CHAPTER 2

MANAGEMENT ASPECT

This chapter focuses on the management aspect of this study such as the vision, mission, values,

goals and objectives of AeroPad which are to be upheld and embodied by the management, employees

and the business as a whole. The vision, mission, values, goals and objectives will also serve as the

business in which the remaining sections had been constructed.

AeroPad is committed to providing pure elation for people who are thrill seekers and believe

that it is a way to express ones freedom. We believe that this will enhance an individuals health

through recreation and physical fitness.

Management and Personnel Policies

1. Hours of Operation/Work Schedules

The office is normally open from 7:00 am until 9:00 pm Central time. Certain employees may be

assigned to different work schedules and/or shifts outside of normal office hours. If an employee must

be outside of the office for non-business related reasons during their normal work schedule, they should

inform their manager.

2. Attendance Policy

Regular attendance is essential to the businesss efficient operation and is a necessary condition

of employment. When employees are absent, schedules and customer commitments fall behind, and

other employees must assume added workloads.

Employees are expected to report to work as scheduled and on time. If it is impossible to report

for work as scheduled, employees must call their manager before their starting time. If your manager is

unavailable, a voice message should be left. If the absence is to continue beyond the first day, the

employee must notify their manager on a daily basis unless otherwise arranged. Calling in is the

responsibility of every employee who is absent. Absence for three consecutive work days without

notifying the manager is considered a voluntary termination.

3. Leave of Absence

Employees are eligible to apply for an unpaid leave of absence if they have been a regular

employee of the business for at least one year and scheduled to work 20 hours or more a week. The

employees manager will make a decision on the leave request. The request for leave will be reviewed

based on the reason for the request, previous attendance record, previous leave requests and the

impact the absence will have on the business.


Authorized leaves for illness or disability begin after employees have exhausted accrued sick

leave, vacation and personal holiday time. A personal leave of absence, if granted, begins after vacation

and personal holiday time have been used.

If the request for leave of absence for personal reasons, the employees manager, with the

advice of company, will decide whether the current position will be held open, or if a position will be

made available upon the employees return from leave.

4. Family Medical Leave

All employees who have been employed at least twelve months, and who worked at least 1,250

hours during the twelve months prior to the leave request are eligible for an unpaid family and/or

medical leave of absence under the Family and Medical Leave Act of 1993 for a period up to twelve

weeks during a calendar year under the following circumstances:

For the birth of a son or daughter of the employee and to care for such newborn son or

daughter, if completed within twelve months of the childs birth; The placement of a son or daughter

with the employee for adoption or foster care if completed within twelve months of the placement; To

care for the spouse, or a son, daughter, or parent of the employee, if spouse, son, daughter, or parent

has a serious health condition; or Where a serious health condition makes the employee unable to

perform the functions of his or her job.

Employees ordinarily must provide 30 days' advance notice when the leave is "foreseeable." The

business may require medical certification to support a request for leave because of a serious health

condition, and may require second or third opinions (at the employer's expense) and a fitness for duty
report to return to work. Taking of leave may be delayed if requirements are not met. For the duration

of FMLA leave, the Company will maintain the employee's health coverage under the group health plan.

Upon return from FMLA leave, most employees will be restored to their original or equivalent positions

with equivalent pay, benefits, and other employment terms. The use of FMLA leave cannot result in the

loss of any employment benefit that accrued prior to the start of an employee's leave.

5. Pay and Compensation

Employees are paid on the 1st and 15th of each month.

New employees are required to complete an Employee's Withholding Allowance Certificate (W-

4). Employees must present their Social Security card to Employment when completing the required

forms. Optional forms employees may wish to file are paycheck direct deposit authorization card, union

or association dues card, and other deductible employee paid benefits.

6. Overtime

Non-exempt employees are eligible to receive overtime pay if they work more than 40 hours in

a given week. Holiday, vacation, and sick time are not included in hours used to determine overtime

eligibility. Overtime pay equals 1.5 times and employees regular hourly rate. All overtime must be

approved the manager in advance.

7. Vacation

All full-time employees are eligible for vacation pay.

New full-time employees will receive a pro-rata number of vacation days based on one day for

each month worked in the hired calendar year, not to exceed 10 days.
In the first full calendar year and through the calendar year in which the employees 3 year

anniversary of employment occurs, employees will receive 10 vacation days each year.

In the calendar year of the employees 4 year anniversary of employment, employees will

receive 15 vacation days each year.

In the calendar year of the employees 10 year anniversary of employment, employees will

receive 20 vacation days each year.

Up to 5 unused vacation days may be carried over into the next year. All other unused vacation

time will be paid out in the final pay check for that year.

Employees should notify their manager at least one month in advance of taking vacation time.

All vacation requests are subject to manager approval. In addition, employees should directly

communicate vacation dates to co-workers to ensure customer needs are met.

Part-time employees who work on a regular schedule all year are eligible for vacation benefits

on a pro-rata basis based on the schedule above.

