Subject: Revisions for problems memo

After reading the proposed memo labelled problems I noticed a few areas that could use some
work before sending this memo out to our property residents. The first area that requires some
change the accusatory tone used in the first paragraph. The letter addressed the problem of
being respectful and asking resident to clean up their dog poop but then proceeds to get angry
with a Okay? This tonality is not fitting and no an appropriate way to speak with our paying
clients.

Berating the residents about a problem by stating we have told them over and over is not an
acceptable since the majority of the clients do follow the rules and scolding them like a child is
an insult to their intelligence. A rework of this would kindly state, in a professional manner, that
we will begin towing cars that are parked in designated loading zones and fines will be added to
their bill. Also removing the I statements used in the second paragraph would be beneficial as it
doesnt put a good face on our organization when our letters appears to come from one
disgruntled employee.

Using caps and underline to emphasize a point come across as passive aggressive and
childish. While I do realize the need to inform residents that tampering with the smoke detectors
is against the law, the manner that it is currently being presented in could use some revision.
Rehashing a point again in the fourth paragraph that was already covered is excessive and
does not need to be included. Kindly informing our customers that stickers will be enforced from
now on is is good enough.

I do however like the closing paragraph. It gets to the point kindly, is professionally written, and
offers an incentive -- that the neighbors will appreciate it.
