DOCDM-183971 5MBC Excel spreadsheet for data entry

Helpful hints

This spreadsheet is set up help make data entry easy and consistent. Once you have filled in the
metadata tab for your study the matching cells in the data entry spreadsheet will fill automatically. This
happens as you type in the station numbers ie once you start entering data the relevant cells will fill
themselves.

Sections of these spreadsheets are protected so the hidden formula and drop-downs don’t get messed up.
This has several consequences:
1) Start with your own copy To start I suggest you save the spreadsheet (including the underlying formula)
to your own filing system and use that copy for your data entry (make sure the formula and drop down lists
still work).
2) Printing A word of warning when you print the spreadsheet, because it has hidden formula it prints pages
and pages, even though they appear to be blank. To avoid using an entire forest of paper select only the bit
you want to print and choose 'print selection"
3) Pivot tables, You will find the spreadsheet will not let you do pivot tables for analysis (I think this is
because of all the blank cells with hidden formula in them). To do pivot tables you will need to copy and paste
your data to another sheet without the underlying formulas.

Using the species drop down list- It would be nice if the drop down list was interactive so that typing the
first few letters of the species name into the excel cell scrolled down the list. But its not. So you have to
scroll manually through the list. The good news is that once you have entered a species for the first time it
will come up in future cells as Excel tries to anticipate what you are typing in.

Unique survey name


Made up of general location, specific location and as much
date information as is needed to separate this study from any
others you are doing at the same place e.g. Eglinton, Knobs
March 2006

General location
Give a name for the general area. This should be a
recognised location from the LINZ / NZ geographic Board's
place names database see LINZ website- place names -
search place names e.g. Eglinton Valley

Specific location
Give a name to describe where the more specific location
where the study was done e.g. Knobs Flat

Study grid reference


Give a single grid reference that represents the study. This will allow us, in the future, to represent the study with a dot on a
course-scale map of NZ. Do not agonise over the accuracy of this point

Northing (7 digits, state accuracy)


Easting (7 digits, state accuracy)
Describe the grid reference (is it the centre of study
site, first station on line, etc?)

Conservancy
Please complete this whether it is a Doc project or not.
Conservancy gives us a handy way to sort the studies by
region

Altitude
(describe the altitude for the stations e.g. between 100 and
300 m a.s.l.) How was this measured?

STANDARD RECORDING OF CONDITIONS

The following are the standard formats for collecting information during five minute bird counts. Studies should use these
formats. In some situations there will be studies that do not conform, for example studies that were started before the standards
were clarified In this case you will need to consider whether to change the way your information is collected. If there are still
differences between your study and the standard please record these below.

(Beaufort 5, 6, 7)