20. Retirement

a. The plan, which is 100% funded by the company calculated at one months base

salary per year of service based on the employees latest basic rate upon normal

retirement at age 65, death or total and permanent disability. Early retirement benefit

can be available to 10 years of service equal to 50% of normal retirement benefit.

21. Voluntary Termination


a. An employee who voluntarily terminates the employment relationship is expected to

provide the General Manager with adequate written notice, and preferably no less

than two weeks in advance, regardless of job classification.

b. An employee who voluntarily terminates the employment relationship is expected to

work the entire notice period unless approved by the General Manager.

c. An employee must work the last day of their notice period which cannot be a Holiday

or other approved leave.

22. Grounds for Involuntary Termination

Gross misconduct of any employee shall not be tolerated. Thus, it will warrant a

disciplinary action which could lead to termination by the management. Misconduct shall

include but not limited to:

a. Violation of any law, policy, regulation, or practice, including those related to the

Code of Conduct

b. Unlawful or improper conduct while on work time

c. Conviction of a crime which may call into question the managements ability to

properly carry out the responsibilities of his/her position


d. Violence or the threat of violence in the workplace

e. Theft or fraud

f. Lying or intentionally withholding information that should be disclosed

g. Insubordination or refusal to perform work

h. Serious negligence, recklessness or intentional wrongdoing

i. Acts of discrimination or retaliation; and/or

j. Demonstrated lack of respect for others.


Tasks

Clean building floors by sweeping, mopping, scrubbing, or vacuuming


them.
Gather and empty trash.
Service, clean, and supply restrooms.
Clean and polish furniture and fixtures.
Clean windows, glass partitions, and mirrors, using soapy water or other
cleaners, sponges, and squeegees.
Dust furniture, walls, machines, and equipment.
Make adjustments and minor repairs to heating, cooling, ventilating,
plumbing, and electrical systems.
Mix water and detergents or acids in containers to prepare cleaning
solutions, according to specifications.
Steam-clean or shampoo carpets.
Strip, seal, finish, and polish floors.
Clean and restore building interiors damaged by fire, smoke, or water,
using commercial cleaning equipment.
Clean chimneys, flues, and connecting pipes, using power and hand
tools.
Clean laboratory equipment, such as glassware and metal instruments,
using solvents, brushes, rags, and power cleaning equipment.
Drive vehicles required to perform or travel to cleaning work, including
vans, industrial trucks, or industrial vacuum cleaners.
Follow procedures for the use of chemical cleaners and power
equipment, in order to prevent damage to floors and fixtures.
Monitor building security and safety by performing such tasks as locking
doors after operating hours and checking electrical appliance use to
ensure that hazards are not created.
Move heavy furniture, equipment, and supplies, either manually or by
using hand trucks.
Mow and trim lawns and shrubbery, using mowers and hand and power
trimmers, and clear debris from grounds.
Notify managers concerning the need for major repairs or additions to
building operating systems.
Remove snow from sidewalks, driveways, and parking areas, using
snowplows, snow blowers, and snow shovels, and spread snow melting
chemicals.
Requisition supplies and equipment needed for cleaning and
maintenance duties.
Set up, arrange, and remove decorations, tables, chairs, ladders, and
scaffolding to prepare facilities for events such as banquets and
meetings.
Spray insecticides and fumigants to prevent insect and rodent
infestation.

Security guard

Reports to: Operations Manager

Supervises: None

The Security guard shall provide information and security related services as the

initial contact for all visitors to the establishment including meeting and greeting visitors.

There will be two security guards who were hired from Villmapi Security and Detective

Agency. Therefore, their salaries are not included in the payroll. He performs a variety of

routine manual maintenance work of grounds and facilities everyday around the

establishment. He checks for vandalism and damages in any part of the establishment and

reports it to the Operations Manager in a timely manner. He ensures that all persons

entering the building are unarmed of any dangerous objects. He observes rules and

regulations and strictly implements them for the well-being of all employees and clients

of the business. He shall provide security and safety related duties at all times. He also

seldom assists in the operation of the van service where the remains of the pet are taken
from its place of death to the Muzootuario for burial, cremation or taxidermy process.

Desired Qualifications:

High school diploma

Valid Drivers License

At least 2 years of experience performing security services or other related

services

Ability to take and follow directions

Ability to perform strenuous and routine work.

Ability to maintain good planning and organizational skills.

Ability to maintain harmonious and effective working relationships with other

employees and respond to general public complaints.

Ability to maintain good health and physical condition sufficient to permit the full

performance of the duties of the position.

Cashier

Reports to: Finance Manager

Supervises: None

The Cashier receives payment by cash, check, credit cards, or automatic debits
from death care services. Then, s/he issues receipts, refunds, credits, or change due to

clients. It is his responsibility to count money in cash drawers at the beginning of shifts to

ensure that amounts are correct and that there is adequate change. S/he must also

maintain clean and orderly checkout areas and has knowledge to appropriate costs of

death care services offered. The cashier is also in-charge with the collection of museum

fees. Then, the cashier will put a stamp on each visitor after payment. S/he also receives

payment from the souvenir section.

