Program Dates

1. What date should I arrive on campus?

You should arrive on campus on the Program Start Date as listed on your Terms and Conditions. The
Program start date is the Orientation date.

B. Orientation

1. I won’t arrive in time for orientation. What do I do?

If you are unable to arrive on campus by the Orientation date, please check with your Foreign Student
Advisor to find out the last date to arrive on campus. This would essentially be the first day of classes.

Please check with your Foreign Student Advisor to find out what you need to do if you are unable to
attend the orientation.

C. Arrival Information

1. How do I get from the airport to campus?

The institution will provide you with information on how to get to your campus from the airport. You
should write to your Foreign Student Advisor for information/instructions.

2. Who do I give my flight information to?

You should complete the Mandatory Travel Form once your itinerary is confirmed. This form is listed on
IIE’s website at http://www.iie.org/Programs/Brazil-Science-Without-Borders/Materials . Please send a
copy of the Travel Form to your Foreign Student Advisor and to IIE at undergraduatereports@iie.org.

D. Housing – Room & Board

Please refer to your Terms and Conditions, section D to read more about your room and board
coverage.

1. Who will pay for my housing?

IIE will pay on CAPES behalf the cost of your room and board directly to your host institution.

2. What kind of room can I choose?

Housing must be in standard shared living arrangements (dorm room, suite, on-campus apartment).
Your scholarship will not cover premium accommodations.

3. Will I live on-campus or off-campus?


All housing is on-campus unless otherwise arranged by your institution or Housing/Residential Office. If
you are placed in off-campus housing, you will be within walking distance to the campus or reachable by
public transportation.

4. What kind of meal plan can I choose?

Board will be taken in the college/university dining facilities. Your meal plan should include three meals
a day (or the equivalent number of points).

5. I received a housing contract, what do I do?

You should be receiving housing forms or contracts from your institution. Please complete and send it
directly back to the institution by the required timeline.

6. I am being asked to pay a deposit. Should I pay this?

If these forms or contracts request payment information, please let your institution know to send the
invoice to IIE. You are not responsible for making any housing deposits or payments directly to the
institution. IIE will pay on your behalf.

E. Registration

1. How do I register for my courses?

You should contact your Foreign Student Advisor on campus about registration and course selection. IIE
recommends bringing original transcripts and translations with you.

2. The school is asking for my original transcripts and I already sent this to IIE. Can IIE send this to them?

No, you must bring your own copy to your campus.

3. Is there anything else recommended that I should bring with me?

It is strongly recommended that you bring course descriptions or syllabi with you to the U.S. for all
university level work you have completed.

F. Course Selection

1. How many classes can I take?

You must be enrolled in a full-time course of study program. A full-time course of study requires a
minimum of 12 credit hours and a maximum of 15 credit hours each semester.

2. IIE will pay on CAPES behalf the cost of your tuition and fees directly to your host institution. You
should check with your institution to make sure you do not go over the maximum credit hours. Your
scholarship will only cover the cost for required credit hours.

3. Can I take non-STEM classes?


Your main objective is to take courses in your field of study. However, you are allowed to take academic
courses that are not directly related to your field of study. We encourage you to consult your home
university about the courses you are registered for and how they can transfer to your university in Brazil.

Please refer to your Terms and Conditions section C for more information on academic requirements.

G. Insurance and Health Information

1. Do I need to see my medical doctor before I leave?

It is very important to have necessary dental work and immunizations or vaccinations complete before
leaving home as this work is very expensive in the United States.

Institutions will send you immunization forms to complete. Please make sure you comply with their
regulations. You will not be allowed to register for courses unless your immunization and vaccination
records are complete. If you have not received these forms, please follow up directly with your Foreign
Student Advisor.

2. Do I need health insurance? How do I enroll?

Health insurance is mandatory. Your health insurance will be provided by your host institution. IIE on
behalf of CAPES will pay for the coverage upon receipt of a bill from your host institution. If the
insurance provided by your host institution does not meet the requirements as stated on your Terms
and Conditions – Section F, IIE will assist in paying for additional coverage which meets the J-1 visa
regulations.

H. Billing

1. Who will handle payments?

IIE will pay on CAPES’ behalf the cost of your tuition, room, board and health insurance directly to your
host institution. You should inform the appropriate office to send your billing statement to IIE. If you
receive a copy of the statement, you should forward it to IIE.

2. Will my scholarship cover personal expenses?


Your scholarship will not cover all of your personal expenses, such as travel during breaks, additional
clothing, personal items, and other expenses of this nature. You should plan to bring with you personal
funds adequate to meet your needs and expectations concerning travel, recreation and incidental
expenses.
