETE SURPRISE (j is a normal situation) LUNAR CYCLES = New VIRGO titles most often arrive when the moon is in either Virgo, Libra, Capricorn, Acuerivs or Aries. THE RECEPTION- Once you have obtained the bill of lading from the driver, the number of cartons received is checked against the number quoted on the bill of lading. Note any discrepancies on our copy end sign the driver's copy. Initial and date our copy and meke two photocopies for Thad end Maureen. For VIRGO titles @ third copy should be given to Dean, The original copy (that is a the uncopied copy of the original bill of lading) is filed at the front of the INCOMING WAYBILLS file, SHIPBAENTS ON SKIDS ~ must be kept downstairs, preferably on skids and with one title per skid/one publisher per area. Enter the date, the shipping comany or courier, and both the number of pieces brought in and (if applicable) the number of pieces taken. IDI SEZ OK Somewhere there should be a PACKING SLIP or INVOICE listing the titles, ouantities and manufacturer's list price. Give a copy of this slip to either Robert or Thad and have them verify the prices. DO NOT PROCEDE UNTIL YOU HAVE A COMPLETE PRICE LIST, ON A SEPERATE SHEET OR COPY OF THE PACKING SLIP tally the contents listing the ouantity received in good condition, received in unacceptable condition and the cuantity not received at all. Enter final totals on the original packing slip and circulate copies to Maureen, Dawn, Thed end Robert. If VIRGO product, include Dean end Ger. IF THE PRICE PRINTED ON THE BOOK DIFFERS FROM THAT QUOTED BY ROBERT OR THAD THE PRICE MUST BE COVERED BY A PRICE STICKER LISTING THE QUOTED AMOUNT 3 If no price eppears on the book, no pricing is reavired. Books of domestic origin need not be priced. A book is considered in Unacceptable Condition @) if it suffers from any printing or binding mutations b) if the book itself, excluding the dust cover, is marked, creased bent, dented, scratched, merked, soiled ormaimed in any other fashion. DAMAGED BOOKS should be repacked and recorded on RETURNS FORM as to cuentities end titles. One copy of the RETURNS FORM jis to be attached to Maureen's copy of the PACKING SLIP, and one copy is to be returned to the publisher with the demaged books. ASSIMILATING NEW INVENTORY ‘One area ard only one area for each and every title in stock All titles for each publisher should b8 on neighbouring shelfspace. OVERSTOCK should be packed in boxes cleerly merked with TITLE, PUBLISHER Quantity and PRICE IN CANADA, and stored either conjunct to the publisher's shelves or in the publisher's bulk storege area, FILES processed PACKING SLIP is to be filed at the front of the PRICE LISTS file. Il, REMOVING THE CAUSE BUT NOT THE SYMPTOM, or "Why the floor doesn't collapse” ‘Once you HAVE books the problem becomes "How fo get rid of them, deplete the stock and perpetuate the process". Orders received by Dawn are priorized by various persons "in the know" end invariably end up on the shipping table in no epperent order and must be sorted by priority picked, weighed and have shipping cherges calculated. ORDER FORMS should list the store, the full eddress, special shipping instructions, dete of receipt and any cancellation dates, and the quantities of each title. Unless otherwise specified the order of priority is as $9x follows 2) complaint orders or orders near cancellation date borders with more than S48 $100 thet can be filled c) prepaid Quick Orders d) orders for $100 or more in mass-market titles, remaining orders may be arranged by date of receipt. Of special priority are new-releases cor new shipments of long out of stock publishers especially when shipments must coordinate with euthor tours a ‘Once the top of the stack has been defined it must be decided whether the order need be PICKED. If an order reauesis titles that are either in stock in VAST quantity or not in stock at all and reauests ONLY these, the titles in stock may be xnfly safely checked or the quantity circled and the order form submitted for typing, IF THERE IS ANY DOUBT THAT ANY TITLES NOW IN STOCK MM WILL STILL BE IN STOCK WHEN THE INVOICE IS TYPED AND RETURNED FOR SHIPPING, THE ORDER MUST BE PICKED, IF THIS IS NOT THE ORDER'S FIRST TIME THROUGH THE SYSTEM titles should be pie picked if as yet unmerked, if merked "B/O" or "O/S" , or if the previous shipment was incomplete. Titles should not be picked if they her priced in RED pen, are accompanied by a four or five digit Invoice number or if a line has been drawn through the title. Books on the shelves are filed roughly by publisher (see mep of shipping). Therefore in order to find any one title one must know the publisher. A good guess is the name at the bottom of the spine of the book but the only sure answer would come from either Dawn Robert or Thad. Once a book has been located the orderform must be either checked or circled about the ‘ouentity figure or, if the stock on hand is insufficient, the cuantity to be shipped is entered in § parentheses beside the original ouantity. If the title cannot be located the order form is left as it was. Books now entered on the order form are collecied, weighed, and stacked on the shelves by the front doors. Each