19. Payroll & Leave Processing


General Information

TEACHER ABSENCES AND SUBSTITUTES (H608/H609)

Leave Procedures
ALL leave must be granted by the administration prior to the absence. Unplanned
absences and tardiness will be handled in the following manner:

In the event that a teacher has not reported to his/her classroom at the start time set by
the Principal, the local school administration will attempt to contact the staff member.

The local school administration will verify the status of the absence or tardiness.

If the teacher is tardy (15-30 minutes), the delay will be documented and reported to
the principal and the class will be covered by a teacher or other staff member placed
in the classroom until the teacher arrives.

Teachers are NOT to be keyed out for being tardy. Report all occurrences of
late arrival to the principal.

If there is an unplanned absence and a teacher is required to cover a class, a


substitute will be located via AESOP.

Within 24 hours after the unplanned/unapproved absence, the teacher/staff member


must complete and turn in a leave statement to the Principal or designee.

The principal or designee will meet with the teacher/staff member to determine
whether the leave time will be approved and designated as personal or sick leave.

The approved leave statement is forwarded to the bookkeeper who then keys the
approved leave into the H608/ and H609 panels.

In the absence of a Statement of Leave at the time that Payroll is processed, in order
to release pay for the substitute, the teacher will be keyed in as leave with pay
(LWP). If the leave status is changed at a later date, then the LWP will be changed
to Sick leave, Personal leave, or Leave Without Pay (LWO).

Leave Without Pay may not be keyed for a teacher nor any other exempt employee without
written direction from the Principal, the Office of Legal Affairs, or Human Capital Management.
