TFDW CALL TO CONVENTION By authority vested in me as President of the Tennessee Federation of Democratic Women, Pursuant to Article VI, Section 5 and Article VII, Section 1 of the TFDW By-laws, I, Jennie Carter, issue the 60" Annual Call to the Convention of the Tennessee Federation of Democratic Women Pigeon Forge, TN Co-Hosted by the Greater Chattanooga Democratic Women’s Club And the Hawkins County Democratic Women ‘And the TEDW East TN Women’s Clubs May 5 and 6, 2017 Theme: Women United, 60 Years Strong! Dear Federation Members, Perhaps what happened in the 2016 elections was the catalyst for the activity and changes we are seeing within our Party and around the country now. Great numbers of folks, especially women, across this state and nation are stepping out and speaking up. They are joining our organization, marching, making signs, writing letters and making phone calls. As 2017 begins, women, especially, are pumped up and fired up and ready to take our country back by electing Democrats! It is our time to rebuild a grassroots platform in counties from one end of the state to the other. We are working and planning so we can take advantage of this opportunity and take back this state! Now is our time! It is our moment to do what has not been done in Tennessee for many years now ~ elect Democrats and make this state a great place to live and work again! Convention is a time to enjoy fellowship with women from across Tennessee. The Stars will be introduced at an elegant ceremony on Saturday, May 21 at 6:30 p.m. Please nominate a special lady who exemplifies what it means to be a Democratic Woman, The 2017 Brightest STAR will be named and awarded a gift. Dues payment and a list of members who paid dues as of December 31, 2016 must be received by the federation treasurer by the last day of February (or postmarked by the last day of February) for your club to have delegates at the convention. The number of delegates per club will increase by multiples of 10 members only. In other words, for 40 members the club has 5 delegates (4+ President), for 46 members the club has 5 delegates (4 + President). The sixth delegate is eamed when the membership reaches 50. The club may also elect alternates who can vote if any delegates are absent The list of delegates is separate from convention registration and should be sent to the credentials chair by, April 10, 2017. It is an excellent opportunity to honor or memorialize a member of your club, a family member, or anyone who has been a friend and supporter of the TFDW or your local club. A card of acknowledgment will be sent. Please send the name of the person you are honoring, a brief bio on the person, and a mailing address for that person or his/her family to receive the acknowledgment card. Forms should be turned in at convention on Friday, May 5" by 4 PM to: Patsy Johnson, Special Projects Chair, (731) 668-7139 or pritnd@bellsouth.net Silent Auction Gift: Each club is asked to bring an unwrapped gift for the silent auction. ‘Suggested minimum value is $40. Please also provide a 3x5 index card as a label for your gift that describes the item or its contents, the estimated value and includes the name of your club. Dollar Table Gifts: Ail TEDW members and clubs are asked to contribute items for this, popular table, where everything sells for $1.00! Bring wrapped gifts, of any value over $1.00, to convention on opening day. This is a great way for the TFDW to make money. Please participate! Ways and Means Item: {ndividual participants are asked to bring one item to place on the Ways and Means tables. Suggested value $10.00 and up. A great way to recycle unwanted gifts! Convention Sales: Any club may sell their fund-raising items at the convention. However, each club must donate 10% of their profit from the weekend sales. If you need a table, you must arrange that directly with the hotel or through the convention chair before convention. if you require a table, you must pay the hotel fee for the table. Questions? You will be recognized and asked to give a TWO (2) minute report at the Friday business session. Scrapbooks: All scrapbooks should be tumed in on Friday, May 5" by 4 PM, so as to allow ‘ample time to judge the scrapbooks and to have them on display for all to enjoy. They should be tumed into Edna Longwell, Scrapbook Chair. March 21, 2016, Tabled to 2017 Convention If you do not have a copy of the current bylaws (last amended in 2016), the full text is on the website, TFDW.org, under About Us. IV, 3Replace with: Associate membership shall be granted to men and any others who wish to affiliate with a member club or as an individual members and pay dues. Associates and men are not eligible for office at the state level V,6,a Add: The President shall, along with the Treasurer, sign all checks written by TEDW. V, 6,b Add: If for any reason, the vice president of a grand division fails to visit two of her clubs without a valid reason she shall be asked by the Tennessee Federation of Democratic Women Executive Committee to relinquish her position. Her major purpose is to promote membership and motivate activities to enhance the Tennessee Federation of Democratic Women. V, 6, c. Recording Secretary: The recording secretary shall keep the general records, including minutes of all ells conventions and board meetings, committee appointments, officers’ list, list of members showing their addresses and phone numbers and shall keep the roll of each meeting. V, 6,e These records shall be subject to audit by a firm or party designeddesignated by the Executive Committee, The treasurer must be bonded before assuming her responsibilities. V, Section 9 The president of this Federation shall be reimbursed for all expenses, as allowed, outlined and established by the Executive Committee, in traveling in the interest of the Federation and within the limits of the budget established for the President. Section 10. The vice presidents of this Federation shall be reimbursed their expenses, as allowed, outlined and established by the Executive Committee, for travel required to organize clubs and assist the clubs and committees in their own grand division. The secretaries and treasurer shall be reimbursed for their expenses, as allowed, outlined and established by the Executive Committee, as is required by their positions. Vi, 3 Substitute: “The Federation shall have an annual Convention at a time and place as named by the Executive Committee, said Convention rotating annually between the grand divisions.