stack is labelled with the store name and the mode of shipping (this from special shipping instructions found attached to the order form or in the black binder or deduced according to size destination mis etc see below under "SHIPPING"). Attach a note fo the order form giving the total shipping charges (also as per the below section on ond submit the order form to Dawn for typing. THE INVOICE DAWN RETURNS TO US COMPRISES SIX COPIES, PAGES ONE AND TWO. ‘ARE THE CUSTOMER'S RECEIPTS, THE THIRD COPY IS THE PACKING SLIP AND INCLUDES A DETATCHABLE SHIPPING LABEL, THE LAST THREE PAGES MUST BE LEFT TOGETHER WITH CARBONS BETWEEN THEM AND ARE OUR RECORDS, Invoices collected from Dawn are matched against the stacks of picked books and left with ther corresponding stack. If no stack exists the order should then be picked. HOW NOT TO SHORTSHIP Check the ovantities ovoted on the invoice egainst the aventities picked. If there is any discrepancy, note this on a seperate sheet end return the invoice to Dawn, If the m invoice checks out compere the prices cvoted against the prices printed on the books end either reprice the book or cover the printed price with a blank price label. A gross difference in price may indicate that the invoice is reouesting hardcover where peperback has been picked. Any titles marked "HALFBACK" on the invoice must have halfback stickers on the front cover. DRROUTREICN £ PACKIN! 'EM IN Books of some cover size may be wrapped together although as much as possible same titles should be wrapped together. ALL books must be wrapped in either ls newsprint (clean and uninked) or in EXPOS posters should the newsprint run out. ‘As much as possible there should not be any books tucked firmly into the corners of @ box. Boxes of books get dropped, thrown and crushed, Ming the Merciless works in the postal statian station in Duncan. WEIGHT LIMITS CANPAR, 32kg per box CANADA. 1ékg per box US & INTERNATIONAL MAIL, .... 5kg per box CANPAR TO THE US, 50 Ibs per box If "BILL TO" and "SHIP TO" on therinvoice are the same, all three of the first sheets become the packing slip. If the addresses differ the first two copies must be mailed seperately to the "BILL TO" address and the third only is included with the shipment. If the package is bound for foreign lands, three photocopies of the packing slip must be enclosed in an envelope on the outside of the package. Shipments to interline forewarders or Howell forewerders etc must have a more prominent label addresses to the forewarder es well as the consignee's address, Consolidated shipments must be clearly marked as such with a full list of the contents displayed on the outside of the carton or skid. SHIPPING - WHAT GOES WHERE HOW WHEN AND WHO BY. First and foremost check for any special shipping instructions either attatched to the order or filed in the black binder. If such instructi@ns exist, follow them to the letter. THE BUDGET FOR SHIPPING ANY ONE ORDER IS 3% OF THE TOTAL WORTH OF THE INVOICE, IF any order cannot be otherwise shipped within this budget it is sent via BOOKRATE, BOOKRATE WITHIN CANADA = maximum weight is 16kg. PARCELS SENT BOOKRATE SHOULD EXPECT THE WORST POSSIBLE TREATMENT. Parcels mailed to us often arrive in body-bags. Delivery time ~ 5 to 8 weeks. BOOKRATE OUTSIDE CANADA ~ maximum weight 5kg. ALL PARCELS TO FOREIGN DESTINATIONS MUST HAVE THREE PACKING SLIPS IN AN ENVELOPE ATTACKED TO THE OUTSIDE AND MUST BE ACCOMPANIED BY CUSTOMS FORM B-13 (the large white form). If the value of the pacel does not exceed five dollars no packing slips are reovired and only the small blue customs sticker need be attached, CANPAR - ell parcels to metro destinations that are worth over $40. and under 7kg 6 CANPAR is by far the prefered route. If the size of the order will justify the CANPAR rate, check the postal code against the POINTS SERVED GUIDE, If the postal code is not listed, check the cities listed, If there is still no listing the package should be sent via BOOKRATE, AIF the destination is served by CANPAR the parcel (or percels) must be weighed - ‘ny portion of a kilogram is counted es a whole. ~ and the weight in KG noted on the outside of the peckage. Each box is stamped with the CANPAR number and the INVOICE NUMBER, the destination and the weight are entered into the CANPAR book. CANPAR is only economical up to approximately 50kg. Orders over this weight may be more wisely sent via HOWELL (if serviced), MOTORWAYS, IFL or CP EXPRESS, Orders to the US should all be sent via CANPAR to interline with UPS, Parcels are limited to S0lks and must be accompanied by three packing slips and customs form B-13, all customs documents in an envelope on the outside of the first box. GAULEY - GAGE - the charge is a flat $2. 10 for the first package and $1. 85 for each additional package to the same address. Skid rate is $17. 