1 Solution Overview
OnBase Reporting Dashboards Package solutions allow the leadership of paper
scanning departments to monitor their team’s performance through real-time graphical
representations of team activity. This reporting is available through pre-packaged
reports designed to monitor indexing, scanning, quality analysis and more functions that
scanning teams use as performance metrics on a daily basis.

The HIM Operations I Package is designed to provide up to the minute data allowing
management the opportunity to track productivity in completing their team’s daily
workload. This reporting allows for the identification of success against daily metrics and
identify opportunities for improvement. Additionally, leadership can use this data to
accurately project team staffing in real-time, thus making decisions to assure all work is
completed successfully and on time.

2 Solution Requirements Detail


2.1 Capture
Users will scan paper documents through Unity batch scanning. Any scan queues or user groups
can be used.

# Solution Requirements
1 Allow for paper documents to be batch scanned in Unity if on version 15.0.0.57+
2 Allow for paper documents to be batch scanned in thick client if on version 16.0.1.66+
3 Allow for scanning into any scan queue as desired.

2.2 Reporting
Dashboards are available to users granted the appropriate access. Productivity reports for
scanning, indexing, and QA is available.

4 Scanning – Total number of pages and documents scanned by a user group
(department) for a given date range
5 Scanning – Total number of pages and documents scanned by an specific user for a
given date range
6 Scanning – Total Number of pages and documents scanned into a specific scan queue
for a given date range
7 Scanning – Average pages scanned per hour for each user for a given date range
8 Scanning – Average seconds to scan a page for each user for a given date range
9 Indexing – Total number of pages and documents indexed by a user group (department)
for a given date range
10 Indexing – Total number of pages and documents indexed by an specific user for a given
date range
11 Indexing – Total Number of pages and documents indexed into a specific scan queue for
a given date range
12 Indexing – Average pages indexed per hour for each user for a given date range
13 Indexing – Average seconds to index a page for each user for a given date range
14 QA – Total number of pages and documents QA reviewed by a user group (department)
for a given date range
15 QA – Total number of pages and documents QA reviewed by an specific user for a given
date range
16 QA – Total Number of pages and documents QA reviewed into a specific scan queue for
a given date range
17 QA – Average pages QA reviewed per hour for each user for a given date range
18 QA – Average seconds to QA review a page for each user for a given date range
19 Document Types – Number of documents that exist for each document type

20 Time to Process – Average time to process a batch from scan to commit during a given
date range
21 Time to Process – Average time a batch is in Awaiting Index during a given date range
22 Time to Process – Average time a batch is in Awaiting QA Review during a given date
range
23 Overall – Number of batches that are awaiting indexed per scan queue during a given
date range
24 Overall – Total pages and documents awaiting index during a given date range
25 Overall – Total pages and documents awaiting index for each scan queue during a given
date range
26 Overall – Total batches awaiting index for each scan queue during a given date range
27 Overall – Total pages and documents committed during a given date range
28 Overall – Total pages and batches committed for each scan queue during a given date
range

3 Discovery Questions
There are several key questions that should be discussed when considering the Dashboard
Reporting Performance Package. These are discussed in detail in the Solution Blueprint.

1. Is the customer using Unity Batch Scanning or Thick Client Batch Scanning?

2. What version of OnBase is the customer on?

3. Are there multiple HIM departments or scanning locations that are each overseeing their
own scanning operations?
4. Does the customer want to receive regular emails with a link to a Dashboard? For example,
every Friday, send an email to the HIM manager for that week’s scanning productivity and
results.

This solution was built and tested in the following versions. It is expected that full regression
testing will be performed in all customer implementations.

5 Assumptions
The remainder of this document assumes the following to be true prior to beginning
implementation of this solution.

1. Customer is using OnBase 15.0.0.57 or higher if using Unity Batch Scanning

2. Customer is using OnBase 16.0.1.66 or higher if using Thick Client Batch Scanning

3. Customer is licensed for Unity and Reporting Dashboards.

4. Only one copy of each Dashboard will be installed for each environment by the Hyland
resource.
