• 5 weeks before the day (12 July):

 Investigate possible experts to visit on the day of the Challenge.

 Contact expert via phone to discuss event and possible attendance

 Liaise with school principal regarding the event – discuss possible schedule

and the use of the school hall as the location of the activities for the STEM

event.

 Email or contact possible sponsors for the supplies needed for the

construction of beehives.

• 3 weeks beforehand (26 July):

 Confirm attendance of beehive expert and expected timetable of tasks during

the event – discuss possible topics Mr Smith will cover including the life cycle

of bees and hive activity and bees impact on humanity and sustainability.

Email tasks, topics and timetable.

 Book the hall for the event for two hours.

 Email buddy class teacher to request year 6 students involvement

• 2 weeks beforehand (2 August)

 Send consent, medical and media forms to parents allowing their children to

participate in event and activities

 Send out volunteer request forms to parents through students.

 Carry out risk assessment.


• 1 week beforehand (9 August)

 Print schedule and session overview.

 Organise collection or delivery of resources for the construction of beehives

 Prepare materials for beehive construction including cutting conduit to

required lengths

 Create differentiated bee-bot underlays for coding

• 3 days beforehand (13 August)

 Send reminder email to beekeeper.

 Check student permission slips and organise work for students who are not

attending event. Communicate with the teachers supervising non attendees to

inform them of the work expected to be completed.

 Contact volunteers to explain assistance required and expectations for the

event.

• The day of the event (16 August)

 Set up activities – organise iPads with app, collect bee-bots and mats, sort

resources for the beehives.

 Greet Mr Smith assist with his set up if needed.

 Direct volunteers and year 6 buddies in how they can assist the year 2

students.

 Group students into and groups.