50. GAULEY - GAGE WILL ONLY DELIVER WITHIN THE "M" POSTAL DISTRICT, TO CALCULATE SHIPPING CHARGES FOR CP-EXPRESS, MOTORWAYS, HOWELL ete ~if the rate is given as "charges in cents per shipment" read the charge under the the column for the weight of the shipment “if the first column of the k rate sheet reads "POOL CAR RATE" or "'500 Ib RATE" determine the rate from the table of cities attached (for each city a rate should be listed). Reading across the rate sheet & for that city's rate and stopping at the column under the weight of the shipment should either yield a total cherge or a charge per pound. Once the order has been packed end entered on some waybill, the lest three poges of the invoice should be dated, initialled end the carrier used noted, ANY COPIES OF WAYBILLS SHOULD BE FILED AT THE FRONT OF THE FILE FOR THAT COMPANY, ‘#** APTER ANY SHIPMENT IS PICKED UP, IT MUST BE ENTERED IN THE SHIPPING LOG BOOK MW, INVENTORIES: Inventories spring up always at inopportune moments. All titles in stock ax from any given publisher must be counted before en order can be mede for more. RULE #1 - IGNORE ANY LISTS PROVIDED they are grossly incomplete. Always count the books on the shelf working left to right, top to bottom entering each title as you find it and not in the order on the lists. INCLUDE ANY OVERSTOCK FOUND BENEATH THE. SHELVES OR BESIDE THEM, Once the shelves have been counted the stock kept elsewhere ‘on the floor should be counted seperately. Cloth bound should be counted separate from the paper bound, 7 IV, RETURNS DISPELLING A COMMON MISCONCEPTION - Sales figures show that Ret urns do not exceed the volume of sales. If the xaux return has come to the door with a courier attached, you will probably have to sign something. should there be @ copy for our files it will file under "INCOMING WAY BILLS", KEEP RETURNS IN ONE AREA AND ONE AREA ONLY, Normally returns are the lowest priority. Do them whenever it gets too boring. Once every month, however, credit slips become our hottest number. Mysteriously, just before the end of each month, when invoices ore du due, Returns hold true to their name and bounce right up number-one-on-the-charts”. EACH RETURN SHOULD CONTAIN A PACKING SLIP. If there is none, the certon may be part of another shipment. Hold the carton for a few days in case the w rest turn up. If all else fails, make @ list of the contents of the box and the store from which it came (if known) and process as usual. IF ANY BOOKS ARE DAMAGED OR MISSING THE CREDIT NOTE (packing slip) MUST BE ADJUSTED, List the offending titles on the RETURNS FORM noting oventity, title, price (if known), discount (if known) and the net total plus shipping charges (to return the books) The returns form is signed and deted ~ one copy becomes the packing slip for the books being “returned to the bookseller and the original is stapled to the bookseller's credit reovest. ‘A BOOK IS CONSIDERED IN UNRESALEABLE CONDITION IF THERE ARE ANY NOTICABLE DENTS BENDS OR BUCKLES IN THE COVER , SPINE OR ANY OF THE PAGES, Damage to the dust cover of clothbound books is not considered damage. XX Mass-market paperbacks may be returned in ANY condition . ALL VIRGO PAPERBACK RETURNS SHOULD BE ENTERED INTO THE RETURNS LOG NOTING TITLE CUANTITY OF EACH COVER, THE STORE RETURNING THEM AND THE DATE(Gar wants to know). IF A BOOK IS ONLY MARGINALLY DAMAGED IT MUST BE OBVIATED BEFORE IT IS RETURNED TO THE BOOKSELLER . No violence please. Generally we cannot accept a book which ANYONE might not accept from us. If it is not wax worth the price, it goes back. ALL RETURNED RETURNS ARE RETURNED BOOKRATE, COLES BOOKSTORES, WHSMITH AND CLASSICS RETURNS ARE TO BE RETURNED TO THE HEAD OFFICE WAREHOUSE, The packing slip (credit reovest) and the attached returns form (if any) are to be collected ‘and given to Maureen at the month's end. V, THE FILING SYSTEM Shipping files are kept in the green file drawer beneath the telephone desk. The alphabetical ings are the files for outgoing woybills sorted by company, the most recent at the front of ach file, PITNEY BOWES is filed behind CANADA POST, Behind these files is a general file marked "INCOMING WAY ILLS" and a file for pricelists and catalogues. 8 VI, LEFTOVER BITS POSTAGE METER ~ before use set the date to the correct figures, If the amount reauired is over 99¢ the red button beside th@ the Amount Sliders must be depressed during operation. If the machine jams or objects in any way slide the mein latch to "REMOVE" and then back to "OPERATE". This is then promptly mailed to RMRS SYSTEMS BOX 1040 Stn "A" TORONTO Allow three days for processing. TO RESET THE POSTAGE METER ~ Enter the emounts used and unused on the RMRS form ( found in the large drawer with the tone generator) and assemble the tone generator. Place telephone mouthpiece in the tone generator's speaker cup. Using the telephone's buttons, dial 424-4953. At the sound of the tone press "If" or "1*" on the tone generator's buttons. The computer will ask for @ command code ~ press "555*". Each of "account number” “meter number" and the other neccessary enswers to the machine's questions will be found on the RMRS folder. EVERY ENTRY MADE TO THE COMPUTER MUST END With "4, eventually the computer will give you four "red" and four "white" numbers. Enter these on the form and press "4°" Gf you're feeling courteous. Back at the postage meter, press first the button marked "C". Next punch, in order, the appropriate "red" and "white" numbers and turn the dial eround one full turn in the direction of the errow.