Desired Qualifications:

An associates degree in any course

At least 2 years of meaningful experience as a cashier

Knowledge of basic arithmetic.

Skill in handling and counting cash.

Skill in communications with public.

Must be trustworthy and competent

Must be of good moral character

Nature of Work:
Gym Instructor provides fitness instructions and gives assistance to customers in enhancing
their physical built.
Basic Tasks:
Prepare exercises plan for clients.
Assist clients/customer in doing exercises using gym equipments.
Give further instruction to clients on their physical exercise and how to maintain it.
Promote and give wellness advices
Give diet plans
Maintain and secure the functions of gym equipments to avoid accidents.
Maintain the cleanliness in the gym

Education and Training Requirements:


Must be a graduate of Physical Therapy (licensed) or Physical Education.
A graduate of any 2 year vocational course are also welcome but must have experience
working as a gym instructor.
Must have at least 1-3 years experience working in gym, fitness or wellness centers.

Skills and Competency Requirements:


Must be physically fit
Must have wide knowledge in Physical Education and Therapy.
Must know different physical exercises and body building.
Must have knowledge in preparing effective exercises according to clients built or
physical/health status.
Must have knowledge in preparing dietary meals.
Basic knowledge in human anatomy, most especially in muscular system
Knowledge in using light and heavy gym equipments.
Must be willing to do personal trainings.

Employment Opportunities:
Wellness and Fitness centers are very in demand abroad, most especially in the Middle
East and US. Because of these demands, high opportunity awaits experienced gym
instructors. Gym and wellness centres are also in trend locally, especially in Metro Manila
where fitness conscious people increase.

Work Environment:
The workplace for gym instructors is very conducive and pleasant since they promote good
healthy living. They work can be tiring in times, especially if they are working with body
building exercises with their clients. However, gym instructors can enjoy free gym service,
these includes using gym equipment for free since they have to keep their physical built.

Work Hours:
Gym Instructors often work 8 hours a day. They time may vary if the instructor has private
personal trainings with clients that is paid per hour/session.
Career Advancement:
Experienced gym instructors can be promoted as gym Supervisors or Managers.

Receptionist Job Responsibilities:


Serves visitors by greeting, welcoming, and directing them appropriately; notifies
company personnel of visitor arrival; maintains security and telecommunications
system.

Receptionist Job Duties:

Welcomes visitors by greeting them, in person or on the telephone; answering or


referring inquiries.
Directs visitors by maintaining employee and department directories; giving instructions.
Maintains security by following procedures; monitoring logbook; issuing visitor badges.
Maintains telecommunication system by following manufacturer's instructions for house
phone and console operation.
Maintains safe and clean reception area by complying with procedures, rules, and
regulations.
Maintains continuity among work teams by documenting and communicating actions,
irregularities, and continuing needs.
Contributes to team effort by accomplishing related results as needed.

Receptionist Skills and Qualifications:

Position Description: Bookkeeper

Basic Function: The bookkeeper position creates financial transactions and creates financial reports
from that information. The creation of financial transactions includes posting information to accounting
journals or accounting software from such source documents as invoices to customers, cash receipts,
and supplier invoices. The bookkeeper also reconciles accounts to ensure their accuracy.

Principal Accountabilities:
1. Purchase supplies and equipment as authorized by management
2. Monitor office supply levels and reorder as necessary
3. Tag and monitor fixed assets
4. Pay supplier invoices in a timely manner
5. Take all reasonable discounts on supplier invoices
6. Pay any debt as it comes due for payment
7. Monitor debt levels and compliance with debt covenants
8. Issue invoices to customers
9. Collect sales taxes from customers and remit them to the government
10. Ensure that receivables are collected promptly
11. Record cash receipts and make bank deposits
12. Conduct a monthly reconciliation of every bank account
13. Conduct periodic reconciliations of all accounts to ensure their accuracy
14. Maintain the petty cash fund
15. Issue financial statements
16. Provide information to the external accountant who creates the companys financial
statements
17. Assemble information for external auditors for the annual audit
18. Calculate and issue financial analysis of the financial statements
19. Maintain an orderly accounting filing system
20. Maintain the chart of accounts
21. Maintain the annual budget
22. Calculate variances from the budget and report significant issues to management
23. Comply with local, state, and federal government reporting requirements
24. Process payroll in a timely manner
25. Provide clerical and administrative support to management as requested

Desired Qualifications: The bookkeeper candidate should have an Associate's degree in accounting
or business administration, or equivalent business experience, as well as a knowledge of bookkeeping
and generally accepted accounting principles. Preference will be given to candidates with a working
knowledge of the _____ accounting software package.
